The right route depends on where your data and layout live—and whether you want to manage completion through polling, a webhook, or a download link.
Choose a document-generation pattern
Document generation has two separate jobs: turning data and layout into a file, and delivering that file to the right person or system. A hosted service can handle rendering, but your app still needs to provide valid input, detect completion, and decide how users receive the result.
Use a hosted template API for application-controlled generation
Define a document template in the service, then send its identifier and the data to fill it, commonly as JSON. This works well when your application needs to trigger generation in response to an event and control the surrounding experience. PDFMonkey documents this pattern; its API generates documents asynchronously by default, with polling or webhook notification available for completion. PDFMonkey API documentation
Use an automation workflow when the data already lives elsewhere
If a form submission, CRM update, or spreadsheet row should produce a document, a workflow platform can connect that event to a template and pass mapped fields into it. PDFMonkey documents integrations including Zapier, Make, n8n, Workato, Bubble, and Glide. Visual workflows can reduce the custom orchestration your team must write; a REST API is more appropriate when a custom app needs direct programmatic control. PDFMonkey integrations documentation

Convert HTML when your app already owns the layout
If the app already renders the document as HTML, an HTML-to-PDF service can convert that HTML or a document URL instead of requiring you to recreate the layout in a separate template system. DocRaptor documents an API that accepts HTML or a URL and can return a PDF, a hosted URL, or an asynchronous status identifier depending on the configured mode. DocRaptor API documentation

Use a form-oriented workflow for form submissions
For document generation driven by forms, Plumsail Forms documents template-based PDF generation using Plumsail Documents, Power Automate, or Zapier. Plan the app-side lifecycle
- Choose the trigger. Decide what event should generate the document, such as an app action, a form submission, or an update in a connected system.
- Prepare the input. Map the source fields to the template variables, or produce the HTML or URL the conversion API expects. Check that required values are present and correctly formatted.
- Submit the generation request. Have the backend or workflow send the request to the chosen service. Keep credentials out of browser-side code when the integration requires a secret API key.
- Handle completion using the service’s documented mode. If it returns an asynchronous status, poll as instructed or receive a webhook where supported. If it returns a file or hosted link, pass that result to the next step in your app.
- Deliver and retain the result deliberately. Decide whether the user downloads the file, receives a link, or whether another system consumes it. Establish your own policy for access, storage, expiration, and retries; do not assume the rendering service handles those application decisions for you.
- Test failures as well as successful output. Test missing fields, invalid input, delayed completion, and the path users see if generation does not finish. The vendor documentation establishes the request and completion patterns, but not a universal error-handling policy.
Know what you are outsourcing—and what remains yours
A document service takes rendering out of your app, but it does not remove the integration contract. Your app or workflow remains responsible for supplying the right data, reacting to the result, and exposing the document appropriately. The exact responsibilities depend on the chosen provider and response mode.
- Rendering: handled by the hosted template or conversion service.
- Data correctness: still depends on your source data and field mapping.
- Completion handling: depends on whether the service responds synchronously, asynchronously, or through a hosted result.
- Document access and delivery: must fit your application’s user and data-access needs.
- Vendor suitability: requires checking current contractual and operational terms rather than assuming comparable pricing, privacy controls, or guarantees.
