You can reclaim space on your Mac without turning off Apple Intelligence. Start with Apple menu > System Settings > General > Storage to identify what is using space, then remove only files you no longer need or move large files you want to keep to an external drive. Apple Intelligence uses on-device models, so turning the feature off is not a suitable cleanup step if you want to retain those models.
Check what is using storage before deleting anything
On macOS Ventura 13 or later, open Apple menu > System Settings > General > Storage. Wait for the categories and recommendations to load, then review the largest areas, such as Applications, Documents, Downloads, Messages, and media. The Storage panel updates as you manage files.
On earlier macOS versions, Apple’s instructions use Apple menu > About This Mac > Storage. Labels and paths can vary by release; follow the steps for the version installed on your Mac. See Apple’s Mac storage guide.
Review files before removing them. Delete only items you recognize and no longer need. Empty the Bin afterward: files left in it continue to take up space until it is emptied.

Choose a cleanup method that fits what you want to keep
| Approach | Does it keep the files? | Where space is reclaimed | Trade-off |
|---|---|---|---|
| Delete unneeded downloads, apps, or media | No, unless backed up or redownloadable | Mac’s internal storage | Confirm you will not need the files before deleting them. |
| Move files or a media library to an external drive | Yes, after you verify the moved copy | Mac’s internal storage | You need an external drive, and it must be connected to access those files. |
| Use Store in iCloud or optimize media | Generally; content can be available on demand | Mac’s internal storage | Uses separate iCloud storage and may require a network connection to download content. |
| Start in Safe Mode to clear certain caches | Yes; caches may be recreated | Temporary internal storage | May provide temporary room, not a lasting reduction in storage use. |
Move large files you want to keep to an external drive
If a large file or library should stay in your collection but does not need to live on the Mac’s internal disk, move it to an external storage device. Apple specifically names Photos and iMovie libraries as examples of items that can be moved. An external SSD for Mac is one option; check that the drive’s connection works with your Mac and that its capacity fits the files you plan to store.
- Connect the external drive and make sure it has enough available space.
- Move the selected files or library using the relevant app’s supported process.
- Open the moved library or files from the external drive and confirm they work.
- Only after verifying the copy, remove any duplicate that remains on the Mac and empty the Bin if you need to reclaim that space immediately.
Apple’s storage guidance covers moving large files and libraries to another storage device. Moving files does not change Apple Intelligence’s model storage requirements.

Use iCloud optimization only if its trade-offs suit you
macOS offers Store in iCloud and media optimization options that can keep some content available on demand while reducing the space it occupies on the Mac. This can be useful when you want to retain access without keeping every item stored locally, but it relies on a separate iCloud storage allowance. See Apple’s guide to optimizing storage space on Mac.
iCloud capacity is separate from your Mac’s internal storage. If the iCloud account runs out of space, backups, Photos uploads, and synchronization can be affected. Check your available quota before relying on cloud optimization; Apple explains this in its iCloud storage guide.

Do not treat System Data as a list of safe-to-delete files
Apple describes System Data (or Other) as “a general category that measures the storage space used by all Apple and third-party files that don’t belong to any more specific category.” It is a broad accounting bucket, not a specific file or folder that is automatically safe to remove. Avoid deleting unknown items from system folders in an attempt to shrink it.
Keep Apple Intelligence enabled
Apple Intelligence uses on-device models. Apple’s current next-generation support page lists up to 8 GB for some supported Mac configurations and up to 14 GB for specified newer configurations. These are upper amounts for the applicable model and unified-memory groups, not a claim that every Mac uses that exact amount. Requirements can change with software generations; check Apple’s current Apple Intelligence requirements for your configuration.

- Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft
Apple’s earlier-generation support article lists 7 GB for that generation and says turning Apple Intelligence off removes its on-device models. That older figure should not be treated as the current universal requirement. If your goal is to keep Apple Intelligence available, leave it enabled and reclaim storage elsewhere; see Apple’s earlier Apple Intelligence setup guidance.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Use Safe Mode only for a short-term storage buffer
Apple says starting a Mac in Safe Mode can clear certain system caches, which macOS recreates as needed. This may help when you need temporary room for a task such as installing an update, but it is not a durable cleanup plan. For lasting space, identify files to remove or relocate instead. Apple describes this option in its Mac storage guidance.
