The lock can be left behind by an Office crash, come from a SharePoint check-out, or be caused by an incompatible Office version, file format, storage location, or permission setting.
Work through the checks below in order. Start with the session and stale-lock fixes before changing the workbook or creating a replacement copy.
What the OneDrive locked-file message means
OneDrive and Office use a file-locking system to prevent simultaneous changes from overwriting one another. The message can appear when:
- The file is open on another computer, phone, or tablet signed in to your account.
- A previous Excel, Word, or PowerPoint session crashed or did not close correctly.
- Another author has checked out the file in SharePoint.
- Your Office application does not support co-authoring.
- The file is stored somewhere that does not support co-authoring.
- The file format or one of its features prevents co-authoring.
- You have viewing permission but not editing permission.
Therefore, do not assume that another person has opened the file. The error often describes a stale session or a compatibility problem rather than an active user.

1. Close the file everywhere and wait
If the lock may belong to you, close the document on every device where your Microsoft account might have it open. Check your Windows 11 PC, another computer, Excel for the web, and mobile Office apps.
- Save any changes you need to keep.
- Close the file.
- Exit Excel, Word, or PowerPoint completely.
- Repeat this on your other devices.
- Wait several minutes before reopening the file.
Microsoft notes that the server can temporarily believe a file is still open after the application has closed. Waiting gives OneDrive or SharePoint time to release the stale lock.
2. Restart Office and Windows 11 after a crash
A crashed Office process can continue to report that a document is in use. First close the affected Office application. Then restart Windows 11:
- Press Start.
- Select the Power button.
- Choose Restart.
After Windows starts, wait for OneDrive to finish synchronizing, then open the file again. This is more reliable than repeatedly clicking the document while the old Office session remains stuck.
3. End a stuck Office process in Task Manager
If Office will not close normally, end its process from Windows 11 Task Manager. Use this only after saving other open documents, because ending a process can discard unsaved work.
- Right-click the Windows taskbar and select Task Manager. You can also press Ctrl + Shift + Esc.
- Find the relevant Office process, such as Microsoft Excel, Microsoft Word, or Microsoft PowerPoint.
- Select the process.
- Choose End task.
- Restart Windows 11 if the file remains locked.
Do not treat deletion of a ~$filename owner file as the standard OneDrive repair. That procedure belongs to older Word network-file troubleshooting and is not Microsoft’s current general fix for OneDrive and Microsoft 365 locks.
4. Check whether another person really has the file open
If the file is genuinely open by a colleague, the lock cannot be safely removed from your side. Your options are:

- Wait for the person to close the file.
- Open it as read-only if you only need to view or copy information.
- Ask the person to check the file back in if it has been checked out.
- Ask the owner to give you edit permission.
Do not create a competing copy and overwrite the original without first deciding how to merge the changes. That can lose the other author’s work.
5. Request edit access in Excel
The message can mean that you can view the file but are not allowed to edit it. In the desktop or web version of Excel, request the required permission as follows:
- Open the file.
- Select Viewing in the upper-right corner.
- Select Request more access.
- Choose Ask to edit or Ask to review.
- Add a note if needed, then send the request.
If these options are unavailable, contact the file owner or your Microsoft 365 administrator. A local Windows permission change will not fix a cloud sharing permission set by OneDrive or SharePoint.
6. Check for a SharePoint check-out
SharePoint check-out is separate from a normal OneDrive editing session. A required check-out prevents co-authoring until the document is checked back in.
- Open the relevant SharePoint document library in a browser.
- Find the file.
- Look for a check-out icon beside its filename.
- Point to the file to see who has checked it out.
- Ask that person to check it back in, or ask a library owner to resolve the check-out.
If no check-out icon appears, investigate the Office client, file location, format, and workbook features instead.

7. Confirm that everyone is using a compatible Office client
Co-authoring only works when all participants use compatible applications. Microsoft currently lists these Excel clients as supporting co-authoring:
- Excel for Microsoft 365
- Excel for Microsoft 365 for Mac
- Excel for the web
- Excel for Android
- Excel for iOS
- Excel Mobile
Excel 2016, Excel 2019, and Excel 2021 LTSC do not support Excel co-authoring. Microsoft also identifies older releases such as Excel 2010 as a cause of compatibility problems. One person opening and saving the file with an incompatible version can prevent other participants from editing it.

Have everyone close the file and update Office where possible. As a practical fallback, have all participants open the file in Excel for the web, provided the workbook itself is compatible.
8. Verify that the file is in a supported location
For Excel co-authoring, the file should be stored in one of these locations:

- OneDrive
- OneDrive for Business
- SharePoint in Microsoft 365
These locations do not support Excel co-authoring:
- \\server\folder
- smb://server/folder
- A local Windows or Mac folder
- Dropbox
- Box
- Google Drive
- SharePoint on-premises libraries
A file visible inside a local OneDrive-synchronized folder is not automatically using cloud co-authoring. Confirm that it is actually stored in the intended OneDrive or Microsoft 365 SharePoint location, rather than being a local copy, network-path file, or file synchronized from an unsupported service. Also check that OneDrive is running the latest version and is not paused.
9. Convert an unsupported Excel format
Microsoft specifies .xlsx, .xlsm, and .xlsb as the Windows Excel formats that support co-authoring. Strict Open XML Spreadsheet is not supported.
To convert the workbook:
- Open the workbook in Excel.
- Go to File > Save As > Browse.
- Open the Save as type list.
- Choose Excel Workbook (*.xlsx), Excel Macro-Enabled Workbook (*.xlsm), or Excel Binary Workbook (*.xlsb).
- Save the new file in OneDrive or SharePoint in Microsoft 365.
Preserve the original until you have checked formulas, macros, connections, and formatting in the converted copy.
Word and PowerPoint have their own format restrictions. Co-authoring is unavailable for Word .doc, .rtf, templates such as .dotx and .potx, and macro-enabled Word .dotm or PowerPoint .pptm files in the scenarios covered by Microsoft’s guidance.

An Excel workbook can remain locked even when it is in OneDrive and everyone uses a current client. Test these settings on a copy if the workbook contains important protection, connections, or macros:

- Go to File > Info > Protect Workbook. Remove password encryption or restricted-access settings if you are authorized to do so.
- Select the affected table or PivotTable. Open Table Tools Design > Refresh > Connection Properties, then clear Refresh data when opening file.
- Go to File > Options > Add-Ins. At the bottom, select Excel Add-ins in the Manage box, choose Go, and clear the checkbox for a problematic add-in.
- Turn off the legacy Shared Workbook feature.
- Open the workbook itself instead of a SharePoint snapshot.
Other documented co-authoring blockers include Information Rights Management, Digital Rights Management, encryption, ActiveX controls, master documents, and subdocuments. A document marked Final is also protected against editing; on Microsoft 365 desktop applications, turn off the Final status if you are authorized. A mobile device cannot remove that status and must create a copy instead.
Microsoft also lists the Store random numbers to improve Combine accuracy setting under File > Options > Trust Center > Trust Center Settings > Privacy Options as relevant to co-authoring availability. Check this setting if the other fixes do not resolve the issue.
11. Handle password protection correctly
If Excel, Word, or PowerPoint asks for a password before opening or editing the file, the password is not a OneDrive lock that Windows 11 can repair. Microsoft states that a password-protected Office file cannot be opened without the password and that there is no supported way to bypass that protection.

When to use a copy
Create a copy only after determining that you cannot obtain edit access or release the original lock. A copy is useful when you need to continue working immediately, but it is not a repair of the original file. Give it a clear name, such as Budget-edit-copy-2026-03-08.xlsx, and agree with the owner on how changes will be merged.
Bottom line
Start by closing the file everywhere, ending any stuck Office process, restarting Windows 11, and allowing OneDrive time to release a stale lock. Then check whether the file is checked out, whether you have edit permission, and whether all users are using compatible Office clients. Finally inspect the storage location, file format, and workbook features. These checks address the causes Microsoft currently identifies without relying on obsolete lock-file deletion tricks.

Does “locked for editing by another user” always mean someone else opened my OneDrive file?
No. Microsoft also identifies stale Office sessions, SharePoint check-outs, unsupported Office versions, unsupported locations or formats, incompatible features, and missing edit permission as possible causes.

How long should I wait after closing the file?
Wait several minutes. The server may temporarily still believe the file is open, especially after an application crash or an interrupted connection.
Can I delete a ~$ lock file to fix a OneDrive lock?
Do not use that as the standard OneDrive fix. Current Microsoft guidance focuses on active sessions, stale Office state, check-out, permissions, compatibility, location, format, and features. The ~$ procedure comes from older Word-specific troubleshooting.
Why is my file locked even though it is inside my OneDrive folder?
A local OneDrive-synced copy is not enough by itself. Confirm that the file is genuinely stored in OneDrive or SharePoint in Microsoft 365, that synchronization is working, and that the file is not actually a local copy or network-path file.
Can Excel 2019 co-author an Excel workbook?
Microsoft’s current guidance explicitly excludes Excel 2016, Excel 2019, and Excel 2021 LTSC from Excel co-authoring. Update the clients or have everyone use Excel for the web.
