First determine where the failure occurs: on Microsoft’s key-redemption page or inside an installed Office app. A key that was already redeemed, mistyped, not activated by a retailer, blocked, restricted to another region, issued for business or volume licensing, or paired with the wrong account can produce different messages and require different remedies.
Use the exact wording and error code to choose the matching fix below. Do not keep retrying the same key blindly; repeated entries cannot repair a key that is already redeemed, blocked, geographically restricted, or sold through the wrong licensing channel.
Identify the activation stage before changing anything
Write down the complete message, including an error code. Then identify which screen displayed it.

Fix “This product key has already been used”
Office product keys are generally redeemed once. After redemption, the license is associated with the Microsoft account used during that process; entering the same characters again is not a second installation method.
- Sign out of any Microsoft account that is not the purchaser’s account, then sign in to the account used when the key was first redeemed.
- Open Services & subscriptions.
- Locate the Office product and use the available install or management option.
- When Office asks for activation, sign in with that same account rather than entering the key again.
If you cannot find the product, check other Microsoft accounts used at the time of purchase, including a work or school account if the license came from an organization. Do not disclose the full key publicly while trying to identify the account.
For Microsoft 365 Family, the owner should share the subscription benefit with another person through the account instead of sending that person the product key. A shared subscription is managed by the owner and does not become a second redeemable key.
Fix an invalid, unrecognized, or mistyped key
Check the characters and source
Compare the entered characters with the card, receipt, or confirmation email. Characters that look alike are easy to transpose. If you bought online, copy the key from the confirmation email when possible; this avoids introducing a transcription error while retyping.
Do not publish a complete key in a support forum or send it to an unverified person. Use only the minimum characters a legitimate support representative or seller requests through a secure channel.
Confirm it is an Office key
A Windows key is not an Office key. Verify that the purchase is for Office or Microsoft 365, then check the stated version and edition. A key for one edition cannot necessarily activate a different edition installed on the computer.
Confirm the licensing route
Retail keys, Microsoft 365 business subscriptions, and volume-license keys are handled through different channels. A business or volume key may not be accepted on the consumer redemption page. For a volume license, contact the organization’s administrator; for a business subscription, use the business account and redemption route supplied by the organization or Microsoft.
The errors ERR_MISSING_PARTNUMBER and ERR_INVALID_TOKEN can appear when an older key or a business or volume key is sent through the wrong setup flow. Establish the key’s product and licensing type before trying another page.
Fix KEY_NOT_ACTIVATED: the retailer must act
KEY_NOT_ACTIVATED identifies a point-of-sale problem. The retailer was expected to activate the key when it was sold, and Microsoft says the seller must complete that activation.
- Keep the receipt, order number, product name, and the exact error message.
- Contact the retailer’s customer service and state that the key was not activated at purchase.
- Ask the retailer to activate the original key or provide the remedy required by its sales policy.
- Retry redemption only after the retailer confirms that activation is complete.
Reinstalling Office cannot activate a key that was never enabled by the seller.
What to do when Microsoft says the key is blocked or not valid
A blocked key is different from a simple typing mistake. Microsoft warns that keys sold separately from legitimate product channels may be stolen, abused, or unauthorized. If the activation wizard says the key is blocked or not valid, Microsoft advises contacting the seller and requesting a refund.

Do not pay another unknown seller for a replacement key before resolving the original transaction. A second separately sold key can have the same provenance problem, and an additional reinstall does not remove a block applied to the license.
Fix a region or country restriction
“This product key isn’t meant for your region” means the purchase country or region does not match the location from which redemption is being attempted. It is not normally fixed by changing the computer’s language, keyboard, or time zone.

- Check the country or region shown on the receipt or order confirmation.
- Confirm where you are physically attempting to redeem the key.
- Do not use a VPN or a misleading address to force redemption; that can create additional account and purchase problems.
- Contact Microsoft support with the purchase details and follow the permitted geography for that key.
Microsoft’s support team may need to review the transaction or regional eligibility. A retailer may also need to handle a return when the key was sold for a different market.
When redemption worked but an Office app will not activate
Sign in with the account that owns the license
After successful redemption, open the Office app and use its sign-in prompt. Choose the Microsoft account associated with the purchase or subscription. If the license belongs to a company or school, use the associated work or school account instead of a personal account.

If several accounts are signed in, sign out of the ones that do not own the entitlement, close the app, reopen it, and sign in with the owning account. This addresses an identity mismatch without changing the key.
Check that the edition includes the app
An account can own Office without including every Office application. Microsoft gives Outlook, Publisher, and Access as examples of apps that are not included in certain editions. If the account does not include the app you opened, activation will not succeed even though the key was accepted.
- Open Services & subscriptions with the owning account.
- Read the exact product name and edition listed there.

Choose Microsoft, the seller, or an administrator

End of support does not by itself prove that a valid key is counterfeit, but it can affect updates, troubleshooting options, and compatibility.
For a new purchase, use a legitimate Microsoft or authorized retail channel and verify the exact product, edition, region, and licensing type before paying. A physical product-key card can be a valid one-time license, but buying another card is not a fix for an account mismatch, retailer activation failure, geographic restriction, or blocked key.

- Save the receipt and confirmation email; do not rely on the printed key after redemption.

- For business or school purchases, retain the administrator’s instructions and use the assigned work or school account.
