Export your account data, then save your reusable instructions, assistant configurations, project files, and workflow steps separately. An archive can preserve data without recreating how an assistant behaves in another service. Before closing the old account, check the destination’s import options, rebuild the workflows it cannot transfer, and test them.

What to collect before switching

Start with an inventory. Chats, saved memories, response preferences, reusable prompts, custom assistants, project instructions, uploaded files, connected tools, and recurring workflows may live in different parts of an account and may have different export or import support.

  • Conversation data: chats and any attachments you need to keep.
  • Reusable guidance: global instructions, saved prompts, and examples of the outputs you want.
  • Assistant setups: custom GPTs, Gems, or other assistants, including their instructions, starters, capabilities, knowledge files, and relevant connected actions or apps.
  • Projects: project instructions, associated chats, and reference files.
  • Workflow details: the steps you follow, the tools involved, required permissions, and what a successful result looks like.

Keep these items in readable files as well as in any provider archive. A plain-text or document copy makes it easier to review, edit, and recreate the parts that do not transfer.

Export data from the current assistant

ChatGPT

For eligible personal ChatGPT accounts, request an archive at Settings > Data controls > Export data, or use the OpenAI Privacy Portal. OpenAI says exports can take up to seven days to arrive and the download link expires after 24 hours. Download the ZIP promptly and check its contents. An export cannot restore chats that were deleted before the export was requested. See OpenAI’s export instructions.

OpenAI says custom instructions are included in the export, but save a separate readable copy so you can inspect and adapt them. For each custom GPT, record its instructions, conversation starters, uploaded knowledge, capabilities, and relevant connected actions or apps. For each Project, preserve its instructions, chats, and reference files. These are separate configuration and content layers; an account archive should not be treated as a ready-made replacement setup. See OpenAI’s descriptions of custom instructions, GPTs, and Projects.

Claude

Individual Claude users can request account data and chat history from Settings > Privacy on web or desktop. Claude says the download link expires after 24 hours, and the export cannot be imported into another personal Claude account. Memory transfer is a separate feature: use its memory import or export flow rather than assuming the account archive carries memory into the destination. Claude’s guidance recommends asking the current service for a comprehensive context snapshot when transferring memory. Gemini

Google Takeout separates Gemini content into different selections. Select Gemini for Gems, and separately select My Activity > Gemini Apps for chats, generated media, and uploads. Choose a delivery method, download the archive, and verify that it contains the categories you expected. Google lists email delivery and cloud destinations such as Drive and Dropbox. Check what the new service can import

Before reorganizing your material, check the destination’s current import documentation and the options visible in your account. Confirm whether it accepts chat archives, attachments, prompt files, assistant definitions, project content, or memory—and whether imports depend on account type, permissions, or a workspace administrator.

Google’s Gemini import guidance says a ZIP from another AI provider can be used to import chat history, but project files cannot be imported. That does not mean every provider’s ZIP will work in every destination. Treat project instructions, custom assistant setups, and attached knowledge files as manual reconstruction unless the destination explicitly confirms it supports them. Claude also distinguishes its personal data export from its separate memory-transfer flow. See Google’s Gemini import instructions.

For managed accounts, check export availability before following personal-account steps. OpenAI says Business, Enterprise, and Healthcare workspaces do not offer self-service export. Eligible Edu access depends on workspace settings and permissions. Ask the workspace owner or administrator what export and retention options apply; see OpenAI’s export guidance.

Recreate workflows and verify the results

  1. Make a source-of-truth folder. Store the downloaded archives and readable copies of instructions, prompt templates, assistant definitions, workflow steps, and reference files. Keep a second local copy if useful; a portable external SSD is one optional storage choice, not a vendor requirement. Google Takeout also lists cloud delivery destinations such as Drive and Dropbox.
  2. Rebuild the highest-value workflows first. Add the relevant instructions and source files to the destination’s supported features. Recreate assistant settings or project organization manually where import is unavailable.
  3. Test representative tasks. Try prompts that reflect normal use, then check whether the new assistant follows the requested format, uses the intended reference material, and has the necessary tool permissions.
  4. Compare and adjust. If an output changes, identify whether the cause is a missing instruction, source file, capability, or permission. Update the setup and repeat the test.
  5. Keep the old account until the replacement works. Do not give up access until you have verified the archive and confirmed that essential workflows run in the destination.

Gemini Gems and the move to skills

Google says Gems are being phased toward skills and recommends manually copying instructions and re-uploading knowledge files to verify them and maintain continuity. During the rollout, check the current account interface and confirm that any migrated draft behaves as expected. The transition does not remove the need to preserve the original instructions and files yourself.

When is a workflow actually migrated?

A downloaded ZIP is a backup, not proof that an assistant setup has moved. Treat a workflow as migrated only after its instructions and required files are present in the destination, its tools and permissions are configured, and representative tasks produce usable results. If one of those elements is missing, document the gap and keep the old account available while you decide whether to rebuild or replace that workflow.
