To document a crypto exchange deposit, show a clear trail from its original source to the account or wallet that sent it, and then to the exchange. The right records depend on whether the deposit came from salary, savings, an asset sale, another exchange, or a self-hosted wallet—and the exchange’s instructions for your region control what it will accept.

What a source-of-funds request is asking you to prove

Source of funds (SoF) concerns the origin of the money or cryptocurrency used for a particular transaction. Source of wealth (SoW) concerns how you accumulated your overall assets. An exchange may ask about one or both; Binance describes SoF as the origin of a specific deposit, while Kraken explains the distinction between SoF and SoW. A convincing file set usually explains two things: how the funds originated and how they moved into the exchange. For example, a payslip can support a salary explanation, but it may not show that the salary reached your bank account or that money from that account funded the deposit. Kraken notes that one statement can sometimes show both earnings and transfers; otherwise, connect the records in a sequence.

Choose records that match the deposit’s actual origin

Use records from the accounts and transactions involved. The examples below are evidence types cited by the named exchanges, not a guarantee that another platform or regional account will accept them.

Deposit origin Records to gather What the records should connect
Salary paid into a bank account Bank statement showing relevant salary deposits and the transfer used to fund the exchange; payslip, employer letter, or tax record if needed to establish earnings. Crypto bought on another exchange Sending exchange statement or receipt, withdrawal record, destination deposit record, and account identity information. Crypto held in a self-hosted wallet Wallet statement or export, or transaction history showing dates, amounts, transaction types, and addresses where available; evidence linking the wallet to you if available or requested. Crypto trading or sale Exchange transaction history or sale receipt; bank record for any fiat proceeds; tax records where relevant. Property or another asset sale Signed sale contract or settlement statement, plus a bank statement showing receipt of proceeds and their subsequent movement. Gift, inheritance, loan, or tax refund For a gift, a gift letter or affidavit and receipt record; for inheritance, legal documentation and receipt record; for a loan, the agreement and incoming-funds record; for a tax refund, the return or refund record and bank receipt. Build a traceable document set

  1. Read the exact request. Identify the deposit, date, amount, currency, and source category the exchange wants explained. Check whether it asks for SoF, SoW, or both.
  2. Start with the closest record of origin. This might be a payslip, investment statement, sale contract, tax record, loan agreement, inheritance document, exchange statement, or wallet transaction history.
  3. Show receipt of the funds. Add the bank or wallet record showing the money or crypto arriving there, where applicable. A record of the source alone may not establish that the funds in question reached the account used for the deposit.
  4. Show the outgoing movement. Include the bank transfer, exchange withdrawal, or wallet transaction that links the source account to the crypto exchange. For crypto, include transaction hashes and wallet addresses when requested; retain the sending account’s identity details.
  5. Check the links across records. Names, dates, amounts, and account or wallet identifiers should form a coherent trail. If several records are needed, add a short factual cover note explaining how they relate. Do not alter documents or make claims that the records do not support.
  6. Submit through the instructed channel. Use the authenticated or secure channel specified in the request. Coinbase says its documents are submitted through a secure portal; other exchanges may give different instructions. Coinbase’s instructions
  7. Keep your own copies. Save the files you submitted and the exchange’s request so you can refer to the same records if the review raises questions.

What changes for cryptocurrency deposits

A record showing that crypto arrived at the exchange may establish the transfer without explaining how you acquired the crypto. If the exchange asks for the deeper origin, provide the relevant acquisition or trading records as well as the transaction history linking the sending account or wallet to the deposit. Kraken describes supplying evidence of how funds were earned and proof of receipt; Bitpanda asks for origin and transaction history in relevant crypto cases.

For a hosted exchange, export or download the sending account’s transaction history and withdrawal record. For a self-hosted wallet, preserve the transaction-level details available to you—such as timestamps, amounts, transaction type, sending and receiving addresses, and transaction hash—and include an identifier or other evidence of your link to the wallet if available or requested. These records help show provenance; whether they satisfy a particular exchange’s review is for that exchange to decide.

Check the exchange’s regional and document rules

Accepted document types, age limits, formats, and upload channels vary by exchange and may vary by region. Do not assume a record accepted by one platform will meet another platform’s request. Coinbase’s public guidance, for example, gives different time windows for different document types and notes a Brazil-specific process. Follow the requirements in the request for your account rather than applying one general freshness rule.

Before sending anything, check whether the exchange permits redaction. Public guidance does not establish a universal redaction rule, and removing details without permission could make a record unusable. If a document seems incomplete or a transfer involves multiple accounts, explain the factual chain rather than editing the source record.

If your records do not show the whole trail

Use the strongest original records available and identify exactly which link they establish. For example, an exchange withdrawal record may show a transfer but not how the crypto was acquired; a sale contract may show an asset sale but not that the proceeds funded the deposit. Add the missing receipt or movement record if you have it. If you do not, state that plainly in a concise cover note and ask the exchange what alternative evidence it will review. Do not assume the platform will accept a substitute.
