You can make a reusable invoice in Excel that calculates line amounts, subtotal, and tax from the values you enter. Start with a Microsoft invoice template for the quickest setup, or build a worksheet yourself for more control. In either case, Excel will calculate the figures, but it will not by itself create a secure permanent invoice-number register, send invoices automatically, or confirm that your invoice meets local tax and legal rules.
Choose a template or build your own invoice
Microsoft offers editable invoice templates for Excel. A template is the easier starting point if you want a ready-made layout; a blank workbook gives you greater control over the fields and formulas but requires more setup. Microsoft’s template guidance covers adding business and customer details, payment information, items or services, quantities, rates, taxes, and reviewing calculated totals. The steps below explain how to make a simple invoice from a blank workbook. If you use a template instead, enter the equivalent information in its fields and verify its formulas.
Set up the invoice fields
Create a worksheet with clearly labeled sections for your business, the customer, invoice identification, itemized charges, payment instructions, and totals. A practical set of fields includes:

- Your business name and contact details, and the customer’s name and contact details.
- An invoice date and invoice number.
- A description for each product or service, its quantity, unit price, and line total.
- Payment terms or instructions.
- A subtotal, any applicable tax or discount, and the amount due.
These are general invoicing fields, not a jurisdiction-specific legal checklist. Required information, tax treatment, and rounding rules vary by location and business, so confirm the rules that apply to you.
Build the item table and calculate line totals
For example, put the item table in columns A through D, with headers in row 1: Description in A, Quantity in B, Unit Price in C, and Line Total in D. These cell addresses are an illustrative layout, not a Microsoft-prescribed template.
- Enter each item or service on its own row, starting in row 2. Type the quantity in column B and the unit price in column C.
- In D2, enter
=B2*C2. This multiplies the quantity by the unit price for that row. - Copy the D2 formula down through the other item rows. Excel adjusts relative references as a formula is copied, so the next row will refer to its own quantity and price cells.
- Choose a subtotal cell below the last item row. If your items run from rows 2 through 10, enter
=SUM(D2:D10)in D11.
Excel formulas begin with an equals sign and can refer to cells or ranges. When you copy a formula, relative references shift; absolute references marked with dollar signs stay fixed. See Microsoft’s overview of Excel formulas and ways to add values in a spreadsheet.
Add tax and calculate the amount due
Tax calculations depend on your location and circumstances. Confirm the applicable rate, which items are taxable, and the required rounding approach before using a formula to invoice a customer.

For a simple example, suppose the subtotal is in D11 and you enter the tax rate as a decimal in F2—for example, enter a rate as a decimal rather than as a whole-number percentage. A tax cell could use =D11*$F$2, and an amount-due cell could add the subtotal and tax, such as =D11+D12 if D12 contains the tax amount. The dollar signs keep the F2 reference fixed when you copy the formula. Adjust the references to match your worksheet, and do not use a subtotal-based calculation if your tax rules require a different method.
Choose an invoice-number method carefully
A display number can be generated from a formula. For example, in a separate invoice log, enter ="INV-"&TEXT(ROW(A1),"000") in the first data row and fill it down to produce labels such as INV-001 and INV-002. This is a formula-generated sequence, not a durable register: changing or deleting rows can change the result, and Excel does not provide a dedicated automatic-numbering button.

For invoices you have issued, preserve each number in a separate log or saved record and check that each one is unique. Do not rely on a formula tied to row position as a secure, permanent numbering system. Check the invoice before sending it
Review both the customer-facing details and the calculations before issuing the invoice. Microsoft’s template workflow likewise advises reviewing total costs, taxes, and discounts. Microsoft’s invoice-template guidance.

- Confirm the seller and customer details, invoice date, and invoice identifier.
- Check descriptions, quantities, and unit prices against the work or products being billed.
- Verify each line total, subtotal, tax input and calculation, discounts, and final amount due.
- Confirm payment details and any locally required invoice information.
- Make sure formulas cover every item row and that the displayed figures are readable.
Export and keep a copy
When the invoice is ready, save the workbook so you retain the editable calculation and record, then export or share a customer-facing copy. Excel templates support exporting to PDF, and Microsoft also describes sharing an online OneDrive link. A PDF is useful when you want to send a fixed customer copy; keep the workbook or another reliable record for your own reference. Microsoft’s template page explains the available workflow.
Know what Excel does not automate
These formulas automate arithmetic, not the entire invoicing operation. A basic worksheet does not inherently provide a customer database, audit controls, protected numbering, automatic delivery, or legally compliant tax decisions. If you need dependable multi-user records, approval controls, recurring invoices, or automated sending, a dedicated invoicing system may be a better fit.
The formula guidance cited here lists Microsoft 365 and Excel 2024, 2021, 2019, and 2016; Microsoft’s row-numbering and addition pages list narrower Excel product ranges. Labels and interface details can differ by platform or version, but the example formulas use standard cell references and functions described in Microsoft’s guidance. Check the documentation for your Excel version if a feature or menu differs.
