To create a Zap in Zapier, choose a trigger event, connect its app, test the trigger, add and configure one or more actions, then publish. A Zap is a workflow: the trigger starts it, and its actions run when qualifying events occur. Use the steps below to build and check one before it handles future events.
Choose how to start
Zapier offers a blank Zap, prebuilt templates, and Copilot, which accepts a plain-language description. Choose the starting point that fits the amount of customization you need; Copilot is documented as being in active development, so its interface and availability may change. Create and configure the trigger
- In the Zapier account sidebar, select Create a Zap. Unfinished work is saved as a draft.
- Select the app that will start the workflow, then choose its trigger event. A trigger is the event that starts a Zap. For example, an event might be a new invoice, email, or spreadsheet row. Choose carefully: “New” generally means a newly created item, while “New or Updated” can also catch changes to existing items.
- Select an existing connected account or connect the app account you want Zapier to use. Fill in required fields, marked with an asterisk in the documented editor, and any optional fields needed to narrow or configure the trigger. For a spreadsheet trigger, for example, you may need to select the spreadsheet and worksheet.
- Open the trigger’s Test tab and retrieve a sample record. Check that it contains the fields and values the later action will need. Some apps provide generic sample data rather than a record from your account. If no useful event appears, verify the account and trigger options, create a fresh item in the source app, and test again. Depending on the app and flow, you may be able to use an editable sample or a previous Zap run instead.

Add an action and map its fields
- Add an action step and choose the destination app and action event—for example, creating a record or sending a message.
- Choose or connect the account where the action should happen, then complete the required fields.
- For each destination field, enter a fixed value, select an available preset, or map data from an earlier step. Mapping means using a value from the trigger record—such as a sender’s email address or a form response—to fill the corresponding field in the destination app.
- Review the configured fields to make sure the right source values go to the right destination fields.

Test without creating unwanted changes
Testing an action is live: it may send a real message or create or change an actual record in the connected app. Before selecting Test step, verify the destination account and every test value. Review the action’s output afterward and compare it with what you expected. If a test would cause an unwanted real-world side effect, Zapier’s setup instructions allow you to skip the action test, although testing each step is generally useful when it is safe to do so. A successful trigger or action test confirms the selected connection and configuration at that point; it does not guarantee that every future live event will contain the same data. A trigger test may use generic sample data, so check the fields and values rather than assuming the sample represents a typical live record.

Publish and check future runs
- When the steps are configured and checked, select Publish.
- After publishing, Zapier monitors the trigger app and runs the configured actions for qualifying trigger events that happen afterward. Publishing does not mean earlier events will automatically be replayed.
- To review activity or investigate a run, open Zap History and inspect the step inputs and outputs.

- The trigger test finds no useful record: Check the connected account and required trigger settings. Some triggers need a recent item; create one in the source app and test again.
- The connected account has expired: Reconnect the account, then retry the test.
- The sample does not match your account data: The app may return generic sample data. Use an editable sample or a previous Zap run if the available test flow supports it.
- A live run differs from the test: Inspect that run in Zap History and compare the actual step inputs and outputs with the test values. A test only confirms the setup at that time.
