A useful screenshot tutorial lets a reader start in the right place, perform one visible action at a time, and confirm when the task is complete. Build yours by defining the outcome, documenting the exact interface path, capturing only the views that resolve a recognition problem, and providing equivalent text and keyboard instructions.
Define the task and the finished result
Write the tutorial for one concrete outcome, such as “create a project,” “export a report,” or “change a security setting.” State what the reader will have when the procedure ends. Avoid an introduction that simply repeats the title; give only context needed to begin.
Choose a task-sized scope
- Use one tutorial for one outcome. Split unrelated goals into separate tutorials.
- Name the application, edition, operating system, and interface version when they change the labels or layout.
- Describe the completion state in observable terms, such as a confirmation message, a saved file, or a changed value.
State the starting location
Tell readers where to begin before step 1: for example, “Open the desktop application and sign in,” “From the project dashboard, open Settings,” or “In Windows, display the page you want to capture.” This prevents a reader from starting in a similarly named screen.
List prerequisites before the procedure
Keep requirements in a short list immediately before the numbered steps. Include account permissions, files, network access, and the exact platform presentation used for your screenshots.

- Access: Identify the account role or permission required.
- Starting data: Name the project, sample file, URL, or values the reader needs.
- Version context: Record the application and operating-system version if controls may differ.
- Safety: Warn before destructive actions and suggest a backup or test workspace.
If a label differs between versions, write the current label first and give the alternate in parentheses, rather than relying on the screenshot to explain the difference.
Write numbered steps that match the real UI path
Use an ordered list. Each step should contain one primary action, use an imperative verb, and identify the location before naming the control. Combine actions only when they occur in the same small area and the second action cannot sensibly be performed elsewhere.
- Open the correct view. From the application’s main window, select Settings, then open the General tab.
- Change the required value. In the Display name field, enter the name you want to show.
- Commit the change. Select Save or Apply. Do not end the procedure after entering a value if the application still requires confirmation.
- Verify the result. Reopen the relevant view or check the confirmation message and describe exactly what should be visible.
Name controls by their labels
Use the text printed on a button, menu item, field, dialog, or tab. “Select Export” is more reliable than “click the button on the right.” If a control has an icon and a label, include both when that helps recognition. Put menu paths in order, such as File > Export > PDF.
Include pointer and keyboard routes
Give the pointer route first when it is easiest to scan, then add a keyboard equivalent when one exists. Mention the exact shortcut and the focus requirement: “Press Ctrl+S while the editor is focused.” Keyboard instructions are essential for readers who cannot use a mouse and also provide a fast recovery route when a control is difficult to reach.

Document branches and states
Add a short branch when the interface can legitimately differ: “If the dialog opens in compact mode, select More options.” Distinguish disabled controls, validation errors, unsaved changes, and permission prompts. Do not hide these states in a screenshot without explaining how to proceed.
Decide where a screenshot adds information
A screenshot earns its place when appearance or spatial position helps the reader identify a control, understand a complex layout, or confirm a state that prose cannot describe quickly. Text is usually enough for a simple, uniquely labeled action.

Capture the smallest useful area
Crop out unrelated tabs, personal data, notifications, and empty chrome. Keep the target control and the context needed to orient the reader. Do not crop so tightly that the window title, section heading, or neighboring control that distinguishes it is lost.
Keep captures consistent
Use one operating-system presentation, theme, zoom level, and window scale throughout a tutorial. Mixing light and dark themes or different application versions makes labels and positions appear to change. Re-capture all steps when you change the presentation.

- Prepare the state. Close unrelated windows, dismiss transient notifications, and place the pointer away from the control you are demonstrating unless the pointer position is meaningful.
- Set a readable scale. Maximize the application or use a consistent window size so labels remain legible on the published page.
- Capture the region. Select the smallest area that explains the step while retaining orientation.
- Annotate outside the interface. Add a numbered marker, outline, or arrow in an image editor when needed. Keep explanatory sentences in the article, not embedded in the screenshot.
- Remove sensitive data. Redact names, email addresses, tokens, customer records, and internal URLs before upload. Prefer a test account and sample data.
- Export deliberately. Use PNG for crisp text and interface lines; use JPEG or WebP when file size matters and slight compression is acceptable. Give each file a descriptive name such as

Windows example: Snipping Tool
On Windows, prepare the screen, press Windows+Shift+S, choose a capture mode, and select the area. Open the resulting snip to edit, save, or share it. The same sequence works as a concrete platform example; on another operating system, substitute its native capture shortcut while keeping the tutorial’s written actions platform-specific.
Write useful alternative text and image references
Every informative image needs descriptive alt text and equivalent instructions in nearby prose. Alt text should identify what matters for the step, not merely say “screenshot.” For example: “General settings dialog with the Display name field containing ‘Quarterly report’ and the Save button at the lower right.”
Do not make color, position, or the image itself the only signal. Replace “click the green button” with “select Save.” If a screenshot is purely decorative, use empty alternative text and keep the instructional content in the surrounding step.
Keep prose and image synchronized
Refer to controls by their labels in the step text, and ensure the screenshot shows the same state. If the application changes, update both the image and the wording. Never place a critical warning only inside an image annotation.

Review the complete path before publishing
Follow the tutorial from its stated starting point in a clean session. Confirm that every step has a visible result and that the final step reaches the promised outcome.
- Can a new reader identify the application, page, and account state?
- Does each step contain one clear action and the location where it occurs?
- Are Apply, Save, Done, or equivalent finishing controls included?
- Do screenshots match the documented platform, version, theme, and zoom?
- Is every screenshot cropped, legible, redacted, and supplied with useful alt text?
- Can the procedure be completed with the documented keyboard method?
- Are error branches and recovery actions placed immediately after the step that can fail?
