Start with your account data, assign each channel a role, put planned posts on a calendar, and adjust the plan as results come in.
1. Define the audience and the goal for each channel
Identify the audience segment you want to reach and the action you want a post to support. That action might be awareness, discussion, site visits, signups, or another measurable outcome. Give each platform a clear role: the same topic may need a different format or call to action on different channels, and not every post needs to serve the same metric.
Write down the intended outcome before choosing a posting time. Otherwise, it is easy to mistake likes or reach for success when the real goal is clicks, signups, or useful conversation.
2. Audit recent performance before setting a cadence
Review the accounts that actually reach your intended audience. Use each platform’s available analytics to compare post performance and audience activity. Depending on the platform, useful measures can include reach or impressions, reactions, comments, shares, clicks, saves, profile visits, and conversions.

Look for differences by format, day, time, geography, and campaign. A pattern is more useful when the posts being compared have similar topics and goals; a high-performing post may owe its result to its subject or creative, not its hour. Accenture’s 2022 content-calendar guide recommends using analytics to understand where an audience is and which content engages it.
3. Set a cadence your team can maintain
Choose a realistic minimum publishing cadence for each platform and content type. The available sources do not establish a universally correct number of posts per week, so treat cadence as a decision to test against your capacity and account results—not a rule to copy from a generic chart.
Prioritize work that can be published well and consistently. Accenture’s guide puts it plainly: “Posting frequently is important but remember to always prioritise quality over quantity!”

4. Match themes and formats to each platform
Choose a small set of recurring themes, then decide which formats make sense for each channel. Accenture gives Instagram images or video and LinkedIn text or links as examples, but these are not prescriptions for every account. Use your own results to decide what your audience responds to and what your team can produce reliably.

Keep the plan specific enough to guide production. For example, a theme might be a product tip, customer question, or event update; the format and goal can then vary by platform.
5. Choose time windows as hypotheses, not promises
Start with audience-activity data and your own post history when available. If your audience is spread across regions, consider the audience’s local time zones and distribute posts across relevant windows instead of using only your organization’s headquarters time.

There is no established magic hour. LinkedIn’s overview of when to post gathers findings from different studies and notes inconsistencies among them. Kirsti Lang, quoted on the page, advises experimenting with a posting schedule and examining your own analytics. Treat broad weekday or daytime recommendations as starting hypotheses rather than a universal rule for a LinkedIn page.
Sprout Social’s 2026 timing benchmark analyzed nearly 2 billion engagements across roughly 307,000 social profiles on Facebook, Instagram, LinkedIn, Pinterest, TikTok, and X. Its observation period was November 27, 2025 through February 27, 2026, and the reported times were in users’ local time. Sprout describes the aggregate findings as a baseline to test against each account’s performance; the sample is vendor-produced, not a census or forecast for every audience. A 2015 study of Facebook and Twitter reported gains of up to 17% in reactions on Facebook and up to 4% on Twitter from personalized recommended schedules in that study’s context. 6. Put the plan in a calendar people will use
A paper planner, spreadsheet, shared calendar, or scheduling service can all work. Choose the simplest format your team will keep up to date. For each planned post, record:
- Platform and account
- Date, time, and timezone
- Theme and format
- Goal or success measure
- Owner and approval or publishing status
- Whether the asset and caption are ready
- Any campaign, event, or other dependency
A calendar makes the plan visible and reviewable; it does not predict performance. A content calendar workbook is one example of a planner format that combines scheduling and analytics-review worksheets.

Native platform tools and third-party schedulers can reduce manual work. Consider supported networks and account types, timezone handling, collaboration and approvals, format-publishing limits, available analytics or export fields, and how easily the workflow lets you test timing. Verify current product terms and capabilities before choosing a service; the sources here do not provide an impartial feature or price comparison.

Do not treat a tool’s recommended send time as a guarantee. Sprout Social’s June 2025 model card says its Optimal Send Times recommendations use up to 16 weeks of profile engagement history and refresh weekly. When profile history is insufficient, the system falls back to network-level, timezone-specific aggregates. The card also says the recommendations do not guarantee engagement or virality. After publishing, record results against the goal you set for each post. Note what to test next. Where practical, change one or a small number of variables at a time—for example, compare time windows while keeping the format and topic broadly similar. Keep a better-performing slot only if it remains sustainable for your team.
