To create a multi-step Zap, build a workflow with a trigger and multiple actions in Zapier’s editor, test each step with sample data, then publish it. Add a Filter if the Zap should stop when a condition fails; use Paths if different conditions should lead to different actions.
What counts as a multi-step Zap?
A Zap starts with one trigger—the event that begins the workflow—and runs one or more actions afterward. Zapier classifies a Zap as multi-step if it has more than one action or includes a Filter or search step. Zapier’s workflow concepts guide lists multi-step Zaps as a paid-plan feature; its quick-start guide says multiple actions are available during a free trial or on a paid plan. Check your account’s current plan and trial status before building a workflow that depends on these features. Zapier’s quick-start guide and workflow concepts guide describe setup and terminology.
Create a linear multi-step Zap
- Start a blank Zap. In Zapier’s left sidebar, select Create a Zap. The editor saves your progress as a draft if you leave before finishing.
- Choose the trigger. Select the app and event that should start the workflow, then configure the trigger. For example, the trigger might be a new record in an app; the exact events depend on the apps connected to your account.
- Add and configure actions. Add each action the workflow should perform after the trigger. Configure its event and map fields from earlier steps into the appropriate inputs. Add another action for each additional task you want the Zap to perform.
- Add optional tools where needed. A search step can look for existing data; Formatter can transform data; Delay can pause the workflow; and Filter can prevent later steps from running unless its condition is met. These tools are optional, not requirements for every multi-step Zap.
- Test the steps. Use the editor’s test options and sample data to check that the trigger returns useful fields, mapped values reach the right action inputs, and each step behaves as intended.
- Review and publish. Check the action sequence and expected task use, then publish the Zap. Zapier says a published Zap runs its action steps whenever its configured trigger event occurs. You can inspect run data and step activity in Zap History. See the Zap workflows quick start guide.
Choose between Filter and Paths
| Tool | Use it when | What happens | Plan and task notes |
|---|---|---|---|
| Filter | Only matching records should continue. | If the condition passes, later steps can run. If it does not, the Zap stops. | Filter steps do not count toward task usage. The cited guide describes Filters as part of multi-step workflows. |
| Paths | Different outcomes need different actions. | Each branch has its own rules and actions. Branches run one at a time from left to right. | Paths steps do not count toward task usage; actions in a running branch do. Zapier lists Paths on Professional, Team, and Enterprise plans in its guide. |
Use a Filter for a gate—“continue only if this record meets the rule.” Use Paths for routing—“if this condition applies, do these actions; otherwise, handle another outcome.” Zapier’s guide to branching logic with Paths explains both approaches.
Add a Filter to stop nonmatching runs
- Add a Filter after the step that supplies the field you need to evaluate.
- Select that prior-step field, choose a condition, and enter the comparison value.
- Test the rule against sample data. Confirm the sample that should continue passes and that a nonmatching sample stops before later actions.
- Place the actions that should run only for matching records after the Filter.
A Filter is not a substitute for a separate outcome branch: when its condition is false, the later workflow stops rather than running an alternative set of actions.

- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
Use Paths for different outcomes
- Add a Paths step where the workflow needs to diverge.
- For each branch, define rules using a field, condition, and value. Rules within a branch can use AND, which requires every rule to pass, or OR, which requires at least one rule to pass.
- Test the branch rules with sample data, including cases near the boundary and any negative conditions. Verify which branch should match each case.
- Add at least one action to each branch and configure its fields using available data.
- Review the sequence and timing. Branches execute one at a time, left to right, so a Delay or other slow action in an earlier branch makes later branches wait.
Zapier’s Paths guide, updated July 1, 2026, documents a maximum of 10 branches in a path group, 3 nested Path steps in a Zap, and 100 total steps in a Zap, including steps inside paths. These are Zapier’s stated product limits and may change. Check the current Paths guide when planning a large workflow.
Understand task usage before publishing
Zapier says each action it successfully completes generally counts as one task. A Filter or Paths step does not itself count as a task, but actions that run in a path branch do. Estimate usage from the actions that will actually execute for your expected trigger events, rather than counting every condition step as an action. The workflow concepts guide and Paths guide describe task counting.

Troubleshoot a multi-step Zap before turning it on
- A later action has missing or incorrect data: Reopen its field mappings and confirm the selected value comes from the correct earlier step. Retest with a sample containing the fields the action requires.
- A Filter stops a record you expected to pass: Check the selected field, comparison condition, and value, then test the rule with sample data that should pass and fail.
- The wrong Path branch matches: Inspect every rule and whether the branch uses AND or OR. Test negative conditions carefully; an unintended match can route data to the wrong actions.
- A later branch seems delayed: This can be expected. Paths run sequentially from left to right, so a slow action or Delay in an earlier branch holds up later branches.
- The workflow exceeds a Paths limit: Rework the branch structure against Zapier’s documented limits: 10 branches per group, 3 nested Path steps, and 100 total Zap steps, including those inside paths.
After publishing, use Zap History to review run data and identify the step where a run stopped or behaved unexpectedly.
