To control access to an AI-assisted Google Doc, review its Share dialog, keep General access set to Restricted unless link sharing is intentional, and grant each collaborator only the role they need. Also check folder permissions: a person may retain access through a shared parent folder even after their direct invitation is removed. Gemini’s use of a file does not grant permission to open it.
Audit who can open the document
- Open the document and select Share.
- Review General access. Restricted means only people who already have access can open the file. Google says newly created Docs, Sheets, Slides, Vids, and Drive files are Restricted by default, but check the setting rather than relying on the default. Google’s privacy guidance explains the default.
- Check for link access. If General access is Anyone with the link, anyone who has that specific URL can use the file at the assigned permission level. That is broader than inviting named people. For work or school accounts, an administrator may limit available sharing options. See Google’s Drive sharing instructions.
Link access does not by itself mean a file is listed in Google Search. Google says link-access files are not crawled or indexed unless the link is published on a publicly searchable webpage. Publishing the link can expose it to a much broader audience, so do not treat “Anyone with the link” as a private invitation.
Choose a collaborator’s role
In the Share dialog, enter the person’s email address and choose a role. Google’s permission distinctions are:

Use the least-permissive role that supports the task. Editors may also be able to reshare; the owner can change the relevant sharing setting. Google documents the roles and sharing controls in its Drive sharing guide and sharing-control guide. External sharing may be unavailable on a work or school account if its administrator has restricted it.

Remove access, including inherited folder access
- In the document’s Share dialog, find the person, open the control beside their name, and choose Remove access. Save the change.
- To close access for link holders, change General access to Restricted.
- If the person can still open the file, inspect the containing Drive folder. Folder permissions can be inherited by files inside it, so removing a direct document invitation may not remove access granted through the parent folder. Change the folder permission if that is where access originates.
Google’s instructions for stopping or changing sharing describe these controls and inherited access.
Limit resharing and copying
Owners can use sharing settings to prevent editors from changing permissions or sharing the file. They can also control whether viewers and commenters may download, print, or copy it. These settings reduce certain ways of distributing the document, but Google cautions that they cannot stop people from sharing its contents in other ways. Do not treat them as protection against screenshots, transcription, or onward disclosure. For files in shared folders, folder permissions remain important. Understand what Gemini can access
Gemini source access follows file permissions
To add a Drive file as a Gemini source, you must have permission to view it. If Gemini reports You need access to some files.
, ask the file owner for access or use another source you can view. Selecting a source does not grant access to the underlying document.
Google says Gemini searches only the sources a user selects, but administrator-enabled app data and Workspace activity may also help it prioritize relevant information that is available to the user. Users can manage source settings. See Google’s guide to sources with Workspace Gemini.

Feature availability depends on the account
Gemini in Docs can help draft content, improve writing, and summarize content. Google says the feature requires an eligible Google Workspace or Google AI plan; it is not necessarily available to every Google account. Account eligibility and administrator settings can affect what a user sees. Google’s current overview is Gemini in Docs, Sheets, Slides, Vids, and Forms.
Google distinguishes AI processing from model training
Google states that private Workspace Docs, Sheets, Slides, Vids, and Drive files are not scanned to train foundational AI models, including Gemini. It also says prompts and generated suggestions are processed to provide the requested generative-AI assistance and handled under Workspace privacy commitments. That is Google’s stated policy; it does not mean a feature can work without processing the information needed to fulfill a request. Read Google’s privacy guidance for its explanation.

Sharing limits to keep in mind
Google’s Drive sharing help lists operational limits, though the surfaced help page does not state when those limits were last updated:
- When a Docs, Sheets, Slides, or Vids file is open on up to 100 tabs or devices, editing availability may be limited to the owner and some users with edit permissions.
- A single file can be shared with up to 600 individual email addresses.
- For an eligible work or school account, an access expiration date can be set within one year of the current date.
These are limits described in Google’s Drive sharing instructions; account type and administrator policy can affect which controls are available.
