You can connect Gemini to supported Google apps such as Gmail, Drive, Calendar, and Docs, then ask it to find information or—in some apps—create and update content. For a personal account, Gemini and the Google apps must use the same account and Keep Activity must be on. Work or school accounts also require an eligible Workspace edition and administrator approval. Before connecting, review what Google says may happen to content and activity, and follow your organization’s rules for confidential data.
What Gemini Connected Apps can do
Gemini’s Connected Apps link it to selected services so it can retrieve or summarize information and, for some services, create or edit items. Available apps and actions vary by account type, edition, location, language, device, and Gemini app. Check the Connected Apps list in your own Gemini settings rather than assuming every listed service or feature is available to you. Google describes the feature and its availability in Use & manage Connected Apps in Gemini.
For personal accounts, Google documents finding and summarizing information from Gmail, Docs, and Drive; retrieving, adding, and editing Tasks; creating and retrieving Keep notes and lists; and creating or managing Calendar events. It also lists limits: Gemini cannot access comments or images in Docs or Gmail, pictures and videos in Drive, create Drive folders or move Drive content, or count Drive or Gmail items or report storage. Connecting an app is not the same as granting Gemini unrestricted access to every Google service. Google says it may automatically use public information from Search, Flights, Hotels, Maps, and YouTube; access to personal information or content in those services is separate and requires permission. Availability also varies by platform and account. Details are in Google’s Connected Apps guide.

Connect apps with a personal Google account
- Use the same Google account. Sign in to Gemini with the account you use for the Google apps you want to connect. Google requires Keep Activity to be on for this Workspace connection.
- Start a new conversation. Ask Gemini to use a specific service, such as Gmail, Drive, Docs, Calendar, Tasks, or Keep. Alternatively, type
@in your prompt and select the service from the menu. - Approve the connection if prompted. If the app is not connected, follow Gemini’s prompt to connect it. Review the app and access request before proceeding.
- Check the result. Gemini should answer using the connected service where supported. Google says you do not need to name the app again in follow-up prompts within that same conversation.
To remove access later, open Gemini’s Connected Apps settings and disconnect the service. Google’s personal-account setup guide has the current connection details.
Connect apps with a work or school account
Organization-managed accounts have additional eligibility and administrator controls. Google lists supported Workspace editions and account conditions on its work or school account guide. Your organization must use a qualifying edition, Keep Activity must be on, and the Workspace administrator must enable access to apps. Only the administrator can manage these organization settings.

- Check with your administrator. Confirm that your organization’s edition qualifies and that Connected Apps are enabled. If a service you need is missing, ask whether your administrator permits it.
- Open Gemini with your work or school account. Available apps depend on your organization’s configuration and Google’s current eligibility rules.
- Start a new conversation and name the app. Mention the service in your prompt or type
@and choose it. Google says to request the connected service in each new conversation; you can continue with follow-up prompts without repeating the selection. - Review any permission prompt. Connect only what your organization allows and what your task requires.
Google’s examples for work or school include Gmail, Calendar, Chat, Docs, Drive, Keep, and Tasks. Its guidance also describes Classroom with English-language and administrator age-designation conditions, and mentions GitHub repository attachment. These examples do not mean every feature is enabled for every account. Check the current availability and conditions with your administrator.
What happens to connected content and Gemini activity
Google distinguishes between using source content to answer a prompt and using information derived from that content for service improvement or model training. Its Connected Apps personalization guidance says Gemini does not train generative models directly on a user’s Gmail inbox, Drive, Contacts, Calendar, or Google Photos imagery or audio. However, summaries, excerpts, generated media, and inferences from relevant content may be used to answer prompts and train models for service improvement. If a source is short or particularly relevant, its summary may be the email or file itself.

When Keep Activity is on, Google says prompts, responses, suggestions, and information about how responses were generated may also be used. A subset of Connected Apps data processed by Gemini may be reviewed by human reviewers, including trained service providers. That subset can include interactions and summaries, excerpts, and inferences from relevant emails and files. Google says it takes steps such as disconnecting reviewed interactions from the Google Account and reducing personal information, subject to stated exceptions. Read the full, current Connected Apps personalization guidance before deciding whether the feature is appropriate for your data.
Google’s advice is explicit: “Please don’t connect apps to Gemini if they contain personal or confidential information that you wouldn’t want to be used for training generative AI models.” It separately advises against connecting apps that contain confidential information you would not want a reviewer to see.

Reduce exposure and manage access
- Follow workplace rules first. Do not connect a work account until you know your organization permits the service and the relevant data use.
- Limit the apps you connect. Enable only services needed for the task, and disconnect them when access is no longer appropriate.
- Keep disconnection and activity deletion distinct. Disconnecting an app revokes that connection; it does not delete Gemini Apps Activity. If you want to manage or delete past Gemini activity, do that separately in Gemini activity controls. Google’s personalization guidance explains the distinction.
- Do not assume source changes erase Gemini activity. Removing or changing information in the connected service does not itself delete Gemini activity. Google says changes or deletions in a connected service may take days to affect the Gemini experience.
- Verify before acting. Gemini can provide inaccurate or outdated answers—for example, it may use an older email when a newer one exists. Review the sources listed with its response. Google’s connection guide describes this limitation.
