To get a PDF under your stated 2 MB upload limit, make a compressed copy, check that copy’s actual size, and inspect it before uploading. Compression can reduce image quality, and the amount of reduction varies; no particular result can be promised for an untested file.
What “under 2 MB” means for your upload
Use the limit shown by the specific portal you are submitting to. The 2 MB figure here is your stated requirement, not a universal PDF upload limit. If the portal distinguishes MB from MiB or rejects a file close to the limit, aim for a little below the stated maximum rather than relying on a borderline size.
PDF compression reduces the file’s stored data, often by optimizing images or removing unnecessary items. It does not guarantee a particular reduction: the result depends on the PDF and the compression options. A document dominated by scanned images may respond differently from one that is mostly selectable text.

Compress a PDF with Adobe Acrobat
Use Acrobat on the web
- Sign in to Acrobat on the web.
- Choose Convert > Compress a PDF.
- Select a compression level and run compression.
- Download the compressed file from Adobe cloud storage.
Adobe’s web workflow offers three compression levels. Its help page says the compressed file is automatically saved to Adobe cloud storage and can then be downloaded. See Adobe’s web instructions for compressing PDFs.
Use Acrobat desktop
For a standard compression workflow, use Acrobat’s PDF compression feature. If you need finer control, Adobe documents an Advanced Optimization path in desktop Acrobat Pro, Premium, or Studio, with controls for items such as images, fonts, and transparency. Reduce a PDF’s size in Preview on Mac
- Open the PDF in Preview.
- Choose File > Export.
- In the Quartz Filter menu, choose Reduce File Size.
- Save the result as a new file so the original remains available.
Preview also offers options to optimize images for screen viewing or save images as JPEG. Apple warns: “When compressed, the PDF may be of lower quality than the original. The resulting file size and image quality may vary depending on the options you select.” This is a Mac-specific workflow; it should not be assumed to exist on other operating systems. Check the compressed file before uploading
- Keep the original. Save the compressed version under a different name so you can return to the source if the output is too blurry or a required feature is missing.
- Check the output file’s actual size. Confirm it is below the portal’s stated limit, not merely smaller than the original.
- Inspect representative pages. Open the compressed copy and check small text, scanned pages, signatures, diagrams, and other details that matter in your document.
- Check required behavior. Confirm that any features you need, such as selectable text or links, still work.
- Upload the verified copy. Make sure you select the compressed version rather than the original.
A smaller byte count alone does not establish that a PDF is suitable to submit. The right result is both below the portal’s limit and usable for the person who needs to read or process it.

If the PDF is still too large
- Try a stronger compression level or adjust optimization settings, then repeat the size and readability checks.
- If the PDF contains scanned pages, image optimization may reduce its size but can also make fine text harder to read. Compare the affected pages at normal viewing size.
- If stronger compression damages important details, return to the original and consider whether the portal accepts another format or a different submission method; check the portal’s instructions rather than assuming it does.
For routine handling of many PDFs, Adobe’s PDF Services API materials describe compression levels and assessing file size before compression. That is a developer-oriented option, not a necessary step for a one-off upload: Adobe PDF Services API compression documentation.
