To compare small-business checking accounts, model your business’s typical monthly balances, transactions, cash deposits, and payment needs. Then calculate what each account is likely to cost after its waiver rules and overage charges, and compare access, support, eligibility, and deposit-insurance treatment. Which checking account is right for your business depends on how you use it—not just the advertised monthly fee.
How do I compare small-business checking accounts, fees, and payment features?
Use the same representative month and business profile for every account you consider. First estimate your normal activity; then price it against each provider’s rules. Account terms change, and some fees depend on location, so verify the current account agreement and fee schedule before applying.
- Count your activity. For a typical month, estimate deposits and deposited items, checks, ATM transactions, point-of-sale debit purchases, ACH debits and credits, wires, and cash deposits. Use each bank’s definition of a counted transaction; definitions can differ.
- Check the maintenance-fee waiver. Note the monthly fee, the balance or activity needed to waive it, how and when the bank measures that requirement, and whether linked accounts or other banking relationships count.
- Price activity beyond included limits. Compare the included transaction count and cash-deposit allowance with your forecast. Estimate charges for excess activity, and check whether particular channels or services carry separate fees.
- Match payment features to your workflow. Compare ACH, bill pay, domestic and international wires, mobile check deposits, cash-deposit options, and expedited or same-day payments. Record free quantities, caps, and per-payment charges.
- Assess day-to-day access. Consider branch locations, ATM access, cash handling, online and mobile tools, customer support, account-user permissions, alerts, and any bookkeeping or payroll workflow requirements.
- Confirm eligibility and ownership. Check that your business type and owners qualify. For FDIC insurance, legal ownership and account title affect how deposits are grouped.
Use this planning formula for each account: expected monthly cost = monthly maintenance fee after any waiver + transaction overage charges + cash-processing charges + expected wire, expedited-payment, and service fees. Include only fees that apply under that bank’s current disclosures; this estimate is not a quote.
What costs should go in the comparison?
A monthly fee is only one component of cost. The waiver may depend on a balance you cannot reliably maintain, while transaction or cash-deposit overages may raise the effective price. Compare the rules as well as the headline amounts.

- Monthly fee and waiver: Record the fee, each available waiver route, the balance-measurement method, and whether qualifying balances can be combined across accounts.

Which payment features should I check?
ACH and bill pay
Find out whether incoming credits, outgoing payments, payroll, vendor payments, and ACH debit activity are included. Check whether expedited ACH costs extra; Capital One notes that expedited ACH options may carry an additional charge. For bill pay, ask what counts as a payment and whether faster or same-day delivery has a fee.

Wires
Compare incoming and outgoing domestic and international wires separately. Check any free monthly allowance, currencies supported, cut-off times, and potential exchange-rate costs where applicable. A tier’s wire pricing may differ from another tier at the same bank.
Checks and mobile deposits
Check whether mobile deposit is available and whether its limits and hold times fit your business. If you need remote-deposit equipment or services, include any scanner or service costs in your comparison.

Cash deposits
Confirm where you can deposit cash, the fee-free threshold and its fee period, and the charge above that limit. A branch or ATM network that is convenient for non-cash banking may not meet your cash-handling needs.
Card and app payments from customers

How does FDIC insurance apply to business deposits?
The FDIC’s standard deposit-insurance limit is $250,000 per depositor, per FDIC-insured bank, per ownership category. FDIC: Understanding Deposit Insurance
Business deposits are not all grouped the same way. A sole proprietorship’s deposits are generally insured as the owner’s single-account deposits and combined with the owner’s other deposits in that category at the same bank. Deposits belonging to a qualifying corporation, partnership, or unincorporated association are treated under the business-entity category; the general rule is up to $250,000 for the entity at one insured bank, subject to FDIC requirements. Opening multiple checking accounts at the same bank does not automatically multiply coverage. Review how your business is legally organized and titled, and use the FDIC’s guidance for your circumstances.

What should I put in a side-by-side worksheet?
Use the same business profile for every provider so the comparison reflects your likely costs and operations, not different assumptions for different banks.
- Monthly fee, waiver requirements, and how the qualifying balance or activity is measured
- Included transaction count, transaction definition, fee period, and overage charge
- Cash-deposit allowance, fee period, and excess-deposit rate
- ACH, bill-pay, wire, mobile-deposit, and expedited-payment inclusions and charges
- Branch, ATM, and cash-deposit access, plus digital administration and support
- Eligibility, balance requirements, and any location-specific terms
- How the business’s legal ownership affects FDIC coverage
Write down the provider, account name, applicable location, fee period, and the date you verified each price. Recheck the agreement and fee schedule before applying, especially where the provider’s page asks you to select a state.
