Choose workers’ comp form integration software by first deciding whether you need a maintained library of forms populated from claims data, electronic data interchange (EDI) reporting to state systems, or both. They solve different problems. Then verify the software against your jurisdictions, claims platform, data mappings, filing workflow, and state-specific onboarding requirements—not just a vendor’s form count or general compatibility claim.
What do you need the software to do?
“Workers’ comp form integration” can describe two related but distinct functions. A forms service supplies documents and may populate them using information in a claims system. EDI software sends structured claim data to a government agency in the format that agency accepts. A product may support one function without supporting the other, so define the required workflow before comparing vendors.

Do not assume a completed or populated form has also been submitted through EDI, or that an EDI filing gives staff the printable form workflow they need.
Build a jurisdiction and workflow inventory
Before asking for a demo, record where you handle claims and what must happen at each stage. “All states” is not a useful requirement unless you specify the forms, transactions, and workflows that phrase includes.

- Jurisdictions: list each state and any federal program in scope.
- Claim stages: identify when a form or report is created, reviewed, filed, corrected, and retained—from first report through claim closure, where applicable.
- Forms and transactions: name the exact documents and EDI transactions you use, including subsequent reports or payment reporting if required.
- Current path: map claim-data entry, form creation, staff review, agency submission, acknowledgement, rejection or correction, and record retention.
- Systems and users: note your claims platform and version, desktop or browser environment, other connected systems, and the teams responsible for each handoff.
This inventory turns broad vendor assurances into testable requirements. It also helps expose work that remains manual even if a form can be generated automatically.
Check each jurisdiction’s reporting rules
EDI standards and filing prerequisites are jurisdiction-specific. Confirm the current implementation material with each relevant agency rather than assuming that one state’s setup applies elsewhere.
Pennsylvania
Pennsylvania’s Workers’ Compensation Automation and Integration System (WCAIS) describes EDI as a computer-to-computer exchange of standard business data, including accident, payment, insurance, and medical information. Its implementation materials include event and data-element tables, edit matrices, a testing strategy, error-code descriptions, mapping references, form-to-transaction guidance, and change logs. The state identifies Claims Release 3 standards developed by the International Association of Industrial Accident Boards and Commissions.

For EDI First and Subsequent Reports, Pennsylvania says acceptance depends on a completed Trading Partner Agreement packet and successful testing. It describes three filing routes: the WCAIS web portal, a transaction partner, or a direct filer. Ask a prospective vendor which route it supports and what work remains yours; an integration does not remove the state’s onboarding conditions.

Virginia says EDI became the required method for reporting workplace injuries and payments to injured workers there beginning in October 2008. Its process includes registration before production approval and review of failed transactions. Virginia also publishes a list of vendors handling its EDI reporting, but explicitly says the list is not an endorsement or recommendation and may not include every capable vendor.
These examples show why a vendor’s claim of broad coverage is only a starting point. For every jurisdiction in scope, verify current standards and releases, transactions, registration, testing, permitted submission routes, and procedures for errors and corrections.

Evaluate the integration, not just the product description
A vendor should be able to explain how its software connects to your actual claims environment and how information moves through your workflow. Ask for a demonstration using your platform, representative forms, and realistic claim data—not a generic walkthrough.

For each mapping, establish what happens when data is absent or ambiguous. A system that silently inserts a default or allows an incomplete record to pass can create different operational risks from one that stops the workflow and explains what needs attention. Confirm the behavior in a test environment and agree who resolves each exception.
Test the workflow before committing
Use a scripted demonstration or proof of concept that follows a claim through the parts of the process you intend to automate. Include routine and failure cases; a clean sample alone will not show how the integration behaves under operational conditions.

- Generate a representative form. Check that the intended claims fields populate the correct form fields and that staff can review, save, or print the result as needed.
- Submit representative EDI data, if required. Confirm the jurisdiction, transaction, standard or release, and filing route match your requirements.
- Exercise exceptions. Test missing values, conflicting values, rejected records, duplicate claims, and a correction or resubmission. Observe the message staff receive and the steps needed to resolve the issue.
- Test a revision. Ask the vendor to show how a form or standard change is announced, checked, approved, and made available in your environment.
- Review traceability. Confirm what the system records about source data, generated documents, submissions, acknowledgements, errors, corrections, and user actions.
For state EDI, do not treat a successful vendor demonstration as a substitute for the agency’s own onboarding or testing. For example, Pennsylvania requires its trading-partner agreement packet and successful testing for acceptance of First and Subsequent Reports.

WorkersCompensation.com describes its Simply Forms service as a form auto-population product with over 1,100 documents. On its product page accessed in 2026, the company says the library is continuously updated, supports printable and savable forms from First Report of Injury through claim closure, offers an API for existing desktop and browser-based claims systems, and allows custom forms and letters. Those are vendor statements, not independently verified counts, performance results, or proof of compatibility with a particular buyer’s system.
Use those claims to frame specific questions: which of your states and exact forms are included, how current versions are identified, which claims platforms and versions the API supports, how custom forms are maintained, and what implementation and security documentation are available. The product page does not provide a detailed compatibility matrix, pricing, or implementation scope, so request those details directly before treating the service as a fit.

The same page attributes this statement to Insurity, without naming a speaker or role: “Monitoring and managing compliance changes for all 50 states and federal jurisdictions can be a time-intensive process. The Simply Forms product by WorkersCompensation.com provides real-time updated versions of the necessary state forms required for filing and eliminates the need for our customers to monitor and review compliance updates themselves.” Treat it as promotional testimony attributed to Insurity, not an independent assessment of update coverage or customer outcomes.
Compare total effort and ongoing ownership
Do not compare solutions on license price alone. Request a written breakdown of implementation work, recurring charges, volume limits, internal resources, support, and training. The available product and agency pages do not establish comparable vendor pricing, savings, implementation times, or error-reduction results; ask vendors for terms that match your volumes and scope rather than relying on unsupported averages.
Assign named owners for both launch and steady-state operations. Document who reviews mappings, coordinates jurisdictional testing, approves changes, monitors failures, and keeps staff procedures current. If a vendor maintains a form library or standards mapping, clarify what that commitment covers and what still requires customer review, approval, or testing.
