Choose phishing response automation software by how well it handles your full workflow—from employee report or alert through investigation, controlled remediation, case handoff, and audit—not by an “AI” or “automation” label. Start with the capabilities already included in your email-security platform, then compare evidence quality, integrations, permissions, approval controls, licensing, and performance in a pilot using both malicious and benign reports.

What should phishing response automation do?

Map the work your team needs the software to perform before comparing products. A useful workflow connects each stage rather than automating triage in isolation.

  1. Intake: Receive reports from employees, detection alerts, a reporting mailbox, or an API. Preserve the original message and enough information to investigate it.
  2. Triage: Classify the report, distinguish likely benign messages from suspicious ones, identify duplicates, and explain why a case is being cleared or escalated.
  3. Investigation: Gather relevant evidence about the message, sender, URLs, attachments, recipients, similar messages, click activity, and—where useful—related account or cross-domain activity.
  4. Response: Recommend or carry out actions such as removing or quarantining malicious messages. Define which actions require analyst approval.
  5. Closure and handoff: Record decisions and actions, update the security queue or case system, and make ownership clear when escalation is needed.

Ask vendors to demonstrate the transitions between these stages, including what happens when evidence changes an investigation’s scope, an integration fails, or a report is a false positive. A tool that classifies reports but leaves the investigation, response, or case closure disconnected may not reduce the work your team needs to remove.

How do you compare products?

Use the same workflow and test cases to evaluate each candidate. Record what the product actually does, what evidence it exposes, what your analysts must still do, and which license or configuration enables each capability. These criteria are a buyer framework, not a verified cross-vendor performance ranking.

Area Questions to ask Evidence to verify
Email platform and tenant fit Which email platforms, tenant configurations, and message types are supported? What useful native response capabilities do you already have? Demonstrate intake and investigation in your own environment, with the licenses and settings you would deploy.
Intake Can employees report messages through your chosen button or tool? Can the product also consume mailbox or API submissions? Are original messages preserved in a usable format? Test a real report end to end, including the reporting tool, mailbox or API route, and any required message attachment format.
Triage and evidence How are benign reports cleared, malicious reports prioritized, and duplicate reports handled? Can analysts see the evidence and rationale behind a classification? Review representative cases and check that analysts can understand why each was resolved or escalated.
Investigation scope Can the investigation connect the reported message to URLs, attachments, recipients, similar messages, click activity, user or account context, and relevant activity in other security domains? Confirm which evidence is actually available for your environment and how new findings affect the case.
Response controls Which actions are recommendations and which can run automatically? Can you set approval thresholds, recover from a false positive, and identify who owns rollback? Test the action, approval, recovery, and audit paths—not just the initial remediation command.
Integrations and case ownership Can it deliver the data your team needs to its SIEM, SOAR, ticketing or case-management, identity, endpoint, and email systems? Who owns the case after handoff? Validate the actual payload and workflow, including duplicate events, missing message data, failed delivery, and case closure.
Administration What roles, service accounts, agent identities, alert policies, and audit settings are required? Who maintains them? Confirm permissions, operational ownership, alert tuning, and audit visibility with the administrators who will support deployment.
Commercial fit Which capabilities are already included in your subscriptions? Are add-ons, capacity, user count, geography, or contract terms relevant? Check the current entitlement and regional quote for your organization rather than assuming a feature follows from a product label.

What can Microsoft 365 buyers verify in Defender?

Microsoft documents one platform-specific example; it should not be read as an independent comparison with other vendors. Defender for Office 365 Plan 2 includes automated investigation and response (AIR) and is available in some Microsoft 365 licenses, including E5, or as a standalone subscription. Microsoft describes AIR as evaluating supported alerts and related evidence, then queuing recommended remediation actions for SecOps personnel to approve or reject. Microsoft’s AIR documentation describes the supported workflow and configuration dependencies.

AIR: investigation and recommended response

Microsoft says AIR can be triggered by supported alert policies, user submissions, or an analyst starting an investigation. User submissions and suspicious email, click, and mailbox alerts can initiate an investigation; evidence discovered during it can expand the investigation’s scope. Alert policies, permissions, audit logging, and approval settings affect how the workflow operates. Changes to policies, disabled alerts, or custom replacements can also change whether or how it runs, so validate your intended configuration rather than assuming every report automatically enters the same process.

For user-reported phishing, Microsoft’s documented examples show an Outlook report triggering an alert and investigation playbook. The investigation can examine sender and sending infrastructure, similar messages, attachments, URLs, recipients, and potential click activity, then recommend actions. Microsoft also documents an API-based path to connect AIR data with SIEM and case-management systems. Confirm the data delivered, its timing, ownership, and response workflow during a pilot; an available API path alone does not establish that it fits your case process. See Microsoft’s AIR examples.

Phishing Triage Agent: a separate entitlement and setup check

Microsoft Security Copilot’s Phishing Triage Agent classifies user-reported messages, but it is a distinct capability from a generic promise of phishing automation. Microsoft documents prerequisites including provisioned Security Compute Units, Defender for Office 365 Plan 2, Unified RBAC, user-reported-message monitoring, an enabled alert policy, and appropriate data permissions. Microsoft also cautions that alerts resolved by alert-tuning rules are not triaged by the agent. Check the current Phishing Triage Agent prerequisites and behavior against your tenant and licensing before treating it as available.

Third-party reporting tools: verify the message handoff

Microsoft supports integrating a third-party reporting tool with its user-reported-message and AIR flow, but the documented route has specific requirements: the reporting mailbox must be Exchange Online, and the original message must arrive as an uncompressed .EML or .MSG attachment. Confirm that the reporting tool you use preserves that format and that the resulting report reaches the intended investigation workflow. See the Defender for Office 365 security operations guide.

How should you evaluate licensing and total cost?

First determine whether the capabilities you need are already covered by your existing subscriptions. Microsoft’s product page lists the following US annual-subscription prices as accessed on October 7, 2026. These are Microsoft-listed prices, not a quote for your organization; pricing and packaging may change or vary by region, and eligibility depends on existing subscriptions.

Check the current Microsoft Defender for Office 365 product page and confirm regional pricing, bundles, eligibility, and any separate Security Copilot capacity requirement with your licensing contact. Compare the cost of the complete operating setup—not just the per-user subscription—including required capacity, configuration, integration work, and the staff time needed to review or maintain the workflow.

How do you run a useful pilot?

Use a limited pilot to validate the workflow in your own tenant before expanding deployment. Include the administrators and analysts who will own configuration, review, and case handoff.

  1. Trace the existing process. Follow a report from the employee’s reporting button through the security queue and ticket closure. Include mailbox and API routing where applicable.
  2. Test malicious and benign reports. Use representative submissions and inspect the triage rationale, evidence, duplicate handling, and escalation. For false positives, test how a decision is corrected and any affected messages are restored.
  3. Set response boundaries. Identify which actions are recommendations and which can run automatically. Define approval thresholds and assign an owner for rollback.
  4. Exercise the integrations. Validate the data in your actual SIEM, SOAR, or case-management system. Test failed delivery, duplicate events, and missing message data, and assign case ownership.
  5. Confirm operational readiness. Review role permissions, audit logs, alert tuning, licensing, capacity requirements, and regional contract terms before deployment.

Use the results to decide whether the tool reduces repetitive work without making investigations harder to understand or control. If the pilot cannot show what evidence drove a decision, who approved an action, or how a case reached closure, resolve those gaps before scaling.
