Choose the event by the outcome you want—not by its label. A festival may combine talks with cultural or community activities, a conference usually offers a scheduled programme of sessions, and a meetup often centres on focused discussion. Those formats overlap, so check the actual programme, audience, interaction style and full cost before you commit.
What distinguishes each event format?
These labels describe common patterns, not fixed rules. An event’s schedule is a more reliable guide than its name.
Tech festival
A tech festival may combine technical content with exhibitions, performances, workshops, screenings, music or community participation. For example, BornHack describes its 2026 event as a seven-day outdoor camping festival with talks, workshops, music, performances, installations and volunteer participation (BornHack 2026 programme). Mesh’s 2026 festival combines art-and-technology exhibitions, performances, screenings and workshops with conference talks and panels (Mesh Festival). These are examples, not a universal definition.
Tech conference
A conference typically has a published schedule of talks, panels, tutorials, workshops or parallel sessions. The tcworld conference distinguishes presentations for information, tutorials and workshops for learning, and meetups for exchange and networking (tcworld format descriptions). Check the session descriptions, speakers, topics and intended audience to judge whether the programme fits you.

Tech meetup
A meetup often gives participants time to discuss a focused topic and connect with peers. tcworld describes meetups as open, small-group discussions in which attendees choose topics; Web Summit describes formats ranging from spontaneous gatherings to facilitated topic discussions and speed networking (Web Summit meetup explainer). A meetup can also include a short presentation, so verify how much time is reserved for conversation.
Choose by the result you want
Start with one concrete outcome. For instance, you might want to learn about a subject, practise a skill, hear developments across a field, meet peers, explore the intersection of technology and culture, or take part in a professional community. Then ask whether the event’s actual format can deliver that result.

This is a starting point, not a promise about what any format will deliver. Event labels can overlap; inspect the schedule rather than assuming that a festival is mainly social, a conference is only talks, or a meetup is entirely conversational. - Set your priority. Write down the one outcome that matters most. If you have several, rank them so you can make a trade-off.
- Read the programme. Check session types, topics, number of tracks, activities and schedule. For a festival, look at how technical sessions compare with other activities; for a conference, check session detail; for a meetup, establish whether it is discussion-led or presentation-led.
- Check the audience. Look for clues about attendee roles and the community the event is designed for. Consider whether speakers, facilitators and likely participants are relevant to your goal.
- Assess how you will participate. Decide whether you want to listen, do practical work, join an attendee-led discussion or network. Timings can help: tcworld lists a 60–70-minute meetup and a 105-minute practical workshop, but those are examples of that organizer’s formats, not general duration standards.
- Calculate the whole commitment. Include admission or registration, transport, accommodation, time away and any required add-ons. A ticket price alone does not represent the full cost of attending.
- Verify current details with the organizer. Confirm dates, venue, ticket terms, registration requirements and the live programme before booking travel. Event details can change between editions.
- Be willing to wait. If none of the options has a suitable programme, audience and cost, another event or edition may be a better choice.
