Choose an enterprise AI assistant by matching its protections, data handling, administration, and support commitments to your organization’s requirements—not by relying on a vendor ranking. The key is to verify the exact product plan, configuration, contract, and region, then test the controls with representative work before expanding access.

What should an enterprise AI assistant meet before it makes the shortlist?

Start with the information the assistant could access and the obligations attached to it. Inventory data classes, regulated workloads, identity providers, collaboration and business systems, and the regions your organization is permitted to use. Those details determine which controls are mandatory and which integrations need testing.

Turn that inventory into requirements you can verify. For each requirement, identify the product tier and configuration that must satisfy it, and decide what evidence will count. A feature page alone cannot establish that a control is included in your chosen plan or covered by your contract.

Data use and retention Are prompts, files, outputs, and connector data used to train models? How long is each type retained? Can retention be configured, and how is deletion handled? Applicable DPA and product terms, plan documentation, admin settings, and deletion evidence.
Data location Where is information stored, where does inference happen, and what processing occurs through search, agents, connectors, or subprocessors? A product-specific region matrix, residency terms, and current subprocessor list.
Identity and access Does the service support your SSO and provisioning setup? Do connected sources retain their permissions when the assistant retrieves information? Identity configuration documentation and tests using representative users, groups, and source permissions.
Governance and assurance Are audit logs, retention policies, sensitivity labels, DLP, and key management available in the selected SKU? Which certifications cover the service and region? Admin configuration, audit exports, policy tests, key-management documentation, and current assurance reports with scope statements.
Support What response targets, escalation route, incident communications, and service-level commitments apply to this product and region? The actual support plan and contractual terms for the selected offer.
Operations and cost How do connectors, agents, APIs, usage limits, included allowances, and overages work? Pilot evidence, a written quote, metering details, and administrative spend controls.

Map every must-have to the exact SKU or plan, enabled features, region, and contract. Request the current DPA, security evidence, subprocessor list, support terms, and service levels; record any exceptions, their owner, mitigation, and a date to review them.

How do you assess security and data governance?

Treat enterprise protection as a bundle of contractual and technical controls. Check the data-processing terms and model-training policy alongside retention, identity and access management, auditability, connector permissions, encryption, and safeguards against prompt injection. Confirm who can administer each control and whether it is enabled by default or requires configuration.

Pay particular attention to retrieval from company systems. The assistant should not make material available to a user who could not access it in the source system. Test that behavior with different user roles and groups, and check what administrators can audit. Google says Gemini Enterprise enforces document-level access for connected content; Microsoft says Copilot can inherit permissions, sensitivity labels, retention policies, and audit settings. The applicable controls vary by edition, plan, and connector, so validate the actual integration rather than assuming permission behavior is uniform. Also inspect the boundaries around connected services. Search grounding, agents, and third-party connectors can have separate handling terms or privacy statements. Ask which services receive prompts or retrieved content, what those services retain, and whether their terms are included in your organization’s commitments.

What does “hosting” mean for an AI assistant?

Hosting is not a single location. Evaluate at least three distinct questions: where customer data is stored, where model inference takes place, and where related processing occurs. A residency statement about stored data does not, by itself, establish where inference or every connected service operates.

Check the geography of each feature you plan to use, including web search, agents, and connectors. Microsoft says web queries sent to Bing have separate handling: Microsoft acts as an independent data controller for that service, and the queries are outside the EU Data Boundary. The same Microsoft documentation says its cited HIPAA support applies to properly configured implementations but not web search queries, and that Anthropic models are excluded from the EU Data Boundary and applicable in-country processing commitments in this context. Regional controls can also have feature limitations. Google’s security documentation for Gemini Enterprise Standard and Plus and Gemini Notebook Enterprise lists data residency, customer-managed encryption keys (CMEK), VPC Service Controls, and Access Transparency. It states that CMEK and Access Transparency are unavailable in the global region, and that some controls do not apply when Grounding with Google Search is enabled. How do the documented vendor controls compare?

The following are examples from official product documentation reviewed October 7, 2026—not a ranking or a substitute for checking current terms. The products and editions are not directly interchangeable, and eligibility may depend on configuration, region, or customer status.

ChatGPT business products OpenAI describes retention controls for qualifying organizations, security and compliance commitments including SOC 2 Type 2 and ISO certifications, DPA availability, and BAA availability for ChatGPT for Healthcare and API healthcare customers. It lists eligible data-at-rest residency locations and in-region GPU inference options in the US or Europe for eligible customers, as well as enterprise controls including SCIM and role-based access controls. Claude Enterprise Anthropic’s Enterprise plan article lists audit logs, SCIM, custom retention, Compliance API, Analytics API, customer-managed keys, and US-only inference. How should you evaluate vendor support?

Make support a separate procurement decision. Ask for the support plan that applies to the selected product, region, and deployment, rather than inferring coverage from a security certification or a vendor’s general security operations. Put the response targets, escalation path, incident-notification process, service-level commitments, and support hours into the evidence record or contract.

The official pages cited above do not establish directly comparable support tiers or response times across these vendors. Compare the written commitments for the offers you are considering; do not assume that a feature list or assurance badge tells you how quickly a production incident will be handled.

How do you run a pilot that can support a purchase decision?

Use realistic tasks and safe test data, with success criteria set before the pilot starts. Include security and operational checks, not only user preference or answer quality.

  • Task quality: Define representative tasks and a review method for whether results are useful and correct for your workflow.
  • Latency and reliability: Measure response times and integration behavior under the conditions your users will encounter.
  • Permission boundaries: Test retrieval with users who have different source-system rights and confirm that restricted content stays restricted.
  • Governance evidence: Confirm that expected audit events appear, retention and deletion behave as required, and administrators can review the evidence.
  • Feature-specific handling: Test web grounding, agents, and connectors you intend to enable, including their data flows and terms.
  • Adoption and cost: Track whether intended users can complete their tasks and compare metered usage or seat costs with the written offer and controls.

The sources cited here do not provide an independent, directly comparable performance benchmark. A pilot can establish fit for your workloads; it cannot support a general claim that one vendor is more accurate or productive for every organization.

What should be documented before broad rollout?

Keep a decision record that connects each requirement to evidence and an accountable owner. Include the selected product tier and configuration, approved regions and features, contract and support terms, pilot results, unresolved exceptions, mitigations, and a re-review date. Product capabilities, branding, eligibility, regions, and terms can change, so recheck the applicable documentation and contract when the service or configuration changes.
