Choose a work chatbot by checking how its exact account and plan handle your data first; then compare the controls, integrations, workflows, and full cost you need. A personal account may have different terms from a workplace plan, and a promise not to train on your data does not mean the service retains nothing.
Start with the account and data rules
Before comparing models, identify which account type your staff will use and what data they may enter. A provider’s consumer terms do not automatically apply to its workplace product, and workplace protections may depend on signing in with an organization account or choosing a named business plan.
- OpenAI: OpenAI says data—including inputs and outputs—from ChatGPT Business, Enterprise, Edu, Healthcare, Teachers, and its API platform is not used to train or improve models by default. That is a statement about the listed services, not a guarantee about every product, feature, or account. OpenAI’s business data page describes the policy and related protections.
- Microsoft: Microsoft says Copilot Chat provides enterprise data protection when users sign in with a work or school account. Under that protection, it says prompts, work content added to prompts, and responses are not used to train foundation models. Do not assume a personal account receives the same treatment. Microsoft’s workplace data-protection page explains the conditions.
- Anthropic: Anthropic says Claude for Work is governed by work-plan terms, with Anthropic acting as a data processor, and distinguishes those terms from consumer terms and the consumer privacy policy. The cited explanation establishes the account and contract distinction; it does not by itself settle every question about training, retention, or features. See Anthropic’s team-data explanation.
For any candidate, get clear answers about prompts, uploaded files, and generated responses: whether they can be used for model training, what is retained, for how long, who can configure deletion, and whether exceptions apply. Treat training and retention as separate questions. A no-training policy does not establish zero retention.
Use this checklist to evaluate each plan
Ask the same questions of every shortlisted service, and record answers for the specific plan, region, account type, and features you expect to use.

- Data use and retention: Are prompts, files, and outputs used to train or improve models? What retention periods and deletion controls apply? Are any features or exceptions treated differently?
- Access and administration: Can administrators manage identities, provisioning, roles, usage visibility, audit needs, and spending at the level your organization requires? OpenAI describes differences in administration between Business and Enterprise; check the selected plan rather than assuming all controls are included. Its business data page outlines provider-described controls.
- Security and residency: Check encryption, access controls, supported data-residency locations, and the scope of any certification or security report against the service and feature you will actually use. OpenAI’s security and privacy page lists examinations and certifications for specified services; it is not a comparison of vendors or proof that a particular customer configuration meets its obligations.
- Compliance and contract: Have security or legal reviewers inspect the current data-processing terms, product terms, regulatory scope, and configuration requirements. Microsoft says organizational use is covered by its DPA and Product Terms, but its FAQ narrows its HIPAA statement: it applies to properly configured prompts and responses and excludes web-search queries. - Features and integrations: List real work tasks—drafting, summarizing, research, coding, meeting follow-up, or working with internal files—and confirm which are available in the exact plan. Verify approved connectors and what data they can expose. Product descriptions can help identify questions to ask, but do not prove every feature is included in every tier or region.
- Usage limits and full cost: Confirm per-seat or usage-based charges, minimum seats, billing frequency, included usage, and add-ons. Verify current regional and billing terms directly before comparing totals.
Match the product to the workflow
ChatGPT Business and Enterprise
OpenAI describes ChatGPT Business as a team workspace with work-task tools, connectors, and administrator visibility. Those descriptions are useful starting points for a feature review, not evidence that every capability is available in every plan or location. Check the ChatGPT Business product page alongside the exact plan terms. OpenAI says some provisioning, roles, analytics, residency, and security capabilities differ between Business and Enterprise; confirm the features your administrators require.
Copilot Chat for work or school
Microsoft describes Copilot Chat as web-powered chat for research, analysis, and inspiration for work or school use. Evaluate it as that offering rather than assuming it includes every feature of Microsoft 365 Copilot. Confirm the relevant product and data protections in Microsoft’s workplace data-protection guidance and FAQ.

Claude for Work
Anthropic’s cited team-data guidance clarifies that Claude for Work has work-plan terms and a processor relationship distinct from consumer use. Ask Anthropic for the current plan-specific details on training, retention, administration, integrations, and features before treating it as suitable for a particular category of company data. The available cited explanation does not establish those details in full.

Run a low-risk pilot before sensitive work
- Ask security, legal, or procurement to approve the account type, contract, retention settings, and intended data categories.
- Have a small group test representative, non-sensitive tasks—such as drafting, summarizing, or researching—under the approved work accounts.
- Check whether the results fit the workflow and whether the necessary integrations, access controls, and administrative visibility work as expected.
- Only expand use to more sensitive information after the organization has verified the applicable terms, configuration, and safeguards for that data.
