Choose an AI assistant by testing it on your team’s real work—not by picking a universal “best” model. Compare workflow fit, business-data terms, administrator controls, total cost, and performance on representative tasks. Claude, Gemini for Google Workspace, Microsoft 365 Copilot, and ChatGPT Business all offer workplace options, but the available product information does not establish one winner for every team.
Start with the work your team needs to do
List common tasks and where the relevant information already lives: email, documents, chat, calendars, code repositories, or customer systems. Include the people who will use the assistant and the systems administrators must govern. This creates a practical shortlist and gives you tasks to test later.
For each candidate, confirm that the required connectors are available on the exact plan under consideration, what permissions they request, and what administrators can control. A connector’s existence alone does not establish that it fits your access or governance requirements.
- Claude Team: Anthropic lists connectors for Google Drive, Gmail, Calendar, GitHub, Microsoft 365, and Slack in its Claude for Work help material.
- Gemini for Google Workspace: Google’s work-account documentation distinguishes work or school use and points users to protections that depend on account context. Check the administrator’s configuration and the terms applying to your account in Google’s documentation.
- Microsoft 365 Copilot: Microsoft positions Copilot within Microsoft 365 applications and work-data-connected experiences. Check the relevant offering and eligibility on Microsoft’s enterprise pricing page.
- ChatGPT Business: OpenAI lists connections to Google Workspace, Slack, GitHub, Microsoft 365, and other services on its Business pricing page.
Check data terms before connecting company information
Review the agreement that applies to your organization, data retention, training use, workspace-owner access, and any regulatory or contractual requirements. Vendor statements describe their terms; they do not substitute for reviewing your organization’s contract, configuration, and legal or security obligations.

- Claude for Work: Anthropic says the organization’s agreement governs Work accounts. It also says a designated Primary Owner manages the workspace and can request user-data exports. See Anthropic’s explanation of Work account data ownership.
- Gemini for Workspace: Google’s stated protections depend on whether the account is a work or school account and on its administrator context. Confirm the terms applicable to your organization in Google’s work-account documentation.
- Microsoft 365 Copilot: Microsoft markets Enterprise Data Protection for work offerings. Verify the scope and configuration relevant to your tenant on Microsoft’s enterprise page.
- ChatGPT Business: OpenAI says business data is not used for model training by default. Review the plan and applicable terms on OpenAI’s Business page.
Match administrator controls to actual requirements
Write down the controls procurement, security, and IT require before comparing plans. Depending on your organization, these may include single sign-on (SSO), identity provisioning, role-based access, audit records, retention configuration, data residency, compliance evidence, usage visibility, and support. Then verify each requirement with the vendor and your administrator; a feature name on a product page is not proof that a particular setup meets a procurement requirement.
- Claude: Anthropic lists SSO/SAML, SCIM, spend controls, audit logs, role-based access controls, and retention options on its Enterprise material, with some controls identified as Enterprise-only. Consult Anthropic’s Enterprise page.
- ChatGPT: OpenAI’s comparison separates Business and Enterprise controls. Enterprise features include SCIM, enterprise key management, role-based access, custom retention, and data residency in listed regions. See OpenAI’s plan comparison.
Confirm which controls are included in the plan you would actually buy, not merely in a higher tier. Also establish who can administer the workspace and what records or exports they can access.
Compare total cost, not just a headline seat price
Build an annual estimate using the actual number and type of seats, billing term, included usage, any paid overages or credits, and any separate productivity-suite license. Prices below are US-dollar amounts shown on vendor pages at the time of writing; check current pricing and availability for your region before purchasing.

Do not treat a subscription’s seat price as the full cost if your team also needs a base productivity-suite license, a higher governance tier, or additional usage.
Test performance on your team’s own tasks
Vendor pages describe offers and capabilities, but they do not provide an independent, comparable evaluation that can identify the best product for your team. Run the same representative tasks in each candidate using equivalent prompts and source material, then have subject-matter reviewers score:
- Factual correctness and completeness.
- Time spent reviewing and correcting the output.
- Source traceability or citations, where the task requires them.
- Connector reliability and whether the assistant respects the intended access boundaries.
- Whether employees can use the tool effectively in the workflow.
Record failures as carefully as successes. A fluent answer is not necessarily accurate, and a model’s performance on a task does not establish that your data permissions, integrations, or governance are configured correctly.

Run a short, governed pilot
- Select tasks: Choose common, representative work from the teams that may use the assistant.
- Set data boundaries: Decide what information may be used before uploading files or connecting services. Use approved accounts and administrator settings.
- Compare consistently: Run the same tasks in each candidate with equivalent prompts and source material.
- Score the results: Have subject-matter reviewers record quality, time saved, corrections needed, and source traceability where relevant.
- Inspect governance: Check connector permissions, administrator visibility, retention settings, and usage limits during the pilot.
- Calculate cost: Estimate annual spend from real seat counts, billing terms, base licenses, and expected usage.
- Choose and review: Select the least complex plan that meets documented workflow and governance needs, then review usage and outcomes after deployment.
How the main workplace options differ
Claude Team and Enterprise
Anthropic describes centralized administration and workplace connectors for Team. Its Enterprise material lists additional governance and security capabilities, including SCIM, audit logs, role-based access, retention controls, and OpenTelemetry monitoring; some are explicitly Enterprise-only. Anthropic also states that prompts, data, and results are not used to train its models by default on the Enterprise page. Google’s documentation distinguishes work or school account use and directs administrators and users to protections tied to account context. Exact terms and features depend on the account and administrator setup. Confirm the plan, protections, and regional pricing that apply to your organization in Google’s official documentation.
Microsoft 365 Copilot
Microsoft presents Copilot in Microsoft 365 applications and work-data-connected experiences. Use the pilot results and your requirements together. The right choice is the option that handles your priority tasks acceptably, works with your existing systems, satisfies your data and administration requirements, and has a cost your organization can account for. Recheck plan details and terms with the vendor before committing, because product features, prices, and terms can change.
