For a physical retail counter, start by comparing the provider’s acquiring relationship, QR checkout flow, settlement terms, support process, and complete written costs. A basic QR offer may be enough; you do not automatically need a payment gateway. There is no evidence-based universal “best” provider: the right choice depends on your shop’s workflow and the terms in its merchant agreement.
Understand who provides your UPI service
NPCI says a merchant starts accepting UPI by partnering with an acquiring bank, which provides the UPI infrastructure. A bank or a merchant-facing service provider may handle onboarding and support, so ask which acquiring bank is involved and which party is responsible for each part of the relationship. Keep this merchant-side relationship distinct from the apps your customers use. NPCI’s QR guidance says the QR should tell customers to “Scan & Pay with any UPI app”; your provider choice is about how your shop is onboarded and receives payments, not which consumer app a customer must use. The guidance defines a partner as the acquiring bank/payee PSP or a payment aggregator onboarded by that bank/payee PSP that directly onboards the merchant. See NPCI’s June 2026 QR guidance.
Compare the acceptance workflow at the counter
NPCI lists four merchant integration modes: QR, intent, application-based, and collect. For a straightforward in-person checkout, QR is the natural baseline. Ask whether the provider offers a static QR, a dynamic QR, or another flow your till or point-of-sale setup requires. A payment gateway is not automatically necessary if a bank-acquired QR meets the shop’s needs.

A merchant QR can carry information such as the merchant UPI ID and amount, allowing the customer to see merchant details in the payment flow. Before displaying a QR, confirm that it is registered to the correct shop and that staff know what a successful payment looks like in the provider’s process.
If considering a soundbox, treat it as optional hardware rather than a requirement for accepting UPI. NPCI’s June 2026 QR guidance includes soundbox layouts, but that does not establish the features or value of any specific model. Check compatibility with the chosen acquirer, supported payment modes, connectivity and power needs, alert behavior, warranty, and the total device and service cost before buying or renting one.
Check onboarding and merchant details
NPCI’s merchant onboarding FAQ describes compliance and risk assessment, merchant identification, and configuration that can include the merchant category code (MCC), UPI ID, account details, and channel information. Requirements can depend on the provider and the shop, so get the exact document list and onboarding steps from the party handling your application.
Check the registered merchant name and business category before using the QR, and ask the acquiring bank to confirm the MCC assigned to your business type. Correct setup matters for how the merchant is identified and configured. NPCI’s FAQ says the acquiring bank should assign the correct MCC for the business type.

NPCI says a merchant receives funds immediately after the customer confirms payment into either the merchant pool bank account or the merchant bank account, according to the agreement. “Immediately” should therefore not be treated as a promise that every provider uses the same account path or reconciliation process. Ask the provider to document:
- Which account receives payments, and whether a pool account is involved.
- When funds become available under your agreement.
- How settlement records identify transactions and how your staff can match them to daily sales.

Agree on a process for pending or disputed payments
Before opening, make sure staff know how to confirm a payment’s status, locate its transaction reference, and escalate a payment that appears pending or disputed. NPCI says merchants can check transaction status or raise grievances directly with their acquiring bank. Ask whether support is handled by that bank or another merchant-facing party, which channel to use, and what information staff should have ready.

The RBI publication in the source set states that, from 1 January 2020, no charge—including merchant discount rate (MDR)—applies to prescribed electronic modes including UPI and UPI QR. That policy baseline does not establish that every optional provider service, device, rental, or other payment instrument is free. Paytm’s FAQ says QR UPI payments routed directly to a bank account are generally zero and advises merchants to confirm provider-specific charges. Ask for the current agreement and an itemized breakdown rather than relying on a generic “free UPI” claim.
Request written costs for any applicable onboarding or setup, subscription or rental, soundbox, SIM or connectivity, other payment instruments, taxes, cancellation, and replacement. Use a like-for-like decision checklist
Compare offers against the same questions, and keep the answers with the merchant agreement or provider’s written terms:
- Acquiring and onboarding: Which acquiring bank is involved? Who onboards the shop and provides support? What documents and risk review are required?
- Checkout: Is the offer static QR, dynamic QR, intent, app integration, collect, or a combination? Does it fit the way customers pay at your counter?
- Merchant setup: Is the registered name correct, and has the acquiring bank confirmed the MCC?
- Settlement: Which account receives the money? Is a pool account used? When are funds available, and how are sales reconciled?
- Issues and support: How do staff check status and find a transaction reference? Who handles escalation, and through which channel?
- Full cost: What do the agreement and itemized price list say about recurring services, equipment, connectivity, other instruments, taxes, and ending or replacing the service?
- Optional hardware: If considering a soundbox, what are its compatibility, operating requirements, warranty, and total cost?
NPCI reported 12,705.16 million person-to-merchant (P2M) UPI transactions worth ₹723,797.42 crore in August 2025. That historical ecosystem figure indicates the scale of UPI merchant payments, but it does not show that one acquiring provider is better than another. See NPCI’s UPI statistics.
