A headline subscription price alone does not show what the system will cost to run.
Start with the restaurant’s workflow
Write down how a typical order moves from guest to staff, kitchen, and payment. A counter-service restaurant may need fast order entry, pickup handling, and reliable kitchen routing. A full-service restaurant may need table maps, open checks, course handling, bill splitting, tips, and handheld payments. A system is a fit only if the plan and hardware you are quoted support the steps your staff actually use.
Before demos, make a requirements matrix. Mark each item as essential, useful, or unnecessary so vendors demonstrate your real needs rather than a generic feature tour.
- Order entry, menu changes, and modifiers
- Table map, courses, open checks, split payments, and tips, if relevant
- Kitchen display or printer routing
- Online ordering and delivery connections
- Inventory and food-cost tracking
- Employee permissions, scheduling, and shift workflows
- Sales and operational reporting
- Multi-location administration, if applicable
- Loyalty, guest data, reservations, and accounting connections
- Support availability during your service hours
For each requirement, record whether it is included in the quoted plan, requires an add-on, depends on a third party, or is unavailable in your market. Ask the vendor to demonstrate the requirement using your menu and a realistic order.

Compare workflow fit, hardware, and resilience
Match service style to the tools
Table-service operations should test table management, handheld ordering, open checks, split checks, and payment at the table. Counter-service operations should test how quickly staff can enter common orders, manage pickup, and route orders to the correct kitchen station. Clover lists table mapping, open tabs, split checks, contactless dining, and tableside ordering among its restaurant functions; their presence on a product page does not establish that every feature is included in every offer. Check Clover’s restaurant offering against the exact plan and seller quote.
Count the whole equipment setup
Estimate the number of terminals, handhelds, customer-facing displays, kitchen displays, printers, cash drawers, and network components you need. Confirm device compatibility in writing before buying peripherals or assuming existing tablets can be reused. Toast says its services may be used only on approved Toast hardware, and its published pricing notes that additional device charges may apply. Its page also says displayed new-customer pricing applies to single locations and includes the first hardware-terminal subscription. Review Toast’s current pricing details and request a quote for your device count.

Ask what happens when connectivity fails
Do not treat “offline mode” as a complete outage plan. Ask which device and payment types continue to work, what data is stored locally, how staff reconnect and sync, and what happens to transactions that cannot be processed. Square says offline payments are submitted when connectivity returns and can be declined if reconnection does not happen within 24 hours. That limit is specific to Square’s described offline-payment behavior; it is not a general POS rule. Read Square’s pricing and offline-payment terms for the current details.
Calculate the real cost, not just the subscription
Ask every vendor to price the same operating scenario: locations, devices, monthly sales, average ticket, and the share of payments made in person, online, or keyed. Include recurring and one-time charges, along with the cost and obligations involved in leaving.

- Software subscription and per-location or per-device charges
- Card processing by payment channel, plus any platform, gateway, PCI, batch, or statement fees
- Hardware purchase, financing, rental, or subscription charges
- Installation, onboarding, menu setup, and staff training
- Paid features such as kitchen displays, online ordering, loyalty, or inventory tools
- Support, taxes, contract renewal, and early termination or equipment-return costs
Use your own transaction mix to compare processing offers. A quoted percentage or per-transaction fee is not comparable unless the vendors use the same payment types and sales assumptions. Toast describes itself as a payment facilitator that partners with processors; request the actual processing terms and all associated charges for the proposed arrangement.

Square says restaurants processing more than $250,000 per year can discuss eligibility for custom pricing and processing fees; this is an eligibility discussion, not a guaranteed rate. Square also says some payment methods are available without purchased hardware, but that does not mean a complete restaurant setup can operate without equipment.

Provider comparisons can help create a shortlist, but they are not proof that one system is best for every restaurant. A Square-authored comparison guide is dated December 11, 2025, and says its side-by-side vendor information was gathered in June 2025. Treat its characterizations as a starting point and verify current availability, features, and terms directly.

Questions to ask before signing
Request written answers tied to the specific plan, hardware, location count, and payment arrangement you will buy.
- Which requirements from our matrix are included in this exact plan, and which require an add-on or higher tier?
- What is the full first-year cost and renewal cost for our device count, location count, and payment volume?
- What are the effective processing charges for card-present, keyed, online, and other payment types we use? Are platform, gateway, PCI, batch, or statement fees separate?
- Who owns or finances the hardware? What is the replacement policy, and which devices and peripherals are supported?
- What minimum term, renewal mechanism, notice window, early termination fee, and equipment-return obligations apply?
- What works during an internet outage, and what steps are needed to reconnect, sync orders, and settle payments?
- Can you demonstrate our workflow, including modifiers, split checks, refunds, tips, kitchen routing, online orders, and end-of-day reconciliation?
- Which integrations are native, which rely on third parties, and what additional fees or support boundaries apply?
- How can we migrate, export, or retain menus, employee records, customer data, and reporting history if we leave?
- What support hours and channels are included, and what help is available during a live service incident?
Make the final decision with a normalized quote
Give each shortlisted vendor the same sample month based on actual card sales, average ticket, payment-channel mix, locations, and device count. Compare the written totals over the same time period and include recurring software, hardware and installation, add-ons, processing, support, and contract exit exposure. Choose the system that satisfies the essential workflows at a cost and contract risk your business can accept—not the one with the most impressive feature list or lowest advertised starting price.
