Choose a lumber supplier by sending each candidate the same project-specific material schedule, then comparing written quotes for specification match, quality evidence, delivered cost, committed delivery, and problem-resolution terms. Verify any required sourcing documents against the products actually delivered. The right supplier is the one that meets your project requirements and schedule at an acceptable total cost, with evidence suited to the project and its jurisdiction.
1. Define the order before requesting quotes
Prepare one bill of materials or schedule of requirements and give the same version to every supplier. Comparable quotes depend on suppliers pricing the same products and quantities.
- Species or acceptable equivalents
- Sizes, including nominal and actual dimensions where relevant
- Grades and treatments
- Moisture condition or exposure requirements, if specified
- Engineered-wood product designations
- Quantities and any phased delivery sequence
- Required delivery dates and supporting sourcing documents
Ask each supplier to identify exceptions and proposed substitutions in writing. A quote that quietly substitutes a different grade, treatment, or product designation cannot be compared fairly with one that follows the specification.
2. Check product and quality evidence
Match the quote and proposed products to the project requirements. Ask which grading agency applies and how the grade will be marked or documented. Check product marks and supporting documents against the specified use; a quality mark covers only the products and assurance scope it identifies, not everything sold by that merchant.

Engineered wood
For engineered products, verify the specific product designation and any applicable certification or evaluation report. APA says its trademark signifies independent third-party quality verification for products in its program. That does not replace checking that the marked product and supporting report match the project requirement. APA provides a certified manufacturer directory and says it does not manufacture, sell, or install building products.
Moisture and storage
If the specification sets a moisture condition, ask what condition the supplier is quoting and how it will be documented at shipment. APA’s builder guidance on handling and storage discusses moisture-related wood behavior and recommends coordinating delivery to reduce jobsite storage. It also advises removing glulam wrapping after installation in an enclosed space so the member can stabilize naturally during construction. A moisture meter may be a useful receiving tool for some projects, but the cited guidance does not require one for every delivery or endorse a particular model.

3. Compare the complete quote, not just the unit price
Request itemized material and delivery charges, quantities, minimums, payment terms, quote validity, cancellation terms, and substitution terms. Compare dated quotes on the same specification and delivery basis. Stock and prices vary; no current market price or universal lead time is established here, so ask each supplier to confirm its own availability and commitments.

4. Confirm delivery and handling arrangements
A supplier is only a good fit if its delivery can work at your site and within your construction sequence. Confirm what is included and who is responsible for safe unloading and placement.

- Which delivery dates or windows can the supplier commit to?
- What vehicle access, unloading equipment, and drop location are required?
- How will the supplier communicate shortages or delays?
- How will material be protected before delivery, and what storage instructions apply?
Plan delivery timing to avoid unnecessary jobsite storage where possible; APA’s builder guidance recommends coordinating deliveries to minimize storage on site.
5. Agree how defects and shortages will be handled
Ask for written procedures covering damaged, short, incorrect, or substituted material. Establish how to report a problem, what records or photos are needed, who arranges replacement, and whether time limits or extra costs apply. There is no universal lumber-merchant returns or claims policy established here, so make the supplier’s specific terms part of the comparison and order agreement.

6. Check sourcing documentation when the project requires it
Sourcing and chain-of-custody requirements depend on the project and jurisdiction. For UK government procurement under the Timber Procurement Policy, the Timber Procurement Advice Note, 7th edition, updated 26 November 2025, describes evidence of legal and sustainable origin, chain-of-custody control, and checks that product claims carry through to delivery records. It identifies FSC-, PEFC-, and Grown in Britain-certified products as Category A evidence under that policy and discusses assessment of other evidence.
For that UK policy context, check that the certificate is valid for the supply period, that the supplier is the certificate holder or can provide acceptable evidence for a broken chain, and that invoices or delivery notes identify the claimed certified product. A supplier’s certificate alone does not prove that the particular material delivered is the product claimed. These policy details are specific to UK public procurement; elsewhere, follow the applicable law, owner requirements, and contract specification.

7. Ask each supplier the same questions
- Can you quote this exact bill of materials and list every exception or proposed substitution?
- Which grades and grading agency will apply, and how will the material be marked or documented?
- Which products are available now, and which delivery dates can you commit to?
- What equipment, unloading, and placement services are included?
- How will the material be protected before delivery, and what handling or storage instructions apply?
- How do you document shortages, damage, incorrect material, and replacements?
- If sourcing documents are required, can you provide current certificate details and product-specific chain-of-custody evidence?
- What are the quote validity, payment, delivery, cancellation, and substitution terms?
