Choose your point-of-sale (POS) system first, based on how your store sells, takes payments, and manages inventory. Then select a barcode scanner from that POS provider’s current compatibility list. A scanner that connects by USB or Bluetooth is not automatically compatible: support can depend on the POS app, scanner model, host device, operating system, and adapter. For some workflows, a compatible phone or tablet camera can scan barcodes without separate hardware.
Start with the store’s workflow
List what the system must do before comparing hardware. A single counter, a mobile pop-up, multiple shops, and a store with a warehouse can need different combinations of devices and peripherals. Shopify’s hardware guide gives illustrative setups: a pop-up may use a supported device and card reader; a permanent location may add a receipt printer; multiple stores or a warehouse may also use a barcode scanner and cash drawer. These are examples, not requirements for every retailer.
- Where do sales happen? Decide whether staff need a fixed checkout, mobile selling, or both.
- How many locations and channels? Consider whether in-store and online sales need shared product and stock information.
- What inventory work is routine? Include receiving, stock counts, and product or variant identification, such as sizes and colors.
- How will customers pay? Confirm supported payment methods and the card reader or terminal required for them.
- Which peripherals are actually needed? Assess receipt printers, cash drawers, scales, label printers, and adapters against the store’s workflow rather than adding them by default.

Compare POS systems before choosing a scanner
Shortlist POS systems by the work they support, not by a hardware bundle or connection type alone. A POS combines software, a host device, payment equipment, and potentially other peripherals. GS1 describes a POS host solution as supporting sales transactions, inventory management, related retail operations, and integrations with scanners and other equipment.

- Product and inventory records: Check that the system can maintain product, price, and stock information for your catalog and locations.
- Payments: Verify the payment methods available in your region and the compatible reader or terminal.
- Devices and peripherals: Confirm support for the intended phone, tablet, or register and each required printer, drawer, scale, or scanner.
- Sales and inventory channels: Check whether the system supports the store’s combination of in-person and online sales, receiving, and stock counts.
- Costs and terms: Get current information for software, hardware, payment processing, support, and integrations. Prices and terms vary, and there is no universally best setup.

Verify the exact scanner and device combination
Once you have a POS shortlist, check each vendor’s current compatibility information for the exact scanner model and host device. Confirm supported barcode formats, connection method, operating-system requirements, and any adapter. Do not assume that a scanner works simply because it is USB or Bluetooth.

Square: documented connection paths
Square documents USB scanner support on Square Stand, Square Register, and selected Android devices. For USB use with Android, Square requires Android 9.0 and USB OTG or host mode; an adapter may be needed. Square says its Bluetooth scanners are currently compatible only with iPads and iPhones, and advises checking the exact model. These are Square-specific rules, not general requirements for scanners or other POS systems. See Square’s barcode scanner compatibility guidance.
Shopify: check device requirements as well as scanner support
Shopify publishes supported-device and scanner requirements for Shopify POS. Its requirements page states that starting in January 2027, Shopify POS will require Android 13 or higher and iOS 18 or higher; devices must be updated by June 6, 2027, to continue using the app. Requirements can change, so consult Shopify’s current scanner and device requirements before buying or reusing a device.

Consider camera scanning for a small setup
A dedicated scanner is not always necessary to begin. Square documents barcode scanning with the built-in camera on compatible Android devices, and Shopify’s hardware guidance describes smartphone camera scans for checkout or inventory counts. Confirm that the feature is available in your chosen POS app and device; camera scanning is not a substitute for checking the system’s supported workflow.
Decide whether basic barcode reading is enough
For many stores, the immediate need is scanning existing product identifiers at checkout, while receiving stock, or during counts. If you are considering GS1 2D barcodes, distinguish whether the scanner can decode the symbol from whether the rest of the system can use its data. Attributes such as expiry date, batch, or weight may require the POS host and back-office software to parse, store, and act on the information.

GS1’s December 2025 implementation guideline notes that advanced 2D use can require POS host software updates or configuration. Its 2D barcode implementation playbook (May 2026) recommends imager-based scanners capable of decoding GS1 2D barcodes, validating terminal and peripheral compatibility, keeping linear barcodes working during coexistence, and documenting data flow from scanner through POS to backend systems. Features such as expiry stop-sale or date-based markdowns also require corresponding business rules and backend support; a 2D-capable scanner alone does not provide them. Not every small store needs 2D support today.

- Write down the required workflows: checkout locations, payment methods, inventory tasks, sales channels, and number of stores.
- Choose the POS and host device: compare product records, payments, inventory capabilities, device support, and current costs.
- Open the vendor’s compatibility list: identify supported scanner models for the exact POS app, host device, operating system, and connection method.
- Check barcode needs: confirm whether the store needs 1D scanning only or 2D decoding and associated data handling.
- Add only necessary peripherals: validate printers, drawers, scales, label printers, and any adapters against the selected POS.
- Confirm the complete setup with the vendor before purchase: verify compatibility and current availability for the store’s region and devices.
Hardware availability, prices, and vendor requirements can change. The official Shopify and Square pages are authoritative for their own products, not neutral comparisons of every POS system.
