You can change email providers without losing your digital life by treating the move as several separate jobs: back up your old mailbox, transfer and verify mail, contacts and calendars, update accounts that rely on your old address, and keep the old mailbox available during a transition. A message-import tool is not a guarantee that everything else—or every message—will come across.

What to move before you switch

Start with a list of what depends on the old address and what lives inside the mailbox. These are different things: a provider export can preserve data in the account, but it will not update your email address on outside services.

Inventory the old account and its dependencies

  • List important sign-ins and recovery addresses, including banking, billing, work or school, subscriptions, device accounts and password-reset contacts.
  • Note the mailbox content you care about: folders or labels, sent mail, attachments and archived messages.
  • Check for contacts, calendars, aliases, filters, forwarding rules, signatures, blocked senders and automatic replies.
  • Look for mail stored separately in a desktop app or another client; it may need its own backup or transfer.
  • List people who should receive your new address.

Back up the old mailbox before changing access

Make an export before changing account settings or relying on a migration. Keep an untouched copy somewhere protected, and check that the archive finished and that you can open a few representative messages and attachments. A downloaded archive can be kept on a local storage device if you choose; that is optional, and no particular drive, capacity or brand is required.

Google says Gmail data can be downloaded for archiving or use with another service. A Gmail export can include message content, headers, attachments, multiple message categories, labels or IMAP keywords, and selected settings. The available data may be limited for work or school accounts, and encrypted messages remain encrypted in the download. Google also describes cloud destinations for Takeout exports; choose a storage location you can access and protect.

Choose a transfer method for your provider pair

There is no universal “transfer everything” method. The right route depends on the old and new providers, which data types it handles, and what the tool may omit or alter. Check the provider’s current instructions for your specific accounts before starting.

Gmail and compatible mail clients

Google says Gmail can sync with Outlook, Apple Mail or Thunderbird. Where a compatible client offers it, Google recommends signing in with Google rather than giving the client your Google username and password. Avoid unknown migration extensions or services that ask for credentials or OAuth tokens; Google warns that these can create privacy and security risks.

Outlook and Google Workspace

Google’s Workspace Migration for Microsoft Outlook supports an Outlook profile or a PST file as a source and offers paths for migrating all data or new data. Google warns that its “migrate all data” path can duplicate contacts and overwrite existing calendar data in the destination. Review the destination before choosing that option, particularly if it already contains contacts or events.

Google’s guidance for this migration tool says messages whose combined message-and-attachment size exceeds 25 MB may be skipped, as may attachments blocked by Gmail. This is a limit documented for that tool, not a general limit for email transfers.

Microsoft Outlook file export and import

Microsoft documents Outlook import and export for email, contacts and calendars, including transfer using a PST file. Its steps depend on the Outlook version and account setup, so use Microsoft’s instructions for the version you have rather than assuming a single workflow applies to every Outlook account.

Move contacts and calendars as separate checks

Do not assume that a successful mail transfer included your address book and events. Check whether your chosen route handles each one, then export or move anything it does not cover.

Contacts

Google Contacts supports exporting contacts as CSV or vCard for use in another account. Microsoft documents CSV transfer in Outlook. After importing, check for duplicate entries and confirm that important fields—such as names, email addresses and phone numbers—landed in the right places.

Microsoft notes that the Outlook Address Book can include directories beyond the personal Contacts list. If you rely on a directory, do not assume that exporting personal contacts includes it.

Calendars

Compare calendars independently of mail. Check for expected calendars, representative past events and upcoming events, and review recurring events if you rely on them. Google’s Outlook migration tool can move calendar data, but its all-data path may overwrite existing destination calendar data; inspect what is already there before migrating.

Settings and features

Some settings have no equivalent in the new provider, even when an export includes them. Review what transferred and recreate what you need, such as filters, signatures, forwarding, aliases, blocked senders and automatic replies. Treat each as a setting to verify, not as proof that the mailbox migration covered it.

Update accounts that still use your old address

For each service in your inventory, change the sign-in email, notification address or recovery address as applicable. Prioritize accounts where losing access would make it hard to recover other accounts, and confirm any verification link or code at the new address. Tell important contacts to use the new address. Keep the old mailbox accessible while you work through less frequent services and messages that may still arrive there.

Verify the move before you retire the old address

  1. Test the new mailbox: send a message from it and confirm that it can receive a reply.
  2. Check imported mail: search for representative old messages, including sent mail, and open important attachments.
  3. Check contacts and calendars: look for missing or duplicate contacts and verify upcoming events in the destination.
  4. Check account recovery: confirm that critical services now use a working address and that their recovery options are current.
  5. Keep a transition route: leave the old account active while you monitor it and finish updating dependencies. There is no universal transition length; it depends on how widely the old address is used and the provider’s account-retention rules.

Google says that, beginning in January 2027, Gmail will end Gmailify, third-party POP fetching on the web and third-party “Send as,” following a Q3–Q4 2026 transition period. Google says access through the Gmail mobile app and third-party clients using IMAP or POP will remain available. If your transition plan relies on one of the affected web features, check Google’s current Gmail Help guidance before relying on it; this is a dated service-change notice, not a guarantee of future behavior.
