To keep a copy of your budgeting history, export the data your app makes available, download the file, and check that it contains the records you need. An export is not necessarily a complete archive—and it is not the same as a restorable backup. Follow the instructions for your app and platform, then keep an untouched copy of the downloaded file.
Export, sync, and backup are different
An export is a file you can retain or review, commonly a CSV or TSV. Its contents depend on the app: it may omit settings, notes, attachments, or other details. Cloud sync keeps data available across connected devices, but does not necessarily give you a file or a way to restore your app data. A restorable backup is a copy the app supports using to return data to a usable state.
Quicken explicitly warns that Quicken Cloud sync is not a backup and cannot be used to restore Quicken data. If you use desktop Quicken, follow its backup and restore instructions and verify that you have a local backup you can restore.
Export data from your budgeting app

App interfaces and available actions can change. If a label or option differs, consult the linked help page for the app and check that you are using the stated platform; YNAB’s described exports, for example, are web-only.

Check the export before relying on it
- Identify the records you need. Decide whether you need transactions, account balances, categories, notes, attachments, or other information. Do not assume one export includes everything.
- Download the file and open it. Confirm it opens and that the dates, accounts, and expected records are present. Check the row count against the history or selection you intended to export.
- Keep the original unchanged. If you need to edit the file for a spreadsheet or an import, make a copy first. Check dates, positive and negative amounts, account names, categories, and row counts in the edited copy; spreadsheet software can change values or formatting.
- Store a second copy carefully. An external drive is optional, not required by the export process. If you keep financial files on removable media or another storage location, consider encryption and protect access to the files.
Importing into another app can affect existing history
Before importing, check how the destination handles transactions whose dates overlap with records already there. Monarch’s manual transaction import is web-only and cannot be undone. Its documented choices can have materially different results:

For Monarch’s web import, start with a small CSV and inspect the result before importing a full history. Read the manual import instructions before choosing how to handle overlap.
