Choose the backup method that matches what you need to recover: Windows Backup and OneDrive can sync selected preferences and folders, File History can copy files to an external drive, and a system image is a separate whole-computer recovery option. Dell recovery media is different again: it helps reinstall Windows, but it is not a backup of your personal files.

Choose the right kind of backup

Before a repair, reset, or reinstall, protect the personal files you cannot replace. These options serve different purposes; one does not automatically substitute for another.

Dell’s Windows backup overview describes using Backup and Restore or File History to back up and restore files. For practical protection, consider keeping a cloud copy of selected folders and a separate local copy of important files, if both fit your needs.

Back up selected settings with Windows Backup

  1. Open Start > Settings > Accounts > Windows backup.
  2. Review the available backup options and turn on the preferences you want associated with your Microsoft account.
  3. Review OneDrive folder syncing separately; Windows Backup settings do not mean every personal file is already protected.

Dell says Windows can remember installed apps so they can be restored from Microsoft Store on a new device. That does not mean every installed program is saved as an installer or included in a complete system image.

Back up folders to OneDrive

  1. Open the OneDrive cloud icon from the taskbar notification area and open its settings.
  2. Select Sync and back up > Manage Back up.
  3. For folders marked Not backed up, select the folders you want included and choose Save.

Desktop, Documents, Music, Pictures, and Videos may not already be included in OneDrive. Check the status shown in Manage Back up rather than assuming those folders are syncing.

If you later stop folder backup, read OneDrive’s prompt carefully. Dell describes choices that affect whether files remain in OneDrive or are kept in the computer’s folder; the outcome depends on the choice you make.

Back up files to an external drive with File History

File History is off by default, according to Dell. Use an external drive if you want a separate local file backup. Check that the destination has enough free space for the files you intend to protect; Dell does not specify a universal drive-size recommendation.

  1. Connect the external drive you intend to use for backup.
  2. Open Start, search for File History, and open it. Dell lists the Windows 11 route as Start > File History > Add a drive > More options.
  3. Select Add a drive and choose the intended destination if prompted.
  4. Open More options to review the folders and backup settings. Start the backup; Dell’s instructional video also shows using Run Now for an initial backup.

Exact labels can differ by Windows build. If the path is not visible, search Start for File History. A local File History copy is useful for recovering files, but it is not the same as a Windows system image.

Create a system image as a separate recovery option

Dell lists the system-image wizard at Control Panel > Backup and Restore > Create a system image. Follow the wizard to select a destination and create the image. Use this as a whole-computer recovery option, not as a reason to skip checking that important individual files exist in a separate, accessible backup.

Know what Dell recovery options can and cannot do

SupportAssist OS Recovery

On supported Dell models, SupportAssist OS Recovery can diagnose or repair problems, back up personal files to external storage, or restore the system. Its file-backup option does not preserve installed programs or system settings. Dell says Qualcomm-based Dell computers are not supported, and availability otherwise depends on the model. Check your model’s Dell support information before relying on it.

Dell OS recovery USB

Dell OS Recovery Tool creates Dell-customized Windows recovery media; it is not a regular personal-file backup. Dell requires a USB drive with at least 16 GB of free space for recovery-media creation, and the tool formats the selected drive, permanently erasing its existing contents. Use an empty USB drive and keep your personal files backed up separately. Dell also says downloading a recovery image with the tool requires at least 16 GB of available hard-drive space; that is a download requirement, not a recommendation for an everyday backup drive. Check that the backup is usable

  • Open the backup destination and confirm that the folders and files you care about are present.
  • For OneDrive, verify that the intended folders show as backed up in Manage Back up.
  • For an external-drive backup, keep track of which drive contains the files and how to access them.
  • For recovery media, label and store the USB separately from everyday backup storage.

Dell’s reviewed instructions do not prescribe a universal backup schedule, retention period, or external-drive size. Choose these based on how often your important files change and how much data you need to protect.
