What a weekly client-report workflow should automate
A dependable process links four stages: data, visualization, delivery, and review. Automate the repeatable work—refreshing a dashboard, rendering selected content, and sending it on schedule—while defining who checks that the result is correct.
- Agree on the report. Confirm the delivery day and time, reporting period, recipients, and the meaning of every KPI. Decide whether comparisons are week over week, against a target, or both.
- Connect the data. Use the client-approved sources and credentials. Confirm that the dashboard can access current data and that client-specific filters are applied as intended.
- Build a stable template. Keep chart labels, units, date conventions, and color meanings consistent. Separate client-specific content without relying on a recipient to infer which data applies to them.
- Schedule delivery. Choose a cadence, time zone, recipients, and an output format that suits the audience.
- Inspect the rendered report. Check the first scheduled output and retain a manual export fallback for time-sensitive commitments.
A scheduled file is not an automated explanation of why a metric changed. If you annotate a chart with an explanation, make sure the note has a source and reflects the reporting period rather than presenting an unverified guess as a cause.
How to make weekly marketing report graphics clients can read
Start with decisions, not decoration
Lead with a compact set of outcome metrics the client has agreed to use. Follow with trend charts that show how those outcomes changed over the reporting period. A chart earns its space by answering a client question; decorative graphics and metrics with no agreed interpretation make a report harder to scan.

Make comparisons explicit
Label the date range and comparison basis on the page. “Conversions: 120” is less useful than a clearly dated figure that says whether it is compared with the prior week or a target. Keep units visible, use consistent color meanings, and avoid changing scales in a way that makes similar values appear dramatically different.
Design for the delivered format
Check that text and chart labels remain legible in the PDF or image the client actually receives, including on a small screen. A dashboard that looks fine in a browser can be clipped or difficult to read in an exported file. Keep the important summary near the beginning and avoid making the reader hunt through pages for the main result.
How do I schedule a Looker Studio report to send every week?
Google Cloud documents scheduled Looker Studio report delivery as a PDF email with a preview and a link to the full report. The schedule can include selected pages, a start date and time, and a repeat frequency, including custom patterns. An owner, editor, or user with scheduling permission can create, edit, or delete a delivery schedule.

- Open the report in Looker Studio using an account with scheduling permission.
- Open the report delivery scheduling controls and create a delivery schedule.
- Select the pages to include, set the start date and time, and choose the weekly or custom repeat pattern appropriate to the client.
- Enter the recipient addresses and review the schedule details before saving.
- After the first scheduled send, open the PDF and verify its date range, filters, freshness, recipients, and rendered charts.
Google’s current Looker Studio documentation says scheduled email delivery supports no more than 50 recipient addresses, includes the schedule creator as a recipient, and shows up to five pages in the email preview. The scheduled PDF uses US English number, currency, and date formatting, and its send time follows the operating system timezone. Account language and a client’s local time expectations therefore do not necessarily determine the schedule’s displayed formatting or timing.

Google also documents export timeouts for large or complex reports; individual charts can show “System Error.” Its suggested mitigations include splitting the report and staggering schedules. Data Studio Pro documentation lists up to 200 schedules per report. Confirm the current product configuration and applicable limit for your account before designing around that number.
When Looker is a better fit
Looker supports recurring dashboard deliveries to email, webhook, Amazon S3, SFTP, and administrator-enabled third-party destinations. Available destinations depend on administrator configuration. Documented output choices include PDF, PNG visualization, and CSV ZIP, so it may suit a workflow that needs more than an emailed Looker Studio PDF.

For customer-hosted Looker installations, Google says Chromium is required to render formats such as PDF and PNG. Large dashboard outputs need validation: Google’s documentation describes PDF table limits of up to 50,000 rows per table chart and a maximum of 200,000 cells per dashboard in the described configuration. Check the current version and setting that apply to your instance, and inspect the actual output rather than assuming a large dashboard will render completely.
How to choose a reporting workflow

Canva’s export API lists PDF, JPEG, PNG, GIF, PowerPoint, MP4, and CSV formats. That establishes export capability, not recurring client delivery or automatic data refresh. Treat a design tool as one part of the workflow unless you have separately verified how its data and delivery steps will be automated.
Common failures and how to recover
The report arrives at the wrong local time
Looker Studio schedule timing follows the operating system timezone. Confirm the timezone behind the schedule, then set a send time that corresponds to the client’s expected local delivery time. Recheck after any change to the account or environment used to manage the schedule.

Dates, currencies, or numbers look different
Scheduled Looker Studio PDFs use US English number, currency, and date formatting according to Google’s documentation. Review the exported PDF for ambiguity, and label dates and units clearly in the report itself rather than assuming the recipient’s locale controls the scheduled output.
A chart shows “System Error” or the export times out
Large or complex Looker Studio reports may time out during export. Reduce the scope by splitting content into smaller reports or pages where appropriate, and stagger schedules so multiple large exports do not run together. Inspect individual charts in the delivered file; a successful email does not establish that every chart rendered successfully.
A dashboard PDF is incomplete
Large Looker table outputs can encounter row or cell limits. Check the applicable output configuration and the rendered PDF. If a client needs the underlying detail, consider a suitable data export rather than treating a visually summarized PDF as a complete dataset.

A client receives the wrong data or no data
Check the report’s date range, filters, data credentials, and permissions for that client. Verify the schedule’s recipient list and ensure the client-specific view does not expose another client’s data. Do not rely on an email subject or report title as a privacy control.
The schedule fails after an ownership or access change
Identify who owns the schedule and credentials, and verify that the account still has the required report and data access. A named owner should be responsible for updating recipients and repairing schedules when team membership or permissions change.

- The reporting period and comparison basis match the client agreement.
- KPIs, units, labels, and chart colors are consistent and understandable.
- Data is fresh, and the correct client filters and credentials are in effect.
- The schedule’s time and timezone match the delivery commitment.
- The recipient list is current and limited to intended viewers.
- The delivered PDF, PNG, or CSV opens correctly and contains the expected content.
- Charts are not clipped, missing, stale, or marked with an error.
- A person is assigned to investigate failed delivery or a time-sensitive missed report.

Can a scheduled report explain why a client’s results changed?
No. A schedule automates report rendering and delivery, not the interpretation of changes. Any explanation should be checked against a source and the reporting period.
Can Canva replace a reporting dashboard for weekly automated delivery?
The cited Canva API documentation establishes export formats, but not automatic data refresh or recurring client-report delivery. It can support a design or export step, but those automation capabilities should not be assumed.
