To automate PDF generation in Make, create a scenario that starts with a trigger, sends its data to a document-generation action, retrieves the resulting file, and delivers it to storage or email. One documented route uses Plumsail Documents: prepare a process and template, connect Plumsail to Make with an API key, map trigger fields to template tokens, then retrieve and route the generated PDF.
Choose the trigger and source data
A Make scenario begins with a trigger and passes data through subsequent actions, also called modules. Choose the event that should produce a document, such as a new spreadsheet row or a form submission, and confirm that the data available at that point includes every value the PDF needs.
The worked Plumsail pattern uses Google Sheets rows, but the same general approach can start from another structured-data app connected to Make. The trigger determines when a document is generated; later modules transform, generate, and deliver it.
Prepare a template and generation process
For a template-based business PDF, create a process in Plumsail Documents, select the template, configure the output, and choose PDF. Put named tokens in the template wherever trigger data should appear. Use clear, distinct token names so they are easy to match to Make fields.

Plumsail Documents is a suitable route when the output needs a reusable document template or document-format operations. Its Make connector also lists an HTML-to-PDF action for supplied HTML markup and conversions from DOCX, XLSX, and PPTX to PDF.
Build the Make scenario
- Add the trigger. Select the source app and event, such as a new row or form submission. Configure which records or events should start a run.
- Add Plumsail Documents. Choose the document-generation action, then create a connection. The Make app requires an active Plumsail account and API key. Follow the connection prompts and grant only the access needed for the workflow.
- Select the process. In the Plumsail action, choose the process configured for the intended template and PDF output.
- Map the fields. For each template token, select the corresponding value from the trigger or an earlier module. Check names and data types, and take care with nested data: deeply nested tokens may not be supported in the Make action interface.
- Retrieve the generated file. The generation action returns a result file reference. In the documented workflow, an HTTP “Get a file” module retrieves the generated PDF from its URL. A URL is not the same thing as the file binary; retrieve the file before sending it to a downstream module that expects file content.
- Route the file. Add a destination action, such as uploading the file to Google Drive or sending it with Gmail. Set the file name and destination using the values appropriate to your scenario.

Test the scenario before scheduling it
Run the workflow with representative input before relying on a schedule or live trigger. Inspect the resulting PDF and confirm the data, layout, output filename, and destination. Include cases likely to expose mapping problems, such as optional fields, long text, or missing values, if those can occur in your source data.
- Confirm every template token has the intended Make field mapped to it.
- Check that the generated result is actually retrieved as file content before the destination module receives it.
- Open the delivered PDF and check its layout and content, not just whether the scenario reports a successful run.
- Verify that the destination and filename are correct for the records your trigger will process.
- Decide whether the destination provides the retention you need; do not rely on temporary process history as an archive.
Retention, reliability, and operating costs
Plumsail’s documentation says generated documents remain available in process run history for 24 hours; the page does not state a publication year. If the workflow needs the file after that period, include an explicit storage or delivery step, such as saving it to a service your organization uses.

Make scenarios depend on each connected service, its credentials, and the data passed between modules. For workflows that matter operationally, check scenario run history and confirm how the scenario behaves when an input is incomplete or a connected service cannot be reached. The documentation cited here does not establish a particular processing speed, outcome rate, or total cost, so estimate those for your own scenario and service plans rather than assuming a benchmark.
Troubleshoot common problems
- The Plumsail connection cannot be created: confirm you have an active Plumsail account and are using its API key, then review the connection setup and access permissions.
- A field is blank or appears in the wrong place: compare the template token with the field selected in Make. Check capitalization or naming differences and whether the value is nested too deeply for the action interface.
- The next module cannot use the generated file: check whether it received a URL rather than file content. Add the documented HTTP “Get a file” retrieval step before passing the file to a module that expects the binary.
- The file is no longer available in process history: the documented run-history retention is 24 hours. Retrieve and save or deliver the output as part of the scenario if it must be retained longer.
- The PDF looks wrong despite a successful run: inspect the source values, token mapping, template layout, and output configuration using a representative record. A successful module run does not by itself verify that the document is visually correct.
