The result should be a workload-backed requirements list and a test plan—not a decision based on capacity alone.
What to inventory in your current file environment
Start with a meaningful migration unit: a share, dataset, application repository, content system, or other distinct source. Include NAS and other storage sources in scope, as well as archival or backup data when they may be part of the move. Microsoft recommends assessing both source data and the intended post-migration state, rather than recording only total capacity (Microsoft Learn: Storage migration assessment).
Create one inventory row for each unit and capture:
- Ownership and purpose: business owner, users, and the work the data supports.
- Source and size: source system, capacity used and allocated, approximate file or object count, and growth.
- Structure and file behavior: directory depth, path or filename characteristics, unusually large files, and special features such as alternate data streams or access-based enumeration.
- Access and identity: SMB, NFS, object API, or other access method; authentication; permissions and ACL model; and retention requirements.
- Dependencies: applications, services, scripts, and users that read or write the data, including any requirement that those systems continue working after migration.
Record the post-migration intent too: whether the data will retain its structure, be reorganized, or be consolidated with another dataset. Treat reorganization as an explicit decision, since it can change permissions, dependencies, and cutover risk.

How the data is used
For every inventory row, identify who or what accesses it, how often, and by what method. Note whether clients need shared file-system access, object-level access, or block-level access. These are not interchangeable assumptions: file storage is designed around files and directories, object storage around objects and APIs, and block storage around volumes presented to systems.
Map protocol and application requirements explicitly. A user-facing share may depend on SMB or NFS behavior, while an application may rely on a particular API, path, permission behavior, or file feature. Verify which applications must keep reading and writing the data, and whether they can be changed or refactored. Record whether activity is read-heavy or write-heavy, random or sequential, shared among multiple clients, and sensitive to latency.

Measure workload and growth over a representative period
A capacity snapshot cannot show whether a platform will meet performance needs. Collect, where available, capacity and utilization, IOPS, throughput, latency, I/O size, read/write mix, averages and peaks, change rate, and growth. Include network bandwidth and latency between source and target when migration is planned. Capture both ordinary activity and recurring peaks or seasonal bursts.
The observation window should reflect the workload’s real rhythms. AWS describes collecting data for 7–30 days to capture daily, weekly, and monthly patterns; this is an example approach, not a universal minimum. Its guidance also describes point-in-time exports, vendor monitoring, third-party tools, or a flat file when automated collection is impractical (AWS Storage Blog, September 25, 2026).

Use measurements to distinguish sustained demand from short-lived peaks and to estimate how much data will change during migration. If only partial telemetry is available, label the gap and validate assumptions with representative workload tests instead of treating estimates as observed facts.
Turn findings into requirements before comparing platforms
Separate non-negotiable requirements from preferences. Write each requirement so it can be checked—for example, which protocols must work, which applications must remain compatible, what latency or throughput the workload needs, or how much downtime a cutover can tolerate.

- Access and compatibility: file, object, or block access; SMB/NFS and application APIs; shared access; file sizes, paths, and special file behavior.
- Performance: latency, throughput, IOPS, I/O size, read/write mix, random versus sequential activity, and average and peak demand.
- Capacity and growth: used and allocated capacity, file counts, change rate, growth, and lifecycle or archival profile.
- Protection and resilience: replication, recovery objectives, availability, durability, acceptable downtime, and restoration validation.
- Security and governance: identity, authorization, ACL retention, encryption, isolation, retention, audit, compliance, monitoring, and incident response.
- Migration and operations: network limits, synchronization needs, cutover complexity, application changes, staff skills, and ongoing administration.
- Cost: capacity and performance configuration, migration, lifecycle, support, and administration costs, modeled against measured use rather than headline capacity alone.
Storage selection depends on the workload rather than a universal ranking. The AWS Well-Architected Framework says the optimal solution varies with access method, access patterns, throughput, access and update frequency, and availability and durability constraints (AWS Well-Architected Framework: How do you select your storage solution?). A portfolio may therefore need more than one storage type.

Use a consistent comparison for each approach that remains viable. A shared file platform may suit users or applications that depend on a file system; object or block options may better fit different access patterns. Hybrid designs can also be relevant when on-premises and cloud storage must work together under performance, cost, or compliance constraints. AWS’s storage decision guidance likewise frames selection around access methods, patterns, throughput, access and update frequency, availability, and durability (AWS Decision Guides: Choosing an AWS storage service).

Do not compare a candidate’s nominal capacity with your current used capacity and call the assessment complete. Check the full workload profile, including protocol behavior, peak performance, security controls, resilience, migration effort, and operations. A vendor’s feature or performance claim is not a substitute for confirming that the proposed configuration meets your stated requirements.
Plan protection, security, and cutover
Estimate how much data changes between initial copy and cutover, then choose a replication or synchronization approach and schedule that fit the change rate and downtime tolerance. Dynamic datasets commonly need an initial transfer followed by incremental synchronization and a planned final cutover; a one-time copy may leave changes behind. Document cutover steps, validation checks, rollback considerations, and who owns each action.
Confirm how authentication, authorization, ACLs, retention, encryption, and isolation will be handled on the target. Define required data protection, restoration assurance, monitoring, logging, and incident response. NIST SP 800-209 provides storage-specific security guidance; map its control areas to the organization’s security program and applicable regulations rather than treating it as a substitute for them (NIST SP 800-209: Security Guidelines for Storage Infrastructure).
Validate the design before committing
Shortlist only approaches that satisfy the must-haves, then test the proposed configuration and migration plan with representative workloads. Benchmark or load-test the activity that matters—such as peak concurrent access, latency-sensitive operations, or write-heavy periods—and check that applications and permissions behave as expected.
- Choose representative datasets and workflows. Include different access patterns, important application dependencies, and relevant file features.
- Test the target configuration. Compare observed performance and behavior with the requirements and measured baseline; investigate bottlenecks rather than relying on a single aggregate result.
- Test the migration path. Exercise initial copying, incremental synchronization, permission handling, final cutover, and restoration or rollback procedures as applicable.
- Record the evidence and decision. Note what was tested, under what conditions, which requirements passed, and any unresolved risks or assumptions.
- Reassess when conditions change. Workload characteristics, growth, service options, and operational constraints can change; update the baseline and decision when they do.
A 2026 AWS article reports an ESG 2023 analysis finding up to 66% lower storage costs over three years through right-sizing and lifecycle management (AWS Storage Blog, September 25, 2026). That is a reported analysis finding, not a forecast or expected saving for an individual migration.
