To add subtitles or captions, open YouTube Studio, select Subtitles, choose a video and language, then select Add under Subtitles. You can upload a timed caption file, auto-sync a transcript, or type captions yourself. Adding them can make a video easier to follow for people who are Deaf or hard of hearing, viewers watching without sound, and people who speak another language—but no verified figure establishes a guaranteed increase in views or engagement.
Captions or subtitles: what should you add?
YouTube groups both workflows under Subtitles. Captions usually represent spoken words and relevant sounds, such as applause or thunder. Subtitles commonly show spoken dialogue, often translated for viewers who speak another language. Choose the track language to match the content you are creating; add another language track if you want to provide a translation.
Captions can help viewers understand speech and sound information when listening is difficult or audio is unavailable. A 2022 study explored captioning experiences and creator practices, including interviews with 13 Deaf and hard-of-hearing viewers, analysis of 189 captioning-related videos, and a survey of 62 creators. Those are the study’s sample sizes, not population estimates or evidence that captions produce a particular engagement increase. Read the study.
Choose the method that matches what you have
| Method | Use it when | What to know |
|---|---|---|
| Upload a caption file | You already have captions, especially captions with timings. | Check that the file type is supported. Choose whether the uploaded file already includes timing. |
| Auto-sync a transcript | You have a transcript without timings. | The transcript must use a supported language that matches the spoken language. YouTube does not recommend this for videos over an hour or with poor audio quality. |
| Type captions manually | You need to create or correct captions while reviewing the video. | YouTube assigns timings as you type or paste text while the video plays. Include relevant non-speech sounds. |
| Edit automatic captions | YouTube has generated a caption track for the video. | Use it as a starting point, then correct wording and timing; automatic captions can contain mistakes. |
YouTube describes caption files as containing the spoken text and timestamps for when each line should appear. Some formats also support positioning and styling. See YouTube’s file and workflow instructions for supported formats and current upload choices.

Add subtitles or captions in YouTube Studio
- Sign in to YouTube Studio and select Subtitles from the left menu.
- Select the video you want to caption.
- Choose or add the language for the track. If you are creating captions in the language spoken in the video, select that language.
- Under Subtitles, select Add.
- Choose the method that fits your material: upload a caption file, auto-sync transcript text, or type captions manually.
- Review the text and timing in the editor, make corrections, and publish the track.
The exact options can depend on whether the video already has a caption track or whether YouTube has generated captions. You can also add subtitles during the video upload workflow. YouTube’s step-by-step help page covers the available paths.
If you have a timed caption file
Select Upload file, choose the option indicating that the file includes timing, and select the supported file. Confirm the format before uploading; a file with text but no timings follows a different option.

If you have a transcript but no timings
Select Auto-sync, then enter or upload the transcript and start synchronization. The transcript language must be supported for speech recognition and must match the spoken language in the video. YouTube advises against this approach for videos longer than one hour or with poor audio quality. Check the synchronized result before publishing it.
If you are creating captions from scratch
Choose the manual typing option and type or paste caption text while playing the video. Include meaningful sound descriptions where they help explain what viewers hear, for example [applause] or [thunder]. Check that each caption appears at the right moment and remains on screen long enough to read.

Review automatic captions before relying on them
YouTube says automatic captions are available only in the video’s default language, and warns that generated captions can contain mistakes. Open the caption track in YouTube Studio and correct misspelled names, technical terms, omitted words, and timing errors. Check punctuation and sentence boundaries too: YouTube’s captioning guidance encourages creators to review and edit automatic captions, while Stanford University IT notes that automatic captions can lack punctuation.
Improve the audio conditions, then check the captions
Clear speech helps speech recognition: the National Center on Disability and Access to Education says results are best when audio is clear, the speaker’s voice is distinct, and ambient noise is minimized. This improves the conditions for recognition but does not guarantee an accurate track; manual edits are still commonly needed. A separate microphone is optional, not a requirement for adding captions.

One API detail for developers
For ordinary uploads, use YouTube Studio rather than the captions API. Google’s YouTube Data API documentation says its sync parameter for the captions.insert and captions.update endpoints was deprecated on March 13, 2024. That change concerns the API; Studio’s auto-sync workflow remains documented for creators.
