Meeting invitation vs. ordinary email
An appointment is an event for your own calendar. A meeting is a calendar event sent to other people. Outlook’s built-in response tracking comes from the meeting invitation, not a regular email.

How to add RSVP to Outlook on the web
Use these steps in Outlook.com or your organization’s Microsoft 365 Outlook website.
- At the bottom of the page, select Calendar.
- Select New event, or click the calendar at the date and time you want.
- Enter the event title.
- In Invite required attendees, enter invitees’ names or email addresses.
- Enter a location in Search for a room or location, if needed.
- Select View event or More details to open the full event form.
- Set the date, time, and other event details. The current web form shows a default reminder of 15 minutes.
- To add non-required participants, select Optional and enter their addresses.
- Select Response options to review whether responses are requested, whether forwarding is allowed, and whether the attendee list is hidden.
- Review the event and select Send.
The control is called Response options, not “RSVP settings.” Add attendees to create a meeting invitation; an event without attendees is an appointment for your own calendar.

How to add RSVP in New Outlook for Windows
To identify your version, look for Settings on the ribbon. If it appears, follow these New Outlook steps. If it does not, use the Classic Outlook instructions below.
- Open Outlook and select Calendar.
- Select New Event.
- Enter the meeting title and select Invite attendees.
- Enter the invitees’ names.
- Choose a suggested time or enter the date, start time, and end time.
- Enter the location.
- If available and appropriate, turn on the Teams meeting option.
- Review the attendees and event details, then select Send.
The invitation provides the response controls. You do not need to put “RSVP” in the subject or message body; you can include a response deadline in the meeting description.
How to add RSVP in Classic Outlook for Windows
- Open Outlook and select Calendar.
- On the Home tab, select New Meeting.
- Enter the attendees, subject, location, date, start time, and end time.
- To compare attendees’ availability, open Scheduling Assistant on the Meeting tab.
- If applicable, select Teams Meeting or Skype Meeting. The available option depends on your organization’s configuration and services.
- Add an agenda or instructions in the meeting body, then select Send.
Outlook sends attendees’ responses to the meeting organizer. You can review attendance from the calendar item; the exact display depends on your Outlook version and account.
What recipients see when they RSVP
In Outlook on the web, a recipient may see an RSVP action in the message list for a single-occurrence meeting. They can review the invitation, optionally add a message, and choose Yes, Maybe, or No.

Recipients can still open a recurring invitation and respond using its meeting controls. This is a recipient-side shortcut, not a way for the sender to turn an ordinary email into a meeting.
How to write the invitation message
The calendar invitation provides response controls; the body supplies context. Include useful details such as:
- The purpose of the meeting
- An agenda, if attendees need to prepare
- Whether it is in person, online, or hybrid
- A response deadline, if attendance matters
- What attendees should bring or prepare
- A contact method for questions
Example subject: Project kickoff meeting
We will review the project scope, milestones, and ownership. Please respond by Thursday so we can confirm the room size. Bring any questions about the initial requirements.
Typed “Accept,” “Decline,” or “RSVP” text in an ordinary email does not connect it to Outlook’s meeting response system.

How to share an event without tracking RSVPs
For an event people can add to their calendars without sending responses, you can send an iCalendar (.ics) attachment or link. In Classic Outlook for Windows:
- Open Calendar.
- On the Home tab, select New, then New Appointment.
- Enter the subject, location, start time, and end time.
- On the Appointment tab, select Save & Close.
- Select the saved appointment on your calendar.
- On the Appointment tab, open the down arrow beside Forward.
- Select Forward as iCalendar.
- Add recipients to the new email with the .ics file attached, then send it.
You can also save the .ics file somewhere recipients can access and link to it through Insert > Links > Link or Hyperlink.
An iCalendar attachment or link lets recipients add the event, but does not provide the organizer with accept or decline confirmations.
When to use a poll instead
A meeting invitation works when the date and time are decided. Use a poll or form when attendees need to choose between options, such as:

Send a poll link by email or use an available Microsoft polling feature. The results belong to the poll, not Outlook’s meeting response fields. Once you choose a time, create and send a calendar meeting invitation.
Common RSVP problems and fixes

Best practices for reliable attendance tracking
- Use one meeting invitation. Avoid sending multiple versions with different times.
- Use the correct time zone. This matters especially for external attendees and online events.
- State a response deadline. Put it in the meeting body so attendees know when to reply.
- Use required and optional attendees appropriately. Required attendees are central to the meeting; optional attendees are included for awareness or if available.
- Update the original meeting. If details change, modify the calendar meeting and send an update.
- Use an .ics file only when tracking is unnecessary. It is an add-to-calendar option, not a substitute for a meeting request.
Quick answer
To add RSVP to an Outlook email, do not start with New message. Open Calendar, create a New event or New Meeting, add attendees, review Response options where available, and select Send.

Can I add RSVP buttons to a normal Outlook email?

What is the difference between an Outlook appointment and a meeting?
An appointment is placed on your own calendar. A meeting includes attendees and sends them an invitation they can accept, tentatively accept, or decline.
Does an .ics file track who accepts the event?
