To collaborate on WordPress drafts without leaving the editor, install Multicollab on a site using Gutenberg, configure its required WebSocket service, enable Real-time Editing, and invite logged-in collaborators with Share. It provides a Google Docs-like editing pattern inside WordPress, but it does not integrate or synchronize with Google Docs, and changes still require the normal WordPress Save Draft action.
Choose the workflow before installing anything
There are two different ways to interpret “document collaboration” in WordPress:

Neither option should be treated as a universal winner. Your decision depends on where the canonical content belongs, how people receive access, whether simultaneous editing is essential, and which WordPress and editor versions your site can run.
What Multicollab adds to Gutenberg
Multicollab is designed for editorial teams working on WordPress posts and pages. Its vendor documentation describes inline comments, suggested edits, mentions, activity notifications, guest collaborators and role-based permissions, with free and premium versions described on its product pages. These are vendor-described capabilities, not an independent performance assessment.

Its live mode is the closest match to the familiar Google Docs interaction: collaborators can see one another’s edits while a draft is open. However, the Multicollab FAQ explicitly says the plugin does not sync with Google Docs. “Google Docs-style” therefore describes the interaction pattern, not a Google integration.

Use the current Multicollab requirements page for the release you intend to install. It currently specifies:

- WordPress 6.4 or higher.
- The Gutenberg block editor.
- Administrator access to install and configure the plugin.
- Logged-in users with permissions appropriate for the collaboration tasks.
- No Classic Editor support.
Multicollab’s documentation is not completely uniform across pages: a technical FAQ mentions WordPress 5.6 or newer and recommends PHP 7.4+, while the vendor homepage states compatibility with WordPress 6.4+, PHP 8.0+ and Gutenberg 14.2–21.9. Those statements may correspond to different plugin versions or update dates. Do not infer a single minimum from them. Check the requirements page and the plugin release notes immediately before deployment, then verify the installed version’s PHP and WordPress support on a staging site.
Set up live collaboration with Multicollab
- Confirm Gutenberg and permissions. Make sure the site uses the block editor, your WordPress version meets the current requirements, and you can install plugins as an administrator.
- Install and activate Multicollab. In the WordPress dashboard, open Plugins > Add New Plugin, search for Multicollab, install the appropriate listing, and select Activate. For a manually supplied package, use Plugins > Add New Plugin > Upload Plugin and follow your site’s change-control process.
- Configure a WebSocket service. Open Multicollab’s settings and select either the vendor’s complimentary WebSocket service or enter a WebSocket URL that you operate. The vendor’s setup guide states: “WebSocket Service is required to use a real-time editing feature.” Without that service, comments or suggestions may still be available, but live editing will not work.
- Turn on Real-time Editing. Enable the real-time option in Multicollab’s settings and save the configuration. If your WebSocket endpoint is self-hosted, test connectivity from the browsers and networks your editors actually use, including any proxy or firewall rules.
- Open a draft and invite collaborators. Edit a Gutenberg post or page, choose Share, and invite the relevant logged-in users according to their WordPress roles and the permissions configured on the site.
- Save the draft normally. Other editors can see live changes, but Multicollab does not replace WordPress’s persistence workflow. Each editor must use Save Draft (or the applicable update action) for changes to be stored in WordPress.

- Five concurrent active users: the vendor’s real-time collaboration page, last updated December 8, 2025, states a maximum of five active users at once.
- One editor per block: two users cannot edit the same block simultaneously. Divide work by blocks or sections when working live.
- Live mode versus Suggestion Mode: Real-time Editing and Suggestion Mode cannot be used at the same time. Choose live co-editing when speed matters, or switch to suggestions when a review trail is more important.
- Save is still explicit: seeing a change on screen is not the same as having it saved to the database.
These are product limits, not independent research statistics. If your process needs more than five active editors, concurrent edits to the same block, or Google-style continuous saving, Multicollab’s documented behavior does not meet that requirement as configured.
Use comments and suggestions when simultaneous editing is not the goal
A review workflow can be safer than live co-editing for legal, brand or heavily edited content. Use inline comments, mentions and suggested edits to keep feedback attached to the relevant Gutenberg content. When the team needs Suggestion Mode, disable Real-time Editing for that session because the two modes are mutually exclusive. Keep a named owner responsible for accepting changes and saving the resulting draft.

When the WordPress.org Docs plugin is a better fit
The separate Docs plugin targets shared documents rather than collaboration inside an existing post or page. Its listing describes access through a share link, email invitations, or invitations to existing WordPress users.
The listing also says real-time co-editing requires the Gutenberg plugin or WordPress 7.0. For the release represented by the listing, it reports WordPress 6.9 or higher and testing up to 6.9.7. Directory compatibility and those version numbers are release-specific and can change; check the live listing before installation.

Troubleshoot the common failure points
Collaborators cannot see live changes
- Confirm Real-time Editing is enabled in Multicollab settings.
- Check that a WebSocket service is selected and reachable from each user’s network.
- Verify everyone is editing the same shared draft through the Share workflow.
- Save the draft; live display does not itself commit changes to WordPress.
The plugin will not install or activate
- Compare the site’s WordPress, PHP and Gutenberg versions with the current requirements page for the exact plugin release.
- Check that the site is using Gutenberg rather than Classic Editor.
- Test on staging and review conflicts with security, caching or editor-customization plugins before changing production.
Two editors overwrite one another
Do not assign the same Gutenberg block to both users at once. Split work by blocks or have one person use comments or Suggestion Mode while the other edits.
Operational checklist for a safe rollout
- Back up the site and test the plugin on staging.
- Confirm the exact WordPress, PHP, Gutenberg and plugin versions.
- Decide whether the canonical output is a post/page or a separate document.
- Choose the vendor WebSocket service or document ownership, monitoring and security for your own endpoint.
- Define who may invite collaborators and who may publish.
- Train editors to save drafts explicitly.
- Set a maximum of five active Multicollab users and a rule preventing simultaneous edits to one block.
- Document when the team uses live editing versus Suggestion Mode.
The Bottom Line
For Google Docs-like collaboration on WordPress content, Multicollab is the direct Gutenberg workflow: meet its current requirements, configure WebSockets, enable Real-time Editing, invite collaborators, and keep saving drafts normally. Choose the separate Docs plugin when the deliverable is a shared document rather than an existing WordPress post or page.
