Before you start
A call-in number is provided through the organization’s conferencing configuration; you cannot add an arbitrary phone number to the meeting invitation. If the number is unavailable, the organization may need to configure PSTN conferencing or purchase and apply the necessary licenses.

Add a call-in number when scheduling in Teams
- Open Teams and select Calendar.
- Create or open the meeting using your organization’s normal scheduling flow.
- Add attendees and the meeting details.
- Send the invitation to at least one attendee.
- Check the sent invitation for the dial-in number and conference ID.
PSTN conferencing must be enabled for your account when scheduling from Teams. If the details do not appear, contact your IT administrator. Microsoft’s Audio Conferencing setup documentation provides setup information for administrators.

Add a call-in number from Outlook
- Create or open an event in your Outlook calendar.
- Add Teams meeting details using your organization’s usual scheduling flow.
- Add attendees and send the invitation.
- Open the sent invitation and verify that the dial-in number and conference ID are present.
Microsoft says dial-in details are automatically included in a Teams meeting scheduled from Outlook. Button names and screen placement can vary between Outlook versions, so check the sent invitation rather than relying on a particular screen layout. See Microsoft’s dial-in number guidance.
How attendees join by phone
- Find a dial-in number in the meeting invitation.
- Call the number and follow the prompts, including entering the conference ID if requested.
- If joining through Teams, choose an available phone-audio option, such as receiving a call or dialing in manually.
Audio options may vary depending on the device and organizer or administrator policies. An organizer joining by phone may need to enter the meeting PIN.

Fix a missing call-in number

FAQ
Can I type any phone number into a Teams meeting invitation?
No. Dial-in details come from the organization’s conferencing configuration. If the number is missing, ask your IT administrator to check the setup.
Why does my Teams invite have no dial-in number?
The invitation may not have been sent to at least one attendee, or PSTN conferencing or required licensing may not be configured. Ask your IT administrator to check the account and organization settings.

Do Outlook and Teams add dial-in details the same way?
Microsoft says Outlook-scheduled Teams invitations include the dial-in number and conference ID automatically. When scheduling from Teams, PSTN conferencing must be enabled for the account. Check the sent invitation either way.
Is “Call me” the same as dialing into Teams?
No. With “Call me,” Teams calls a number the participant provides. With manual dial-in, the participant calls a number listed in the invitation. Availability depends on meeting and administrator policies.
