Eligible students can use Microsoft Office 365 at no cost through their school, but the free education plan usually means Word, Excel, PowerPoint, and other apps in a web browser—not automatically the full desktop versions.
To get started, use your school-issued email address at Microsoft’s Office 365 Education page. Your school must be recognized as an eligible educational institution, so having a student email address alone does not guarantee approval.
What students get with free Office 365 Education
Microsoft’s free education offering is generally called Office 365 A1. Depending on how your school has configured its account, it can include:

- Word for the web

A1 is primarily a browser-based plan. It does not normally include the installed Windows or Mac versions of Word, Excel, and PowerPoint. Microsoft’s current education documentation also lists a maximum of 100 GB of OneDrive storage for self-service A1 accounts, rather than the 1 TB often quoted in older articles.

How to sign up for free Microsoft Office as a student
- Open Microsoft’s Office 365 Education page.
- Enter your school-issued email address.
- Select Get started.
- Choose whether you are a student if Microsoft asks for your role.
- Complete the account creation and school-verification steps.
Use the address provided by your school, college, or university—not a personal Gmail, Outlook.com, or similar address. Microsoft uses the school domain and institution details to determine whether the account qualifies.
Eligibility is often checked immediately. If Microsoft sends the request for manual review, approval can take up to 10 business days.
If Microsoft says your school is not eligible
A school email address does not automatically qualify for Office 365 Education. Microsoft must recognize both the institution and its academic domain. If signup produces an ineligible-school or account-not-allowed message:
- Check that you entered the correct school address.
- Try the signup again without using a personal Microsoft account.
- Ask your school’s IT department whether Microsoft 365 Education is available.
- Ask the IT administrator whether the school needs to complete Microsoft’s academic eligibility verification.
In some schools, students cannot create their own accounts because the administrator manages Microsoft 365 centrally. In that situation, IT may need to create the account or assign the license manually.
How to use the free Office apps online
- Go to Microsoft365.com.
- Select Sign in.
- Use your school Microsoft account.
- Select Word, Excel, PowerPoint, or another available app.
The web apps work in common browsers such as Microsoft Edge, Google Chrome, Safari, and Firefox. Documents are normally saved to your school OneDrive, which enables automatic saving and sharing. Do not assume that files stored in a school account will remain available indefinitely; back up important work before leaving the school.

Can students install Office on a Windows PC or Mac?
Only if the school assigns a license that includes desktop applications. The free A1 plan does not normally include the installed desktop programs. Schools that provide plans such as Office 365 A3 or Microsoft 365 A3 can give eligible students access to the Windows and Mac versions, but the school pays for and controls those licenses.
To check whether your account includes desktop Office:
- Go to m365.cloud.microsoft/apps.
- Select Sign in and use your school account.
- Look for Install apps. In some layouts, select Apps in the left navigation first.
- Select Microsoft 365 apps.
- Run the downloaded installer.
- Open Word, Excel, or another Office program and sign in with the same school account.
If the account has an eligible license, Microsoft 365 desktop apps can generally be installed on Windows PCs and Macs. A local administrator password may be required on a Windows computer.
Why the “Install apps” button is missing
The missing button usually indicates one of the following:

| No desktop license assigned | The school may offer Microsoft 365 but has not assigned an A3 or equivalent license to your account. |

| Provisioning is incomplete | A newly created account may need more time before all services appear. |
| School access is restricted | Your school may block the installation page or require IT to install the software. |
To inspect the assigned subscriptions, sign in to the Microsoft account portal, then go to Settings > My app settings > Office 365 > My account > Subscriptions. Look for The latest desktop version of Office. If it is absent, your account probably does not include installed Office.

If your school confirms that you have a desktop license but the normal home page still lacks the button, try Microsoft’s direct Microsoft 365 Software page. If the option remains unavailable, contact school IT rather than downloading an installer from an unofficial website.

The desktop installation option is for Windows and Mac computers. It does not turn a Chromebook, iPad, iPhone, or Android phone into a desktop Office computer.
- Chromebook: use Microsoft365.com in the browser or install supported Android apps where available.
- iPad or iPhone: use the Microsoft 365 mobile app or individual Office apps.
- Android phone or tablet: use the Microsoft 365 mobile app or supported Office apps.
Mobile and web versions are suitable for many assignments, but some advanced desktop features, add-ins, macros, and formatting tools may not be available.
How long does the free student access last?
Education access normally lasts while you remain enrolled at, or employed by, a qualifying school. Microsoft or the school may periodically recheck eligibility.
When the school license expires, desktop Office applications can enter reduced-functionality mode: existing files may be viewable, but editing and creating new documents may be disabled. Web Office, OneDrive, Teams, and other school-linked services can also stop working when the account is disabled.

Before graduation or withdrawal:
- Download or copy important documents to a personal storage location.
- Move personal files out of the school OneDrive.
- Change accounts for services that use your school email address.
- Check whether you need a personal Microsoft 365 subscription or another office suite.
Free Office if you are not eligible for an education account
Anyone can use free web versions of Word, Excel, and PowerPoint with a personal Microsoft account. The consumer option also includes OneDrive, Outlook, and mobile access, with 5 GB of OneDrive storage.
Visit Microsoft’s free Office page, sign in with a personal Microsoft account, and choose the app you need. Like the education A1 plan, this option does not provide the full desktop Office applications.
Common mistakes to avoid
- Assuming a .edu address guarantees approval: Microsoft still has to recognize the school and domain.
- Expecting desktop Word and Excel from A1: A1 is normally web-only.
- Expecting 1 TB of student OneDrive storage: current self-service A1 documentation identifies a 100 GB maximum.
- Trying to install desktop Office on a Chromebook: use the web or mobile version instead.
- Using a personal account during school signup: the education entitlement must be connected to the school account.
- Downloading “free Office” from a random site: unofficial installers can contain malware or pirated software.

Is Microsoft Office free for every student?
