Yes—you can automate most screenshot-based SaaS documentation. Automate a guide with Scribe
Scribe defines a Scribe as “an automatically generated step-by-step guide with screenshots, text and cursor clicks” (Scribe Support, updated September 23, 2026). Install its browser extension or desktop app, start a capture, and perform the workflow normally. Scribe creates the initial sequence for you.
Practical capture procedure
- Write the task as an outcome, such as “Invite a member and assign the Analyst role,” rather than “Click Settings.”
- Open a clean test account with realistic but non-production data.
- Start the Scribe capture, then complete the canonical happy path without exploratory clicks.
- Stop recording and edit each step so the title states the user’s intent, not merely the UI control.

Design a maintainable capture script
- Seed a dedicated account with deterministic data and fixed permissions.
- Navigate through the same selectors your product tests trust; prefer accessible roles and labels over brittle CSS paths.
- Wait for the meaningful state—such as a visible success message or loaded table—rather than sleeping for an arbitrary duration.
- Capture only after transient banners, loading indicators, and animations are settled.
- Store images with a version or build identifier and review diffs when the UI changes.
- Keep explanatory prose in your documentation source, while the script owns the pixels.
Playwright improves repeatability and CI integration, but it will not decide whether a sentence is understandable, whether a role-specific branch is missing, or whether a screenshot contains confidential data.
A production operating model that stays current
1. Define the reader and the canonical path
Record the persona, prerequisite permissions, plan, starting state, success condition, and expected terminology. If administrators and ordinary members see different controls, create separate branches.
2. Capture with safe data
Use synthetic names, domains, tickets, and billing values. Never rely on blur as your only privacy control; prevent secrets from entering the capture in the first place.

3. Review every generated step
- Does the step explain why the reader is acting?
- Does the screenshot show the control without hiding context?
- Are labels and navigation names current?
- Would a user with the stated role see the same screen?
- Are error states or irreversible actions called out?
4. Add meaningful branches
Document differences caused by permissions, plan limits, feature flags, localization, device size, or first-run state. Link to a separate branch when combining paths would make the main guide ambiguous.
5. Publish where work happens
Use an embedded knowledge base for support, an in-app walkthrough for contextual onboarding, a link for lightweight sharing, or a PDF when an offline or approval workflow requires it. Set access controls so internal procedures and customer instructions are not mixed.

6. Assign maintenance ownership
Give each guide an owner, last-verified date, product area, and trigger for recapture. Re-run captures after navigation changes, renamed controls, redesigned dialogs, permission-model changes, or altered setup prerequisites—not only after a major release.

The guide contains the wrong page or an incomplete state
Cause: capture started before navigation or data finished loading. Fix: wait for a selector, a success condition, or network idle; in Playwright, assert the expected URL and visible content before taking the shot.

Cause: a full-page image was scaled down too far. Fix: capture the relevant element or viewport, use device-pixel scale, split the procedure into steps, or publish a PDF with appropriate paper size and margins.
Generated instructions expose private information
Cause: production data, tokens, or internal identifiers entered the recording. Fix: recapture with synthetic data, then inspect every image and caption; apply blur or redaction before publication and restrict access to internal guides.
A CI capture is flaky
Cause: animations, changing data, unstable selectors, or timing assumptions. Fix: freeze test data, disable animations where possible, use semantic selectors, wait on observable state, and retry only after diagnosing the underlying race.

Quality and maintenance checklist
- The title states the user outcome and audience.
- Prerequisites, permissions, plan, and starting state are explicit.
- Each screenshot shows the action at readable scale and has no secret data.
- Step text explains intent and expected result, not just coordinates.

Frequently asked questions
Can screenshots alone generate a complete guide?
No. Capture tools can draft steps from clicks and screen context, but they cannot reliably infer business intent, permissions, exceptions, or privacy requirements without review.
Should a SaaS team use Scribe, Tango, or Playwright?
