Approval should follow a security, legal, and editorial review—not an assumption that a paid account or privacy setting makes sensitive material safe.
Can you paste a source’s documents into an AI chatbot?
As a default, no. Treat source names and contact details, confidential documents, unpublished reporting, sensitive drafts, and identifying metadata as protected information. Keep them out of external AI services unless the newsroom has reviewed and explicitly approved that specific workflow.
The Associated Press advises staff not to put confidential or sensitive information into AI tools. The Thomson Reuters Foundation’s 2025 newsroom guide gives examples of information a newsroom can prohibit uploading to external platforms: unpublished drafts, source identities, and confidential documents. These are prudent policy baselines, not proof that every newsroom has identical rules.
Removing a name does not necessarily make material anonymous. A document can expose a source through metadata, distinctive details, or a combination of facts. The Committee to Protect Journalists (CPJ) warns that metadata may help identify a source, so assess the whole item and its context—not just whether a name appears in the text.

How should a newsroom decide which AI uses are allowed?
Set rules by both what goes into a tool and what the tool will do. A low-sensitivity task is not automatically safe if the input could identify a source, and an approved tool is not a blanket authorization to submit every kind of information.

The examples of permitted assistance are not universal permissions. The AP’s July 23, 2026 newsroom-standards update lists early-stage research, document summarization, transcription, translation, headline and summary suggestions, and copy assistance among uses it permits within AP. It also says AI does not replace reporting, sourcing, editorial judgment, or verification. Another newsroom must set its own permissions, and these examples do not authorize uploading confidential source material.
How do you approve a tool and verify its safeguards?
Inventory actual use
List the AI services staff already use, including personal accounts and informal workflows. For each one, record its purpose, how often it is used, who oversees it, and what information staff enter. The Thomson Reuters Foundation guide recommends this kind of inventory alongside mapping risks and possible solutions.

Review the specific service and setup
Before approving a workflow—especially one involving sensitive reporting—have security, legal, and editorial leads review the current contract and account configuration. Check the data-use terms, retention and deletion behavior, access controls, and settings that affect submitted material. Recheck them when the service or newsroom configuration changes.

The reviewed guidance does not establish universal data-handling guarantees for AI vendors. A vendor’s general assurance, a privacy toggle, or a paid plan is not by itself evidence that a particular workflow protects confidential material. The newsroom must verify the terms and configuration that actually apply to its account and use.
Make permission specific
Maintain a list of approved tools and approved uses, including the information categories that may be submitted to each. Name an owner for each approval and provide staff with a clear route to ask about new tools or tasks before trying them. If the approval does not clearly cover the tool, account, input, and purpose in question, do not submit the material while waiting for an answer.

How should journalists check AI-assisted work?
Keep a journalist responsible for the reporting and publication decisions. Treat generated output as unvetted material: verify factual statements against original documents or sources, check translations and transcriptions where accuracy matters, and review suggestions for errors or unattributed language. The Thomson Reuters Foundation guide warns that AI can introduce factual errors or plagiarism and recommends human review and proper attribution.
Keep the original material available for checking through approved, secure newsroom systems rather than relying on a chatbot’s summary as the record. If the material is too sensitive to submit under the policy, use a non-AI method or seek an explicitly approved alternative.

AI rules belong inside a broader source-protection plan. CPJ’s November 2021 guidance recommends assessing the risks to both journalist and source, including who might target them and what capabilities that actor may have. A workflow that seems low-risk in one setting may be dangerous in another.

- Protect reporting accounts with two-factor authentication and unique, strong passwords; keep devices and apps updated.
- Use end-to-end encrypted messaging where possible, while considering the source’s circumstances and the limits of each communication method.
- Review documents, apps, and metadata for details that could reveal a source. Deleting a message from one account may not remove a server-side copy.
- For sensitive document submissions, consider SecureDrop if the newsroom has it set up. For high-risk situations or uncertainty about protecting an identity, seek help from a digital security specialist.
These measures reduce risks; they do not guarantee safety. Adapt them to local law, the threat conditions, and the source’s circumstances.

Write down who may approve exceptions, which staff may access identifying information, where that information is stored, and how a suspected disclosure or other incident is escalated. Limit access to people who need it and make the responsible editor or manager accountable for protecting the identity.
The AP’s anonymous-source guidance offers one organizational example: it requires manager approval for anonymous sourcing and makes the manager responsible for knowing and protecting the source’s identity. That is AP’s process, not a rule for all newsrooms; each organization should state its own approval chain clearly.

How common is AI use in newsrooms?
The Thomson Reuters Foundation reported in 2025 that over 55% of journalists in its research used AI tools such as Grammarly or ChatGPT to polish writing or translate copy. The guide’s cited passage does not provide enough methodological detail to treat that figure as a universal rate. Whatever the level of adoption in a newsroom, staff need clear rules for both official and informal use.
How do other newsroom standards fit?
Industry guidance should be applied within its stated scope. AP’s material describes AP standards; CPJ provides journalist-safety advice; and the Thomson Reuters Foundation guide offers newsroom policy-planning recommendations. Reuters’ restriction on uploads to non-approved external tools appears in its visual-journalism standards, so it should not be presented as a rule for every Reuters workflow or every newsroom.
