Before sharing, verify both data refresh and formula recalculation: they are separate operations, and a polished report can still be out of date.
How does Excel turn workbook data into reports?
A typical report workflow moves through four tasks: connect to data, prepare it, summarize it, and present the result. Excel offers different tools for each task; the right combination depends on the structure of the data, the amount of interactivity needed, and where recipients will open the workbook.
- Connect and prepare: Power Query imports data and applies repeatable transformations, such as removing columns, changing data types, or combining tables. Microsoft describes the sequence as connect, transform, combine, and load. Prepared query results can be loaded to a worksheet or the Excel Data Model. Microsoft’s Power Query overview describes loading query results into Excel for charts and reports.
- Summarize: A PivotTable groups and aggregates records so you can explore results by fields such as date, category, or region. For simpler, flat data, worksheet formulas and tables may be enough.
- Visualize: Standard charts use worksheet cells as their data source. A PivotChart is associated with a PivotTable, so its displayed data and behavior follow that table.
- Review and distribute: Check the source, refresh state, calculations, filters, totals, and presentation before sending the file or publishing it.
Which Excel reporting approach should you use?
Choose tools according to the work the report must do. These options can be combined: for example, Power Query can prepare data that a PivotTable summarizes.

Microsoft characterizes Power Query as the recommended import experience and Power Pivot as a modeling feature for imported data. An embedded Data Model can power PivotTables and PivotCharts, but it is not a universal answer for every workbook or deployment environment.

How to build a report that can be checked
1. Define the report question and source
Identify the decision the report should support, its audience, and the reporting period. List the workbook tables or external sources it depends on. Check that fields have stable meanings, appropriate data types, and identifiers that can reliably connect records when needed.
2. Prepare data for reuse
Use Power Query when preparation should be repeatable—for example, when each reporting cycle brings a new source file that needs the same columns removed or data types corrected. If the data is already clean and compact, direct worksheet formulas may be simpler. Make transformations understandable enough that someone maintaining the workbook can follow them.
3. Summarize and choose a chart
Use a PivotTable to group records around the question being asked. A PivotChart is appropriate when the chart should track its associated PivotTable. Choose a standard chart instead when direct links to worksheet cells or a chart type that PivotCharts do not support are important.

Microsoft notes that PivotCharts do not support XY scatter, stock, or bubble chart types. Some chart-series changes, including trendlines and error bars, may not be retained after a refresh. If those features matter, test the chart after refresh and consider a standard chart linked to worksheet cells.

Refreshing a query or PivotTable updates data from its source; recalculating formulas or measures updates derived results. One operation does not guarantee that the other has completed. Power Pivot documentation distinguishes source refresh from formula recalculation and warns against publishing before recalculation finishes.
PivotTables can be refreshed manually or configured to refresh when a workbook opens, but available behavior varies by Excel version, platform, source, and workbook. Microsoft’s documentation identifies local-data Auto Refresh as an Insider feature in the rollout it describes; do not assume that feature is available in every installation. Confirm that refresh actually completed.

5. Check the result in the recipient’s environment
Excel capabilities and refresh behavior can differ across desktop versions, the web, and hosted environments. If recipients need to interact with the report, test it in the Excel platform and version they will use, rather than assuming that a workbook that works for its creator will behave identically for everyone.
What should you review before sharing an Excel report?
Use this as a practical review sequence, not as a Microsoft certification or a guarantee that a report is error-free.
- Confirm that the workbook points to the intended source file, query, and reporting period.
- Check that refresh completed. Investigate source, connector, credential, or schema errors instead of treating an old result as current.
- Confirm that formulas and calculated measures show current results. Inspect visible errors and unexpected blanks.
- Verify filters, date ranges, groupings, and totals. Compare a few underlying records with the source.
- Check chart labels, units, scales, and explanatory notes so the display communicates the intended meaning.
- If recipients use another Excel version or the web, reopen or test the workbook in that environment.
Where Excel reporting can fail or behave differently
Stale data or failed refresh
A refresh can fail or return data that is not current. Source changes, unsaved source files, locked files, connector or credential issues, and changes elsewhere in a data flow can affect what reaches the report. When errors appear, check the source and the steps that depend on it. Microsoft’s Power Query data-source error guidance discusses source and downstream impacts.

Calculations that have not updated
Updated source data does not by itself establish that every formula or measure has recalculated. In Power Pivot manual calculation mode, formula checking and validation do not occur in the same way as in automatic mode. Check calculation settings and results before distributing a model-based report.
Compatibility and read-only behavior
Power Query capabilities differ by Excel platform and version. Some PivotTables may be read-only in compatibility scenarios, which can prevent recipients from interacting with them as expected. Confirm the target environment supports the features the report requires.
Data Model and hosting limits
Data Models have storage and platform or file-size limits. A workbook may also exceed limits imposed by services such as SharePoint Online or Excel for the web. Microsoft’s Data Model specifications and limits describe technical constraints; the applicable limit depends on the platform and service, so a single maximum should not be treated as a general measure of Excel reporting capacity.

Deployment matters as well: Microsoft’s Power Query and Power Pivot comparison states that Data Model refresh is not supported in SharePoint Online or SharePoint On-Premises. Check current requirements for the specific environment before relying on hosted refresh.
PivotChart constraints
A PivotChart is tied to its PivotTable, and some chart types and series formatting are unsupported or may not persist after refresh. This can make a PivotChart less suitable when the report requires a specific chart type or carefully customized series.

- Model complexity: A single flat table may not need a Data Model. Related tables and measures may justify one, if the target platform and file constraints support it.

- Refresh and deployment: Decide who will refresh the data and where the workbook will run. Account for sources, credentials, platform differences, and hosting limits.
- Scale and compatibility: Check model and file size, Excel versions, and whether recipients need to interact with the report or only view its output.
