Epicor’s Prism Business Communications is an AI agent designed to read supplier quote emails and attachments, organize RFQ details in Epicor Kinetic, and help procurement teams compare responses and identify follow-up work. Epicor announced it on September 3, 2025, targeting manufacturers and supply-chain businesses that use Kinetic. The vendor describes the intended workflow and benefits, but the available sources do not report an independently measured improvement in speed or accuracy.

How can AI automate RFQs and supplier communications?

A request for quotation (RFQ) can generate a trail of supplier emails and attachments containing prices, lead times, part identifiers, and other details. Epicor says Prism Business Communications is designed to bring that information into the ERP workflow without requiring suppliers to use a separate portal or a predefined response template.

In the workflow Epicor describes, the agent scans incoming supplier messages and attachments, extracts quote information, and interprets it in the context of ERP data. Procurement staff can then review quote status, compare responses, and see where information is missing or inconsistent. Epicor also says the agent can generate summaries and suggested next steps, and provide metrics on RFQ cycle time, supplier responsiveness, and engagement. Epicor’s September 3, 2025 announcement and its product blog describe these capabilities.

The practical aim is to reduce manual inbox and spreadsheet work, while making delays and follow-up needs easier to spot. The agent is presented as embedded in Kinetic, rather than as a standalone system for suppliers. That is a description of the intended product workflow, not evidence that every quote can be processed without human review.

What does Epicor’s RFQ AI agent do?

Reads supplier email and attachments

Epicor says Prism reviews incoming supplier emails and attachments to extract details such as price, lead time, and part ID. CIO’s September 4, 2025 coverage also described email-based extraction and review through a conversational interface; that report covered the launch and does not independently validate the agent’s results. Organizes and compares quote responses

Epicor says the agent can handle comparisons across multiple suppliers and parts, and surface missing or inconsistent quote data. For procurement teams, the value would be less manual collation and a clearer view of which responses need attention. The sources do not specify how the system resolves ambiguous entries or what review controls are available for every exception.

Summarizes status and suggests follow-up

The product blog describes AI-generated summaries, suggested next steps, and quote-status visibility intended to help teams identify delays and pending supplier information. Epicor quotes early adopter Jason Bassett, IT Manager at Madsen’s Custom Cabinets: “As someone who does many different tasks in the company, and gets pulled in different directions constantly, being prompted that items need attention and the detail of what is needed really helps get back on track.” This is a customer testimonial published by Epicor, not a controlled performance study. Who can use Prism Business Communications?

The product is aimed at manufacturers and supply-chain businesses using Epicor Kinetic. Epicor’s September 3, 2025 blog stated that Prism Business Communications was available for Kinetic Cloud users in the United States and Canada at launch. The vendor’s announcement also described availability for Epicor Kinetic and native embedding in its Industry ERP Cloud experience. These are launch-era statements; confirm current regional availability, eligibility, and deployment requirements with Epicor before evaluating or purchasing.

What did Epicor say about pricing?

At launch, Epicor marketed outcomes-based pricing. Its release said customers pay only for RFQs that convert to purchase orders. The cited launch material does not establish a specific price, how a qualifying RFQ is defined, or the current contract terms, so those details need to be confirmed directly with Epicor.

What should a business verify before evaluating it?

Because Prism is described as part of the Epicor Kinetic workflow, its fit depends on more than whether it can extract data from an email. A focused evaluation should establish how it works with the organization’s ERP deployment and supplier practices, what staff must review, and what commercial and governance terms apply.

  • ERP and deployment: Confirm compatibility with the organization’s Kinetic edition and deployment, and whether the relevant region is supported.
  • Email workflow: Check which supplier messages and attachment formats it can process, and whether suppliers can continue using ordinary email.
  • Extraction and exceptions: Ask how users verify extracted prices, lead times, part IDs, and incomplete or conflicting details before acting on them.
  • Comparison and visibility: Confirm how multi-supplier quotes, RFQ status, missing data, and suggested follow-ups appear to procurement staff.
  • Security and governance: Epicor’s blog describes Azure-based security, model-agnostic flexibility, and OWASP-guided safeguards. Treat these as vendor statements; request the security and governance documentation relevant to the organization’s requirements.
  • Commercial terms: Get the pricing definition, billing mechanics, and contract conditions in writing rather than inferring them from the launch description.

What is known about performance?

The available launch materials explain the product’s intended functions and include Epicor’s customer testimonial, but they do not provide an independently measured, product-specific figure for cycle-time reduction, extraction accuracy, or productivity gains. Epicor says the agent can provide RFQ cycle-time and supplier-engagement metrics; those product metrics should not be confused with an independent evaluation of the tool’s impact.
