Start by signing in to your email provider directly and checking Trash or Deleted Items. Search for the message, then move it to your Inbox or another folder if you find it. If it is no longer there, use the provider’s own recovery option—or ask your work or school email administrator—promptly. Recovery depends on where the message is, your account type, and the provider’s time limits.
First, check whether the email is actually deleted
- Open your email provider’s website or official app and sign in. Check Trash or Deleted Items, then Junk or Spam.
- Search using the sender’s name or address, the subject, or a distinctive word from the message. If you do not find it in Inbox, it may have been archived or moved to another folder rather than deleted.
- If you locate it in Trash or Deleted Items, select it and choose Move or Restore. Put it in Inbox or another folder you intend to keep.
Check the provider’s mailbox directly rather than relying only on a third-party mail app’s folder view. If you deleted the message through another connected app, you can also inspect the provider mailbox and other configured devices or clients, but do not assume one of them has a separate copy.
If the message is no longer in Trash or Deleted Items
Look for a recovery feature documented by your provider. Some services offer a recovery area or restore request after a message leaves the ordinary deleted folder; the option depends on the service and account. For a work or school account, contact the administrator quickly. Organizational retention settings or administrative recovery options may differ from what an ordinary user can access.

If the provider says the message is permanently deleted or its recovery period has passed, user recovery may no longer be available. An organization administrator can tell you whether retention, backup, or legal-hold procedures apply to that mailbox; availability depends on the organization’s setup.

How to use each provider’s recovery option
Gmail
Open Trash and restore the message within Google’s 30-day user recovery window. Google says that after that period the message is permanently deleted and cannot be recovered by the user. Deleted drafts are not recoverable from Trash. For a Google Workspace mailbox, ask the administrator whether the Admin console Restore data tool can help; the administrator process has its own limits.
Outlook
Check Deleted Items and Junk Email first. If the message has left Deleted Items, look for Recover Deleted Items. Microsoft notes that this feature is not available for every account; if the option is missing, that account may not support recovery beyond Deleted Items. For Outlook.com and Outlook on the web, Microsoft documents 30-day automatic deletion for Deleted Items and Junk email, and a 30-day recovery period for items removed from Deleted Items. In an organization mailbox, ask the administrator about the applicable retention policy.

Yahoo Mail
If the message is still in Trash, move it to Inbox or another folder before Yahoo deletes it after 7 days. If it is missing, submit Yahoo’s restore request for a message lost or deleted within the last 7 days. Yahoo says restorations are not always successful; the request does not cover Spam or Draft messages. A restored message may return to the folder it occupied at the selected restore time, so check Trash and move it to a folder where you want to keep it. Yahoo’s restore instructions

What to do if recovery fails
- For a personal account, follow the provider’s stated recovery limits; do not assume a third-party tool can bypass them.
- For a work or school mailbox, ask the administrator whether organizational retention or recovery procedures apply.
- Avoid giving your password or verification codes to anyone claiming they can recover mail outside the provider’s documented process.
