Yes—Gemini can connect to Gmail, Drive, Calendar, Keep, and Tasks for people signed in with a Google Workspace account, when the feature is available for their edition and their administrator permits it. Google began adding Gemini capabilities to Business and Enterprise plans in January 2025, but features differ by edition and education accounts can have different limits.
What Workspace Gemini extensions can access
With the relevant connections available, the Gemini app can use information from Gmail, Drive, Calendar, Keep, and Tasks to answer requests. Google’s examples include finding a Drive document, summarizing unread email, and looking up notes connected to an upcoming meeting. These connections make it possible to ask about work information without locating each item manually; they do not mean every Workspace account automatically has access.
Google announced the Workspace-app connections on July 16, 2025. The apps shown to a user depend on account eligibility, settings, and administrator policy. Google’s announcement of Gemini connections to Workspace apps describes the feature.
Which Workspace plans include Gemini?
Google announced on January 15, 2025 that it was adding generative AI capabilities to Workspace Business and Enterprise plans without requiring separate add-ons. The rollout began for Business plans that day, with Enterprise rollout later in January. Google’s current Workspace Help page, updated August 26, 2026, says AI availability depends on the specific edition; the announcement should not be read as a guarantee that every feature is included in every plan.

Google’s Workspace editions and feature availability page is the place to verify a particular edition. The January 2025 rollout announcement provides the original plan context: Google’s announcement of AI features for Business and Enterprise.
Gemini in Workspace apps versus the Gemini app
These are related but distinct ways to use Gemini. Gemini embedded in a Workspace service can assist within that service; the Gemini app can use connected Workspace sources such as Gmail or Drive when enabled. Google’s current feature page lists coverage across Gmail, Docs, Sheets, Slides, Drive, Chat, the Gemini app, Gemini Notebook, and AppSheet. Google’s January 2025 announcement also named Gemini in Meet and custom Gems among the capabilities being added to Business and Enterprise plans. The exact combination available depends on edition and configuration.

Google’s May 2025 general-availability notice said an administrator setting controlled access to Workspace apps in the Gemini app after beta. For Workspace users, therefore, seeing Gemini in one product does not by itself establish that connected-app search or every other AI feature is enabled.
Can an administrator turn Gemini off?
Yes. Google documents administrator controls for Gemini and related AI services. Depending on edition and service, administrators can manage Gemini access in Workspace services, turn the Gemini app and Gemini Notebook on or off, control Vids and meeting note-taking, manage smart features, enable or disable Gemini for AppSheet, and switch Workspace Studio on or off. A missing Gemini option may therefore reflect organization policy rather than a problem with the user’s account.

If a connection is unavailable, ask the Workspace administrator whether the account’s edition supports it and whether the Gemini app, Workspace app connections, or the relevant service has been enabled. Google’s edition and feature availability guidance can help distinguish an edition limitation from an administrator setting.

Google says Workspace data is not used to train the Gemini model, and its current Workspace Help privacy language says interactions stay within the organization, existing Workspace protections apply, and content is not human-reviewed or used to train generative-AI models outside the domain without permission. Google also says Gemini does not share content outside the organization without permission. These are Google’s stated protections, not a substitute for checking an organization’s own policies and administrator configuration.
In its May 2025 general-availability notice, Google additionally said prompts, responses, and content obtained through Workspace apps are not reviewed to improve models, not used to train AI models, and not shared with other users or institutions.
