To manage Google Drive storage, first check which Google service is using your account’s shared space, then review large Drive files, permanently delete only what you no longer need, and allow time for the storage total to refresh. Drive, Gmail, Google Photos and, on Android, WhatsApp backups can all draw from the same Google account quota.
Check what is using your Google storage
Open Google’s Storage Manager while signed in to the account that is full. It shows how storage is divided among Drive, Gmail and Photos, and links to cleanup options. On Android, WhatsApp backups can also count toward the account’s storage. A personal Google Account can include up to 15 GB at no charge; work and school accounts may have limits set by an administrator. Google explains how shared storage works.
Find large files and messages to review
Sort Drive files by size
In Google Drive, select Storage in the left-hand menu. The list is ordered from largest to smallest, so you can check large videos, archives, old exports and drafts first. Delete only files you recognize and no longer need. For duplicate files, Google recommends manual review rather than an automatic duplicate finder. Check names such as “(1)” or “Copy of,” and compare contents before removing anything. See Google’s storage management guidance.

In Gmail’s search box, use a query to identify messages that may be taking up space. These searches find messages with attachments larger than 10 MB, PDFs larger than 5 MB, or older attachments:

Review the results before deleting messages; emptying Gmail’s trash or spam may also be necessary to release their space. Google lists these cleanup options.
Empty trash only after checking its contents
Moving a file to Drive trash does not immediately free storage. Google states that “Files in your Trash still count towards your storage until they are permanently deleted.” Review the trash, restore anything you still need, and empty it only when you are sure. Emptying Drive trash permanently deletes its contents; otherwise, trashed files are deleted forever after 30 days. Gmail and Photos trash or spam can also use shared space. Check backups, connected apps and file ownership
Review device backups and app data
Google identifies device backups and hidden data from connected apps as possible storage sources. In Drive settings, open Manage apps to review connected apps and any hidden data they store. Before deleting a WhatsApp backup, change WhatsApp’s backup settings first. Otherwise, another backup may be created. Deleting the existing backup can also permanently remove chat history if you change phones or reinstall WhatsApp before creating a new backup. Google’s storage guide covers these sources.

Know whose quota a shared file uses
Shared files generally count against the owner’s storage, not the person viewing them. However, a copy you make, a file you add to a shared folder, or a file whose ownership is transferred to you can count against your quota. If a shared item appears to be affecting your space, check whether you own it or created a separate copy. Google explains how account storage is counted.

Separate cloud storage from computer disk space
Your Google account quota and your computer’s free disk space are different. Streamed Drive files can take very little local disk space while still counting toward cloud storage. Conversely, mirrored shared files can use space on your computer without using the recipient’s Google cloud quota. Google’s Drive for desktop guidance explains the distinction.
What to do if storage still looks full
- Confirm the files were permanently deleted from Drive trash; moving them there is not enough.
- Check Gmail and Photos, since their content shares the account quota with Drive.
- After deleting many items, allow up to 48–72 hours for Google’s storage figure to update. Google notes that storage totals can take time to refresh.
- Reopen Storage Manager and check the service breakdown again.
When an account reaches its quota, Drive uploads and file creation, Gmail sending and receiving, and Google Photos backups can be affected. Google says it may delete content if an account remains over quota for two years. Check Google’s storage policy for details.

Choose between cleanup and more capacity
After cleanup, the choice is whether to store less in Google’s cloud or add capacity. Consider whether you need convenient access across Drive, Gmail and Photos, whether your account is personal or administrator-managed, and whether you want to maintain your own local archive.

Google One is Google’s option for adding personal storage. Work and school users cannot buy more storage for themselves and should contact their administrator. Another option is to download files to a computer or external drive, verify that the copies open and are complete, and only then delete the cloud originals and empty Drive trash.
