A Gmail makeover can make your messages easier to recognize, your inbox easier to scan, and your Google Account better protected. Start with the sender name and profile picture, then tune your signature, inbox layout, labels, filters, and appearance. Finish by clearing old mail and reviewing sign-in security. These changes use Gmail and Google Account settings; you do not need to buy anything for the core makeover.
1. Set the name people see on your outgoing email
Your Gmail sender name is the display name attached to messages you send. It is separate from your Google Account name, profile picture, and Gmail address. To change it on a computer:
- Open Gmail and select the gear icon, then See all settings.
- Open Accounts and Import (or Accounts).
- Under Send mail as, select Edit info.
- Enter the sender name you want recipients to see and save the change.
Google says this sender-name change cannot be made in the Gmail app. If you use Gmail on a phone, make the change in a computer browser or consult the current Gmail settings available to you.
Changing this name does not change your email address. Google says some eligible personal accounts may be able to change an @gmail.com Google Account email address to another @gmail.com address, but the option is not available to everyone. 2. Choose a profile picture that represents you
Update your Google Account profile picture if you want a recognizable image to appear with your identity. The picture can show next to your sender name and in notifications to other Gmail users, and it is shared across Google services—not just Gmail. Choose an image you are comfortable using wherever your Google profile appears.
Change it through your Google Account profile settings. Google notes that an updated picture can take up to 24 hours to appear across products; that is an update window, not a guarantee that every display changes at the same time. Details are in Google’s profile picture help page.
3. Add a short, useful signature
A signature can save you from retyping basic contact details. In Gmail on a computer, open Settings → See all settings → General, find Signature, create or edit a signature, and save changes at the bottom of the page. Gmail supports signatures in its settings; the content is your choice.

Keep it concise: your name and, if useful, one or two relevant contact details or a professional link are usually enough. Send yourself a test message and check how line breaks and links appear before using it routinely. Gmail’s settings can also let you choose whether a signature is used for new messages, replies, or both.
4. Pick an inbox layout that matches how you work
Gmail offers several inbox types. The best choice depends on whether you prefer automatic categories, a focus on unread or important messages, or custom sections. Change the inbox type from the gear icon’s Quick settings panel on a computer; options and labels may vary as Gmail updates.

Gmail’s descriptions and setup guidance for these choices are on its inbox type help page. Try one layout for a few days, then change it if the sections do not reflect how you actually handle mail.

5. Build a small system with labels and filters
Labels help group messages, but they are not folders: a message can have more than one label. Start with a few names you will use consistently, such as Work, Personal, and Follow up. Avoid creating labels for every possible subject before you know you need them.
Filters apply actions to messages that match criteria such as a sender or search terms. Gmail filters can label, archive, delete, star, or forward matching messages. To create one on a computer, first run a search that describes the messages you mean to capture. Inspect the results, then use Gmail’s search-options control to create a filter from those criteria and choose the action.

Take extra care with Delete and Forward: a filter can keep acting on matching new mail, so confirm that the search identifies only the messages you intend. Gmail Help says users can create up to 5,000 labels; this is a product limit, not a recommendation to use that many. For details, see Gmail’s labels and filters guidance.

6. Tune the visual workspace for readability
Gmail settings let you adjust the theme, density, reading pane position, and the visibility of Chat, Meet, and sidebar apps. Use these controls to make the interface easier to read and to keep the tools you use close at hand. They are personal preferences, not guaranteed productivity improvements.
On a computer, open the gear icon’s Quick settings to try available themes and display density, and use See all settings to find additional options. Make one change at a time so you can tell whether the new layout is more comfortable. If the reading pane makes the message list feel cramped, turn it off or try another position.

For messages you want to keep but no longer need in the inbox, use Archive. Archived messages leave Inbox but remain available in All Mail and through search. A reply can bring a conversation back to the inbox. Delete is different: reserve it for mail you do not want to retain.

- Archive messages that are worth keeping but do not need to remain in Inbox.
- Star or snooze messages that need attention later rather than leaving every reminder in view.
- Unsubscribe from recurring mail you no longer want, or use a carefully checked filter for mail you want handled automatically.
Gmail’s organization guidance covers archiving, starring, snoozing, and deleting messages. Work through a manageable group at a time; there is no need to delete everything to make the inbox easier to use.
8. Review sign-in security and account recovery
A polished inbox is only part of a digital-identity refresh. Run Google’s Security Checkup, confirm that your recovery details are current, and review apps that have access to your account. Then choose sign-in protections that suit the devices you own and how you need to recover access.
Google describes several options, including passkeys, Google Prompts, and security keys. Passkeys use a device’s fingerprint, face scan, or screen lock; Google Account Help says they are designed to resist phishing. A hardware security key is a physical option, not a requirement. If you use a password, choose a unique, strong one and keep recovery access current.
