Consider QuickBooks Online if you need inventory or e-commerce workflows; compare Xero if you want a general accounting system and operate in the UK; and investigate Wave or Zoho Books if lower cost is your priority—but verify their current plans directly. FreshBooks itself may still fit a freelancer with a modest client roster, so check its billable-client limits and add-on costs before migrating.
Start with the reason you want to leave FreshBooks
Alternatives are not interchangeable: the right choice depends on whether your constraint is client volume, accounting depth, product inventory, team access, regional tax requirements, or total cost. FreshBooks is a web-based service with iOS and Android apps that sync with the account. Its core workflow includes invoicing, expense management, online payments, and financial reporting. - Too many clients for your tier: compare billable-client limits, recurring invoices, estimates, payment methods, and client-facing tools before focusing on headline price.
- You sell products: check inventory and sales-channel connections explicitly; these are distinct needs from service-business invoicing.
- Your accounting workflow is growing: assess accounts payable, chart of accounts, financial reports, accountant access, and the number of team members you can add.
- You are changing countries or tax regimes: validate local currency, sales tax or VAT handling, and regulatory compatibility for the specific country and plan.
- You want to reduce costs: compare recurring prices with add-ons, payment processing, and migration effort—not just a temporary introductory promotion.
What FreshBooks currently includes in its US plan structure
As displayed on FreshBooks’ US pricing page accessed October 4, 2026, Lite includes 5 billable clients, Plus includes 50, and Premium and Select include unlimited billable clients. This makes the client cap a key factor for freelancers and service businesses with expanding rosters.
The same page displayed promotional monthly rates of $1.00 for Lite for one year, $8.60 for Plus, and $14.00 for Premium, with regular displayed prices of $23, $43, and $70 respectively; Select is quote-based. Plus and Premium were labeled 80% off for three months, while Lite showed a one-year offer. These are volatile promotions, not stable standard prices, so compare the offer terms and regular rate shown at the time you sign up.

FreshBooks lists Advanced Payments at $20 per month, team members at $11 per month per person, and FreshBooks Payroll at $40 per month plus $6 per user. Its page also advertises a 30-day trial with no credit card required and says the trial provides access to its features. Confirm current terms on the FreshBooks pricing page before committing.
Which FreshBooks alternative fits your workflow?
QuickBooks Online: consider it for broader business workflows
QuickBooks Online is worth comparing if you need inventory or e-commerce management alongside accounting. Intuit’s own FreshBooks comparison marks QuickBooks as supporting those workflows, while marking FreshBooks as lacking them in the plans compared. The comparison also characterizes QuickBooks as broader and more scalable, and FreshBooks as including project-management functionality. Because this is a vendor-authored sales comparison, treat it as a starting point and confirm which current QuickBooks tier includes each feature before choosing.

Intuit’s page is titled for 2026, but says its pricing and feature list was accurate as of November 1, 2025. Its listed QuickBooks prices—Simple Start $19/month, Essentials $42.50/month, Plus $70/month, and Advanced $170/month—are historical comparison figures, not verified current October 2026 rates. The same page’s FreshBooks comparison rates are historical too. Use Intuit’s FreshBooks comparison page to identify feature questions, then verify present-day plans and pricing directly.
Xero: compare it as a general accounting system, especially in the UK
A FreshBooks-authored UK comparison says both FreshBooks and Xero support double-entry accounting, expense tracking, accountant invitations, customized charts of accounts, business health reports, payroll, and 30-day trials. It lists Xero’s lowest plan as limited to 20 invoices. Those statements are specific to that vendor-authored UK page; they do not establish US pricing, compliance, or feature availability. The page’s VAT-compliance claim is also a regional claim that should be checked against current official guidance and Xero documentation before relying on it. Review the FreshBooks UK comparison with Xero and confirm details for your country and plan.

Wave and Zoho Books: investigate if lowering cost is the priority
Wave and Zoho Books are commonly surfaced as accounting alternatives, but current plan prices, free-plan terms, and feature limits are not established here. Do not assume either is free or that a low-cost tier includes the workflow you need. Compare their official US pricing pages directly, checking invoice limits, payment processing, reporting, accountant access, and any paid features your business depends on.

A switch can cost more than the subscription price. Build a like-for-like estimate for the features you actually use, including payment processing, additional users, payroll, and any required inventory or e-commerce tier. Also account for time spent moving customer records, open invoices, expenses, and historical reports, and for the work of reconnecting payment or banking workflows.

FreshBooks advertises an Easy Switch option for Select and an Accounting Partner Program that connects users with accounting or tax professionals. These are possible migration and support routes, not proof that a particular migration is automatic or that a partner is available in every location. Ask vendors or your accountant what data can be moved, what must be recreated, and how historical records will remain accessible.

A practical way to make the decision
- List must-haves. Write down the workflows you use each month: invoices, time or project tracking, expenses, online payments, inventory, e-commerce, payroll, reporting, and accountant access.
- Check constraints. Compare client and invoice limits, user counts, and the exact plan required for each must-have. Use current vendor pages rather than old comparison prices.
- Validate regional fit. Confirm currency, tax or VAT handling, and compliance for the country where your business files and operates.
- Price the real setup. Add recurring subscription charges, needed add-ons, payment fees, and likely migration work. Keep temporary discounts separate from renewal pricing.
- Test a representative workflow. During a trial or demo, run a typical invoice, record an expense, review a report, and check how an accountant or teammate would access the account.
- Plan the move. Confirm what data transfers, how open invoices and recurring billing are handled, and how you will retain access to prior records before canceling the old account.
Choosing by business type
- Freelancer with a small client roster: prioritize invoice usability, time and expense billing, and the cost of the tier at your expected client count. FreshBooks may remain suitable if its cap and add-on costs work for you.
- Product seller: put inventory and sales-channel integration near the top of the comparison, then verify their availability in the exact QuickBooks or other plan under consideration.
- Growing team: prioritize user access, accountant collaboration, reporting, and the cost of adding staff. FreshBooks lists team members as a paid per-person add-on on its US pricing page.
- UK business: compare Xero and FreshBooks using current UK documentation and confirm VAT requirements independently; a US plan comparison cannot settle UK compliance.
