A mileage value typed at a fuel pump can help a fleet keep billing and maintenance records current, but it is not independently verified just because it was entered during a fuel purchase. The IRS describes a U.S. fleet-card procedure that prompts employees for an odometer reading; it does not establish that every fleet uses this workflow or that a particular fleet’s lorries were serviced from those entries. Treat pump readings as useful records only when they are tied to the right vehicle and checked against a vehicle-specific history or another reliable source.
What a pump-entered mileage reading can—and cannot—tell a fleet
The IRS Internal Revenue Manual describes a fleet-card procedure in which employees buying fuel at the pump are prompted to enter the current odometer reading along with a PIN. It says accurate readings matter for billing and maintenance. That is evidence that pump-entry workflows exist in at least one U.S. federal fleet procedure—not a universal rule, nor proof that a particular lorry fleet used one.
A keyed reading is a data-capture event, not automatically a validation check. The cited IRS procedure does not describe comparing the entry with vehicle telemetry, rejecting implausible values, or reviewing exceptions. A fleet that uses such entries to plan servicing should define those controls itself. IRS Internal Revenue Manual, 4.24.14.

Keep a chronological odometer record for each vehicle, rather than relying on an unstructured list of fuel transactions. A basic review can flag any reading lower than the previous one, or a jump that seems implausible given the time between entries and the vehicle’s use. Those flags are prompts to investigate, not proof of an incorrect entry: check the vehicle identity, the displayed odometer, and available service paperwork before changing a maintenance schedule.

- Record the vehicle identifier, reading, date, and source for each value.
- Compare a new entry with that vehicle’s previous reading, not a driver’s general mileage history.
- Route missing, decreasing, or unusually large changes for review before using them to trigger service.
- Where available, reconcile exceptions against a direct odometer check, service record, or vehicle-specific telematics data.
These are practical control recommendations; the cited IRS procedure does not mandate this particular review process.
Can an ELD verify mileage?
FMCSA says an electronic logging device automatically records date, time, location, engine hours, vehicle miles, and identification information for the driver, authenticated user, vehicle, and motor carrier at specified intervals. That can provide a useful cross-check when the ELD, vehicle, and fleet workflow are configured and associated correctly. It should not be treated as a universal mileage ledger for every maintenance or accounting purpose.

FMCSA specifically cautions that mileage tracking for tax reporting purposes is not part of the ELD data established under 49 CFR Part 395, even if a manufacturer offers mileage services in a fleet-management package. An ELD used for hours-of-service compliance therefore should not be assumed to provide all the records a fleet needs for service planning, fuel billing, or tax reporting. FMCSA ELD Functions FAQs.
Why vehicle identity matters
A mileage reading is only useful for maintenance if it belongs to the vehicle whose service interval is being tracked. FMCSA says ELD header miles and odometer information must reflect the current commercial motor vehicle, not the combined mileage of every vehicle a driver operated that day. Fleet systems should therefore preserve vehicle-level attribution across fuel cards, ELD records, telematics, and maintenance software. Archived Canadian federal guidance offers historical context: it recommended separate electronic fleet cards for individual vehicles and regular odometer reporting, at least monthly, to keep fleet information current. That guidance is archived and applies to Canadian federal fleet management, so it is not a current general requirement. What telematics adds—and what to verify
Telematics can reduce reliance on a driver typing a reading, but capabilities vary by system and vehicle. California’s Department of General Services describes telematics as hardware and software that gathers onboard and geographic information—including current odometer, maintenance needs, and fuel consumption—and transmits it to centralized software. Its policy also lists odometer or hour-meter readings among reporting data. Before relying on an automated feed, check whether it supplies an actual odometer reading or only trip distance or miles-driven summaries. Confirm that records are assigned to the correct vehicle, that the data is available for the fleet’s makes, model years, and powertrains, and that exceptions and changes can be audited. Also check whether readings flow into the maintenance system in a form the service schedule can use.

No single capture method removes the need for sound vehicle attribution and exception handling. A practical fleet design can retain fuel-entry readings, compare them with an appropriate vehicle-specific automated source where available, and resolve discrepancies before they alter servicing plans.
