To open a SharePoint file in a desktop application, select it in the library and choose Edit Document followed by the relevant Office app, or choose More > Open > Open in app. The latter requires the OneDrive sync client to be installed and Files On-Demand enabled. If it still fails, test the downloaded file locally to distinguish a SharePoint handoff problem from a file or Office problem.

The right fix depends on where the failure occurs: SharePoint may be opening the browser by design, the Open in app command may be unavailable, Office may be signed in incorrectly, or the file itself may be damaged.

Open a SharePoint document in the desktop application

In a SharePoint library in Microsoft 365:

  1. Select the document once.
  2. Select Edit Document in the command bar.
  3. Select Edit in Word, Edit in Excel, or Edit in PowerPoint, depending on the file type.

Do not double-click the document and expect the desktop program to open. Selecting the file normally opens it in Microsoft 365 for the web.

  1. Select the file.
  2. Select More (…).
  3. Select Open > Open in app.
  4. If Windows asks which program to use, select the appropriate application and then select Just once.

Open in app supports file types beyond Word, Excel, and PowerPoint, including PDF and MP4. If Windows has a default application for the file type, SharePoint uses it; otherwise, choose an application when prompted. (Microsoft: Open a OneDrive or SharePoint file in the desktop app.)

1. Check the OneDrive requirements

The Open > Open in app command relies on the OneDrive sync client, even when you do not intend to synchronize the entire library permanently. The client must be installed, and Files On-Demand must be enabled.

OneDrive does not necessarily need to be running before you try the command. If it is installed but stopped, SharePoint can start it when you select Open in app.

On Windows, check for the OneDrive cloud icon in the notification area. If OneDrive is not installed, install the OneDrive client supplied by your organization or Microsoft, sign in with your work or school account, and retry the file. If the command still fails, confirm that Files On-Demand is enabled in OneDrive settings. (Microsoft: Open a OneDrive or SharePoint file in the desktop app.)

2. Sync the containing folder when the file has dependencies

Some documents rely on other files. Examples include an Excel workbook with linked workbooks, a presentation using externally stored media, or a document connected to files in the same shared folder. Opening only one file through Open in app can produce missing-link or loading problems.

Microsoft documents this workaround:

  1. Sync the folder that contains the document.
  2. If it is a shared folder, add a shortcut to the shared folder in OneDrive.
  3. Wait for the folder and its contents to appear in File Explorer.
  4. Open the document from the synchronized folder.

This gives the desktop application access to the related files instead of presenting it with a single cloud file and incomplete local context. (Microsoft: Open a OneDrive or SharePoint file in the desktop app.)

3. Set Microsoft 365 links to open in the desktop apps

If links to SharePoint Word, Excel, or PowerPoint files always open in a browser, change the Microsoft 365 preference in one of the Office applications.

Word, Excel, or PowerPoint for Microsoft 365 on Windows

  1. Open Word, Excel, or PowerPoint.
  2. Select File > Options.
  3. Select Advanced.
  4. Scroll to File open preference.
  5. Select Desktop.
  6. Select OK.

Choose Browser instead if you want SharePoint links to remain in the web apps.

Outlook for Windows

  1. Open Outlook.
  2. Select File > Options.
  3. Select Advanced.
  4. Find File and browser preferences.
  5. Choose the desktop-app behavior rather than the browser behavior.

In classic Outlook, the relevant label is Open Word, Excel, and PowerPoint files using: Desktop. The preference applies to Word, Excel, and PowerPoint together; it is not a separate setting for each program.

You can also make a one-time choice. In Word, Excel, PowerPoint, or Outlook for Windows, right-click a SharePoint or OneDrive link to a Word, Excel, or PowerPoint file, select Open With, and choose the browser or desktop application.

Microsoft states that administrators cannot centrally control this desktop-versus-browser preference. Each user changes it individually. The menu paths here are for Windows; do not assume they are the same on Mac. (Microsoft: Open file links directly in Office desktop apps.)

4. Understand when the preference cannot work

The Office preference does not control every link-opening location. Microsoft documents that links may continue opening in the web in these situations:

  • You are not signed in to Microsoft 365.
  • The link was opened from Teams, OneNote, Skype, Slack, Evernote, or another unsupported client.
  • Office was installed from the Microsoft Store on Windows 10.
  • The file is not stored in OneDrive or SharePoint in Microsoft 365.
  • The link came from certain notifications, including some @mention notifications.
  • The SharePoint site uses a vanity domain such as contoso.com.
  • The file is in a sovereign cloud, such as Germany, 21Vianet China, or U.S. Government cloud.
  • An Outlook Premium phishing-protection setting is enabled across all platforms.
  • You are using Linux.

In these cases, changing File open preference may appear to do nothing. Open the file directly from its SharePoint library and use Edit Document or Open > Open in app instead. (Microsoft: Open file links directly in Office desktop apps.)

5. Fix classic Outlook opening a blank or corrupted document

Microsoft documented a classic Outlook for Microsoft 365 issue where SharePoint or OneDrive Office-document links could open in the desktop application despite a Browser preference, or open blank with a message saying that the file is corrupted and needs to be repaired.

Microsoft marked that issue Fixed. The service change was scheduled for production on May 4, 2026, beginning at 12:00 PM Pacific Time. Microsoft said that an Office client update was not required, although restarting Outlook might be necessary and rollout could take up to four hours. These dates and rollout details are from Microsoft’s known-issues notice.

If you still encounter the behavior, use one of these workarounds:

  • Right-click the email link, select Open with, and choose a browser.
  • Copy the link and paste it into the browser address bar.
  • Open the file directly from its SharePoint library.
  • Use Outlook on the web.

6. Download the file to separate a SharePoint problem from a file problem

If the document opened previously but no longer opens, it may be corrupted or saved in an incompatible format. Download it and test it outside SharePoint.

  1. In the SharePoint library, select the file.
  2. Select Download on the command bar. You can also select More (…) > Download.
  3. Open the Downloads folder in File Explorer.
  4. Right-click the downloaded file and select Open with.
  5. Choose the expected application. If it is not listed, select Choose another app.
  6. Close the application, then double-click the file again.

If the downloaded copy also fails, the issue is probably the file, format, or local Office installation rather than SharePoint’s opening command. If it opens locally but not from SharePoint, focus on authentication, OneDrive, link preferences, or the browser-to-Office handoff.

Save the document in the format required by the workflow. For example, a spreadsheet that must remain an .xls file should not be saved as a format the receiving system cannot read. Newer Microsoft 365 versions can add features that older Office versions do not support; newer versions generally read older documents, but older versions may fail on files created with newer features. Microsoft’s document-opening guidance applies specifically to SharePoint Server 2019 and SharePoint Server 2016; its guidance should not be assumed to establish current UI behavior for every legacy SharePoint Server edition. 7. Repair file associations and mixed Office installations

If SharePoint sends the file to the wrong program, repair the Windows association rather than changing SharePoint.

  1. Download the file as described above.
  2. In Downloads, right-click it and select Open with > Choose another app.
  3. Select the correct desktop application.
  4. Enable the option to always use that application for the file type, if Windows presents it.
  5. Close the application and open the file again.

A mixed Office installation can also cause application-selection problems. For example, an upgrade to Microsoft 365 or Office 2016 may leave an older Visio or Project installation behind. Update those older programs, or uninstall them if they are no longer used. (Microsoft: Fix problems opening documents in SharePoint libraries.)

8. Troubleshoot sign-in failures in the desktop app

It is possible for the account to work in a browser while Word, Excel, or PowerPoint cannot authenticate. Possible causes include limited network connectivity, a proxy or firewall requiring local authentication, missing application or operating-system prerequisites, an outdated Microsoft Online Services Sign-In Assistant, or an Office installation that is not configured for the cloud service.

Use this comparison to narrow the fault:

Test Likely area
The same account fails on every computer Account, license, tenant, or service configuration
Only federated users fail Single sign-on or federation configuration
Only one computer fails Local Office sign-in, proxy, firewall, prerequisites, or authentication components

Sign out of the desktop Office applications, close them completely, reopen one application, and sign in with the account that has access to the SharePoint site. If only one computer is affected, involve your Microsoft 365 administrator or desktop-support team to check the local Office installation, network path, and authentication components. 9. Force browser opening when desktop opening is the problem

If the desktop application is damaged or unsuitable and you need SharePoint files to open in the web, set the Office preference to Browser first. Microsoft also documents a Windows registry value for forcing Office links to open in the browser:

Registry edits affect the current Windows user and should be made carefully. Export the key or obtain approval from your administrator before changing it on a managed computer. Recommended fix order

  1. From the SharePoint library, try Edit Document or More > Open > Open in app.
  2. Confirm that the OneDrive sync client is installed and Files On-Demand is enabled.
  3. Sync the containing folder if the document depends on other files.
  4. Set the Word, Excel, PowerPoint, or Outlook link preference to Desktop.
  5. Download the file and test it locally.
  6. Repair the Windows file association or remove conflicting older Office applications.
  7. Investigate sign-in, proxy, firewall, federation, or licensing problems if the desktop app cannot authenticate.

These steps identify whether the problem is simply the wrong SharePoint command, a missing OneDrive component, a link-opening preference, a damaged file, or a desktop Office authentication failure.

FAQ

Why does selecting a SharePoint file open it in the browser?

Selecting the document normally opens it in Microsoft 365 for the web. Select Edit Document and then choose Edit in Word, Edit in Excel, or Edit in PowerPoint, or use More (…) > Open > Open in app.

Does OneDrive have to be running before I use Open in app?

No. The OneDrive sync client must be installed and Files On-Demand must be enabled. If OneDrive is installed but not running, SharePoint can start it when you select Open in app.

Can Open in app open PDFs and videos?

Yes. Microsoft says the command supports file types for which Windows has a default desktop application, including PDF and MP4.

Why does Open in app not appear or do nothing?

Check that OneDrive is installed, Files On-Demand is enabled, and you are signed in with the account that can access the library. Also check whether the link came from an unsupported client such as Teams or whether the SharePoint site uses a vanity domain.

Can an administrator force all users to open SharePoint files in Office desktop apps?

No. Microsoft states that the desktop-versus-browser preference is controlled by individual users and cannot be centrally controlled by IT administrators.

How can I tell whether the file or SharePoint is the problem?

Download the file from SharePoint and open it from the Windows Downloads folder. If it fails there too, investigate corruption, format compatibility, or Office. If it opens locally, investigate OneDrive, authentication, link preferences, or the SharePoint-to-Office handoff.

The Bottom Line

Use Edit Document or More (…) > Open > Open in app instead of selecting the SharePoint filename. Make sure OneDrive and Files On-Demand are installed and enabled, set the Microsoft 365 link preference to Desktop when appropriate, and download the file to test for corruption or format incompatibility. If only the desktop sign-in fails, troubleshoot the local Office installation, network, proxy, firewall, or account configuration.
