Employee time tracking software records when employees work and helps turn those records into approved attendance and payroll data. It may be a standalone time-and-attendance tool or a module in a broader HR or payroll platform. The right choice depends on where people work, how they clock in, which pay rules apply, and how approved time moves into payroll.

What is employee time tracking software?

It is software for capturing and managing employee work time. Depending on the product, employees may enter timesheets or clock in and out, while managers review exceptions, approve timecards, and prepare records for payroll. Some systems also include scheduling, leave, attendance reporting, labor analytics, or payroll functions; those features are not universal.

Time tracking is not the same as scheduling. A schedule says when someone is expected to work; a time record documents when work occurred. Nor does a clock-in feature determine whether time is legally compensable. Employers must configure and review the system so records reflect actual work and applicable rules.

Which time-capture methods should you consider?

Match the capture method to the work setting and the devices employees can reasonably use. A product may offer one or several of these options:

  • Shared tablet kiosk: A common clock-in point for a workplace where employees do not have individual devices at hand. Confirm that the chosen service supports the tablet and kiosk setup.
  • Dedicated time clock: A physical terminal may fit a fixed, high-traffic worksite. Check supported devices and any hardware or implementation requirements with the vendor.

For field teams, assess whether mobile punches work at the locations where employees start and finish, whether connectivity is reliable, and how the system handles location restrictions or missed entries. Do not assume offline time capture is available; verify it for the specific product and plan.

How do the main product configurations differ?

Vendor descriptions illustrate three common configurations. They are examples of product positioning, not independent evaluations or a ranked shortlist.

How should you compare candidates?

Use a consistent checklist with the people who will use, administer, and reconcile the system. Ask vendors to demonstrate your actual workflows, especially exceptions and payroll handoff.

  • Workforce and work setting: Identify desk-based, shift-based, distributed, field, union, multi-location, or global teams. A system suitable for one setting may not fit another.
  • Capture and access: Confirm browser, mobile, kiosk, or terminal options, device requirements, and whether limited connectivity is supported.
  • Payroll and HR fit: Check the named supported systems, whether data flows one way or both ways, what is imported or exported, and who resolves failed transfers.
  • Pay rules: Determine how overtime, premiums, shift differentials, breaks, rounding, and local or collective-agreement rules are configured and reviewed.
  • Exceptions and auditability: Inspect how missing punches, corrections, employee confirmations, approvals, notifications, and approval history are handled.
  • Adjacent functions: Establish whether scheduling, leave accruals, absence management, job costing, analytics, or payroll are included, optional, or handled elsewhere.
  • Buying and deployment constraints: Ask about prerequisites, implementation effort, devices, support, geographic availability, and total price. Current prices are not established in the cited product descriptions, so request a quote for your requirements.

What does payroll integration need to handle?

An integration is useful only if the full handoff fits the employer’s process. Confirm the systems and data involved, then trace a timecard from employee entry through manager approval to payroll processing.

  1. Verify compatibility: Ask which exact payroll or accounting systems are supported for your region and configuration. “Integrates with payroll” alone does not identify a supported product or workflow.
  2. Map data direction: Establish whether employee and job data arrive from payroll or HR, whether approved time is sent to payroll, and whether corrections return to the time system.
  3. Review pay-rule ownership: Determine where pay rules are configured, how calculations are checked, and who resolves differences between time records and payroll results.
  4. Test approvals and exceptions: Walk through late submissions, missing punches, edits after approval, rejected records, and failed transfers. Identify who receives each alert and what action is required.
  5. Reconcile before relying on automation: Compare approved time records with the resulting payroll data during implementation and after material rule or system changes.

ADP describes payroll connections and overtime calculations based on payroll policies, while SAP describes configurable rules, approvals, and payroll integration. These are vendor-described capabilities, not evidence that a particular connection will transfer every field or resolve exceptions without employer oversight.

What should U.S. employers know about wage-and-hour records?

For general federal context, the U.S. Department of Labor’s Wage and Hour Division says under the Fair Labor Standards Act (FLSA) that work an employer “suffer[s] or permit[s]” to be performed is work time that must be paid, including some work continued after a shift. Its Fact Sheet #22, revised July 2008, also explains that short rest breaks, customarily 20 minutes or less, are generally paid; a bona fide meal period is generally unpaid only when the employee is completely relieved from duty; and travel between job sites during the workday is work time. For covered employees, the fact sheet states that hours over 40 in a workweek generally require overtime pay of at least one and one-half times the regular rate.

The fact sheet is general federal guidance, not a binding legal statement, and other jurisdictions, worker categories, and applicable rules may differ. A scheduled shift, meal-break setting, or clocking configuration does not by itself settle whether time is compensable. Employers remain responsible for determining which rules apply and ensuring records reflect work actually performed.

What can time-tracking software automate—and what should you verify?

Software can help capture time, apply configured rules, surface exceptions, collect confirmations, and route records for approval. For example, SAP says, “Time sheet attestation creates an auditable record of employee confirmation.” Such a record can support review, but it is not a substitute for checking that the underlying time and configuration are correct.

ADP reports estimates from its 2023 ADP Workforce Management Benefits Study, which it says surveyed more than 1,000 organizations with at least 25 employees. The vendor associates automated accrual tracking with an average two hours saved per employee per week; biometric clock-in/out identification with two to three hours per employee per week; automated PTO requests and approvals with three hours per employee or manager per week; and automated scheduling with four to five hours per manager per week. These are vendor-reported study estimates, not guaranteed results or independent confirmation. Outcomes for an individual employer will depend on its workflow and implementation.
