A username identifies the account a person is trying to use. A password is secret information used to help prove that the person trying to sign in is allowed to access it. Put simply: the username says which account; the password helps authenticate the person presenting it.

What is a username?

A username is an identifier associated with a system account. It tells a website, app, or other system which account is being presented during sign-in. NIST describes individual identifiers as typically being usernames associated with system accounts, while noting that account and user arrangements can vary. NIST SP 800-171 Rev. 3, section 3.5.1

A username does not have to be a person’s real name. It may be an email address, a chosen name, or another identifier accepted by that system. The important point is its function: identifying the account, not proving who is entering it.

What is a password?

A password is a secret character string used in authentication or access verification. In NIST’s digital identity terminology, a memorized password is an authenticator—evidence of “something you know”—that a claimant can present when trying to access an account. NIST CSRC password glossary

Some definitions describe passwords more broadly as character strings used for authentication or authorization. NIST’s glossary draws on multiple source documents, so the exact wording depends on the context; for ordinary sign-in, the key idea is that the password is a secret used to verify access, rather than the account’s identifier.

How are a username and password different?

The two are often entered together, but they do different jobs. NIST defines authentication as verifying the identity of a user, process, or device, often before granting access to system resources. Does every login use a username and password?

No. A system may identify accounts differently, and passwords are not the only authentication method. NIST’s guidance also recognizes physical authenticators and biometrics. Some services use an email address or phone number as the account identifier, while others may allow a security key, a biometric check, or another sign-in method. The particular design depends on the system.

Account identification can also be more complicated than one person and one username. NIST notes that system users can include processes acting on behalf of people, and that organizations may need ways to identify individuals within group accounts or hold them accountable for activity. This is why “username” is a common account identifier, not a universal rule that every system follows.
