Most small businesses should secure the accounts, devices, data, and network they already rely on before buying a broad security suite. Start with multifactor authentication (MFA), timely software updates, endpoint protection, encryption, tested backups, and secure Wi-Fi. Then compare tools against a specific gap, your existing subscriptions, and the time your team can realistically spend configuring and managing them.

This U.S.-focused guide draws on guidance from the FTC, CISA, NIST, and Microsoft. It is a buying framework, not a product ranking: no single purchase replaces sound configuration, staff training, and preparation for an incident.

What should a small business assess before buying security tools?

Make a short inventory before comparing products. Include the accounts and services employees use, computers and mobile devices that access business data, sensitive information the business holds, remote-access methods, and any existing security features included with software subscriptions. Note who administers each system and what the business would be unable to do if it were unavailable.

NIST’s 2024 Cybersecurity Framework 2.0 small-business quick-start guide provides a way to organize and prioritize this work. It is voluntary supplemental guidance, not a product endorsement. The FTC and CISA also publish practical small-business guidance on controls such as MFA, updates, backups, encryption, passwords, and staff awareness.

Which cybersecurity tools and controls should come first?

Use this sequence to close common gaps. It is a prioritization guide, not a claim that every business needs a separate product for every item.

  1. Secure important accounts. Require MFA for email, file storage, remote access, and privileged accounts. Prioritize administrator accounts and services that can reset other accounts or access sensitive data.
  2. Protect devices and data. Keep operating systems and applications updated, use endpoint protection, encrypt devices that hold sensitive information, and limit administrator privileges to people who need them.
  3. Configure email and collaboration protection. Turn on and review the anti-phishing, anti-spam, and anti-malware protections included in your current service before paying for an additional layer.
  4. Make recovery possible. Back up critical data on a schedule and test that it can be restored. Protect backup access and data, and keep removable backup drives disconnected when they are not actively being used for a backup.
  5. Secure business Wi-Fi and routers. Change default router credentials, install firmware updates, disable remote management if it is not needed, use WPA2 or WPA3, and keep guest Wi-Fi separate from business systems.
  6. Get operational help if needed. If no one on staff can configure, monitor, or maintain these controls, consider an IT provider or managed security service provider (MSSP) with a clearly defined scope.

The FTC’s small-business cybersecurity guidance covers updates, strong unique passwords, encryption, MFA, backups, wireless configuration, remote access, and staff training. CISA’s small and medium-sized business resources include guidance on phishing, password managers, MFA, software updates, logging, backups, and encryption.

Should a small business buy a security key for MFA?

A physical security key is worth considering for high-value accounts when the service and devices support it. CISA identifies a physical security key as the strongest of the MFA methods it lists for small and medium-sized businesses, and names YubiKey as an example. Other options include number-matching authenticator prompts and time-based codes. See CISA’s MFA guidance.

Before buying keys, check that each important service supports the type of key you plan to use, that it works with employees’ devices, and that you have a recovery process. Plan for spare keys and for what happens if an employee loses a key or leaves the business. A key is an authentication method, not a replacement for endpoint protection, backups, or other controls.

How should a small business choose endpoint and email protection?

Endpoint protection

Endpoint protection helps secure computers and other devices. First confirm which devices are covered by a current business subscription and whether protection is enabled and managed. Do not assume that a consumer antivirus product duplicates or improves a business service already in place; compare the actual coverage, administration, and compatibility before adding another product.

Updates and limited administrator privileges matter alongside endpoint software. A tool cannot compensate for unsupported or unpatched applications that remain exposed, or for giving users more access than their work requires.

Email and collaboration

Email is often part of a larger business service that already includes filtering and security settings. Review the current service’s anti-phishing, anti-spam, and anti-malware controls, confirm they are configured, and identify a specific gap before considering a separate email-security product. Check that any added tool works with your mail and collaboration setup and will not create unnecessary duplicate administration.

How can a business make backups safer and more useful?

Choose a backup approach that covers critical files and configurations, protects access to the copies, and lets the business restore what it needs. Cloud storage and external drives are both options discussed by the FTC; an external hard drive can support offline backup use, but buying one alone does not make recovery reliable.

For removable drives, CISA cautions against leaving a drive connected when it is not actively backing up. A drive left attached can be exposed to the same incident as the system it is meant to protect. Encrypt sensitive backup data, restrict who can access it, and test restoration rather than treating a successful backup notification as proof that recovery will work. CISA’s device data guidance covers protecting stored data, while its guidance for MSPs and small and mid-sized businesses recommends automatically and continuously backing up critical data and configurations and keeping backups offline.

Do Microsoft 365 plans include the security tools a business needs?

Microsoft business subscriptions differ in their security capabilities, so check the exact plan and current licensing before purchasing a separate product or changing plans. Microsoft’s current documentation describes built-in mailbox protections in Microsoft 365 business subscriptions, which target organizations of up to 300 users. It lists Defender for Business, Intune Plan 1, and Conditional Access through Entra ID P1 among the capabilities included with Business Premium. These statements describe documented plan capabilities, not a guarantee that a feature is configured or sufficient for every business. Confirm current availability, licensing, user limits, and the settings your organization actually has before making a buying decision; Microsoft licensing can change.

When should a small business use an IT provider or MSSP?

Outside help can be useful when the business lacks the staff or expertise to configure and maintain its controls. An IT provider or MSSP may help scope needs, set up protections, monitor systems, and test controls, but the business still needs to understand what work the provider will perform and retain appropriate oversight.

Before granting access, agree on the provider’s responsibilities and access boundaries. Compare proposals for scope, monitoring hours, response commitments, access controls, and how the business can retrieve its data and end the relationship. These are buyer evaluation criteria; the cited guidance does not establish standard contract terms or service levels.

How should you compare security products?

Use the same questions for each candidate, including tools bundled with a service you already pay for:

  • Risk coverage: Which specific gap does the product address, and which devices, accounts, or data does it cover?
  • Compatibility: Does it work with your current accounts, devices, email, and remote-access setup?
  • Existing coverage: Does a current subscription already provide a similar capability?
  • Administration: Who will configure it, review alerts, install updates, and handle employee changes?
  • Recovery and support: For backup tools, can you restore data and control access to copies? For other products, what update and support arrangements apply?
  • Total cost: What is the cost across the users and devices that need protection, not just the advertised entry point?

For hardware, check connectors and service support before ordering. For backup drives, account for capacity, encryption, rotation, off-site storage, and restore tests. For security keys, plan spare keys and account recovery. A sensible purchase is one that closes a verified gap and can be operated reliably, not simply the one with the longest feature list.
